Job Description

As an IT Manager in the finance industry, you will be responsible for overseeing and managing the technological infrastructure and systems within a financial organization. Your role is crucial in ensuring the efficiency, security, and compliance of all IT operations to support the business objectives and maintain a competitive edge in the market.

Responsibilities

Strategic Planning:
Develop and implement IT strategies aligned with the overall business objectives of the finance organization. Identify opportunities for technological advancements to enhance operational efficiency and effectiveness. Identifying critical security operations metrics and implementing necessary improvements to create solid security practices.

Infrastructure Management:
Oversee the maintenance, upgrade, and optimization of the IT infrastructure, including networks, servers, databases, and software applications. Ensure seamless integration and compatibility of systems to support daily operations. Actively monitoring emerging threats and security technologies. (vulnerability management, investigation, reporting and security monitoring, incident response).

Security and Compliance:
Implement and maintain robust security measures to protect sensitive financial data and customer information. Stay abreast of industry regulations and compliance requirements (e.g., GDPR, PCI-DSS) and ensure adherence across all IT processes and systems. Design and implement IT Security Operations framework and ensure that the policies, controls, and procedures are effective and operationally sound.

Risk Management:
Identify potential risks and vulnerabilities in the IT environment and develop strategies to mitigate them effectively. Implement backup and disaster recovery plans to minimize downtime and data loss in case of emergencies. Provide management oversight for the identification, triage and response of events or incidents of apparent security breaches.

Vendor Management:
Evaluate and select external vendors and service providers for IT solutions and services. Negotiate contracts and agreements to ensure cost-effectiveness and quality delivery of products and services.

Budgeting and Cost Control: Develop and manage the IT budget, ensuring optimal allocation of resources to support business initiatives while maintaining cost efficiency. Monitor expenses and identify opportunities for cost-saving measures.

Stakeholder Communication:
Collaborate with key stakeholders across departments to understand their IT needs and requirements. Communicate IT initiatives, project updates, and system enhancements effectively to ensure alignment with business goals and objectives.

Training and Education:
Train and educate internal staff, other departments, and/or external business partners on SOC management and procedures. Work closely with internal stakeholders to identify and implement necessary changes, that bring about improvements and efficiencies, ensuring that solid security practices within the organization are upheld.

Qualifications

• Diploma/Bachelor's degree in Computer Science, Information Technology, or related field. Master's degree or relevant certifications (e.g., CISSP, PMP) preferred.
• Proven experience in IT management roles within the finance industry, with a strong understanding of financial systems and regulations.
• In-depth knowledge of IT infrastructure, including networks, servers, storage, and cloud technologies.
• Proficiency in cybersecurity principles and best practices, with experience implementing security measures in a financial environment.
• Excellent leadership and communication skills, with the ability to collaborate effectively with cross-functional teams and stakeholders.

1. Invoice Generation and Distribution. Generating invoices accurately and timely for goods or services rendered to customers. This includes ensuring that invoices contain all relevant information such as invoice numbers, payment terms, and itemized charges. Additionally, distributing invoices to customers via mail, email, or electronic invoicing platforms.

2. Payment Processing and Application. Recording and processing customer payments received through various channels, including checks, credit cards, electronic funds transfers (EFTs), and online payment portals. This involves accurately applying payments to customer accounts and reconciling payments against outstanding invoices.

3. Customer Inquiries and Dispute Resolution. Responding to customer inquiries regarding invoice discrepancies, payment issues, or billing disputes in a timely and professional manner. This may involve investigating payment discrepancies, coordinating with internal departments or sales teams, and working with customers to resolve outstanding issues to ensure timely payment.

4. Aging Analysis and Collections. Monitoring accounts receivable aging reports to identify past due accounts and following up with customers to collect outstanding balances. This includes sending reminder notices, making collection calls or emails, and negotiating payment arrangements or settlement agreements with delinquent customers to expedite cash collections.

5. Credit Risk Assessment. Assisting in evaluating the creditworthiness of new and existing customers by analyzing credit applications, financial statements, credit reports, and payment history. This involves assessing credit risks, establishing credit limits, and recommending credit terms or payment terms to minimize bad debt losses while maximizing sales opportunities.

6. Reporting and Analysis. Assisting in the preparation of AR aging reports, cash flow forecasts, and other financial analyses to monitor the performance of the AR department and identify trends or areas for improvement. This may involve analyzing key performance indicators (KPIs) such as Days Sales Outstanding (DSO), bad debt reserves, and collection efficiency to support decision-making and financial planning.

1. Invoice Processing. Responsible for accurately processing incoming invoices from vendors, ensuring they are properly coded, approved, and entered into the accounting system in a timely manner. This involves verifying the accuracy of invoice details, matching invoices with purchase orders and receiving documents, and resolving discrepancies as needed.

2. Vendor Management. Assisting with the maintenance of vendor records, including setting up new vendors, updating vendor information, and resolving any issues related to vendor payments. This may involve communicating with vendors regarding payment inquiries, resolving disputes, and ensuring compliance with vendor agreements and terms.

3. Payment Processing. Supporting the timely and accurate processing of payments to vendors and staff, including preparing payment batches, generating checks or electronic payments, and reconciling payment records. Assist with managing payment methods, such as ACH transfers, wire transfers, and corporate credit cards.

4. Expense Reconciliation. Assisting with the reconciliation of corporate credit card expenses, employee reimbursements, and other types of payables. This involves reviewing expense reports, verifying supporting documentation, and ensuring compliance with company policies and procedures.

5. Financial Reporting. Supporting the preparation of financial reports and analyses related to accounts payable activities, such as aging reports, accruals, and cash flow forecasts. Assist in gathering data, performing calculations, and generating reports to help monitor AP performance and identify areas for improvement.

6. Compliance and Controls. Assisting in maintaining compliance with internal controls, accounting standards, and regulatory requirements related to accounts payable processes. This includes ensuring proper segregation of duties, adhering to approval workflows, and assisting with audits or reviews of AP transactions.

Job Description

Your responsibilities shall include and not limited to the following:

• Responsible for Corporate Income Tax computation – ECI & Tax Computation and IRAS submission
• Experience in implementing ERP System and data migration
• Advanced skills in Excel
• Heading the Accounting Department
• Any ad hoc duties assigned by the Chief Financial Officer and the senior management.

• Perform professional fee computation for inpatient billing
• Record miscellaneous receipt and perform reconcilation of AR Ledger vs General Ledger
• Follow-up on outstanding bills and medical claims proration matters
• Prepare journal and audit schedules
• Reconcilation of various collection from external vendors
• Involved in Monthly Surprise Cash Count and Weekly Refunds
• Faciltate Cash deposits and Statement of Account Matters
• Support Medisave related matters and enquiry from Clinic / Pharmacy / Patients

Job Requirement

• Min Diploma or equivalent certificates
• Prior SAP knowledge will be advantageous
• Proficient with Microsoft Office (Word and Excel)
• Organized and meticulous
• Comfortable with data entry and handling calls

This role is responsible for reviewing, identifying, and resolving accounting errors or misstatement to ensure Financial Statement is accurate and achieving clean audit opinion without surprises by optimizing control environment in all aspect of accounting transactions.

1) Support operational activities by

• Validating and approving journal entries, sometimes request journal posting
• Managing Fixed Assets capitalization
• Managing Intercompany process
• Managing Overhead (OH) process
• Managing Client Overrides billing from GST perspective
• Supporting month-end/quarter-end/year-end closing and ensure processes performed by GFS and the outsourced team are properly executed (review for irregular/unexpected transactions and working with the right parties for rectification to ensure completeness and accuracy)
• Preparing and posting Hyperion Financial Management (HFM) journal, performing validation and enrichment
• Performing GST and Withholding Tax submission (including Certificates of Residence (COR) submission)
• Performing and reviewing COSO compliance
• Performing monthly Profit & Loss (P/L) and Balance Sheet (B/S) variance analysis to monitor and report to Finance Manager any issue
• Reviewing B/S accounts reconciliations completed by the outsourced team (WNS)
• Preparing Risks and Opportunities (R&O) reporting

2) Understand all transactional accounting workflows and support the end-to-end process of accounting analytics and financial & management reporting.

3) Work with external tax advisor to prepare the details/breakdown required for Corporate Tax filings before submission timeline.

4) Assist on statutory accounts, to provide audit work documentation to satisfactorily answer the queries that are requested by the Internal or external auditors in order to collaborate to obtain clean audit reports, including preparation of draft Financial Statements.

5) Monitor and manage service performance of the outsourced provider, WNS. When there is change/new process design and communicate the revised/new workflow with WNS and request them update Desktop Procedures Manual (DPM)

6) Identify continuous improvement opportunities, implement change, support improvement projects works, and any ad-hoc report or documentation requested to Finance Ops team/as assigned by the management

• Preparing payments and petty cash reimbursements.
• Preparing instalments of vehicles and loans.
• Updating of creditors listing.
• Oversee the function of Accounts Receivables.
• Submitting and monitoring of payroll via internet banking weekly and petty cash reimbursement for SO freelance wages.
• Assist the HR Department in any payments such as final wages or any other urgent payments.
• Weekly fund reporting.
• Prepare monthly costing for SO Full Time & Part Time.
• Monthly financial report to be prepared within 2 weeks after the month ends.
• Daily bank reconciliation.
• Preparing and submission of Good Service Tax (GST) evert quarterly to IRAS.
• Preparing yearly financial report to Auditor.
• Preparing of financial year budgeting and propose or provide recommendations to the following year’s budget accordingly.
• Managing of bank tokens for approval.
• Preparing report and present during monthly management meetings.
• Preparing documents for Secretarial.
• Updating sales in food platform eg: Foodpanda , Grabfood , Chopes.

DUTIES AND RESPONSIBILITIES

• In charge of filing and control of all signed contracts of all Architecture and Project Management Studios and liaise with each studio’s secretary for timely and accurate billings of different stages of project.
