To properly discharge responsibilities in undertaking Singapore Office general office administration function in order to ensure the facilitation and provision of effective, efficient and reliable administrative logistical support for company with a view to achieving the company’s growth & objectives.

Job Descriptions:

1. To take up the Administration function of the Singapore Office with the objective of providing effective, efficient and reliable administrative support for all divisions / departments of the company.

2. To manage the staff accommodations, as well as office leasing and manage renovation projects of Singapore Office.

3. To review and update Administration Operation Manual (“Admin Manual”) of the Administration Department with the view and objective towards standardization and unification for all group company offices.

4. To ensure the managerial and administrative responsibilities of the Administration Department are in strict compliance with Admin Manual. To conduct review of the Admin Manual at least once a year to ensure the Admin Manual is up to date.

5. To prepare and submit the administrative expenses annual budget for Singapore office in order for the general administration expenses to be incorporated into the overall group company Establishment budget; and to monitor the budget control in co-ordination with all divisions / departments.

6. To manage housing and hotel accommodation arrangements in Singapore, including sourcing the best possible quotations, for visitors and expatriates of the Group.

7. To manage the review of contracts and leases from equipment and service providers, office premises and accommodation providers, etc. for Singapore office.

8. To provide support and coordinate for the company events.

9. To handle and support visa applications and administration work

10. To assist and report to Manager, to provide necessary support in collaborating with the Administration team of all Group company offices.

11. To perform additional duties to meet both the company & department’s needs as desired.

Roles & Responsibilities

The Finance Analyst will be responsible for providing support and assistance to the Assistant Vice President, Finance on overseeing the financial management reporting of the group companies.

Key Responsibilities

• Prepare and consolidate Group and Company post-closing analysis monthly, quarterly, yearly management reporting and presentation materials
• Collecting, analyzing, and interpreting historical and current financial data of Company and Group performance with detailed financial status reports
• Assisting Assistant Vice President with the following:

1. Collate Group companies monthly reporting package for monthly management P&L review.
2. Quarterly forecasting process for group companies
3. Prepare annual budget preparation for group companies
4. Working capital management for group companies

• Assist, develop and maintain dashboards and reports to monitor business performance
• Collaborate with group companies to ensure accurate reporting
• Ensuring compliance with financial regulations and maintaining the integrity of financial data
• Other ad-hoc duties assigned by Assistant Vice President, Finance

General Requirements

• Degree in Accounting & Finance
• At least 3-4 years in financial accounting with experience in financial analysis
• Good working knowledge of IFRS, Consolidation, Taxation
• Good SAP knowledge
• Advanced proficiency in Microsoft Excel, Power BI and financial software
• Good interpersonal skill
• Strong analytical and problem-solving skills
• Excellent attention to detail and accuracy
• Ability to interact with region teams and cross functional teams
• Ability to work independently and inter-dependently
• Ability to work under pressure to meet deadlines

Provide smooth and efficient operation support to the cash remittance team and part take in the UAT for the SWIFT ISO20022 project.

Functional

Co-ordinate and provide effective back-office support, not limited to the followings:

1. Transaction Processing:

• Initiate and process remittance transactions (e.g., SWIFT, local payments) accurately and within established timelines.
• Verify the completeness and correctness of remittance requests, including account details, payment instructions, and documentation.
• Ensure all transactions (outward and inward) are processed accurately and timely and in compliance with set procedures, controls and guidelines.
• Ability to perform an effective and accurate dual controls role on transaction

2. Transaction Reconciliation:

• Reconciliation of position with agent banks and internal GL accounts

3. Compliance and Documentation:

• Ensure compliance with Standard Operation Procedures (SOP), sanctions screening and regulatory requirements.
• Maintain proper records of transactions and related documents for audit purposes.

4. Coordination and Communication:

• Liaise with internal teams and counter-parties to resolve discrepancies in remittance requests.
• Communicate with stakeholders to confirm instructions or clarify details when necessary.

5. System Usage:

• Utilize remittance processing systems and tools for data entry, validations, and approvals.
• Perform daily reconciliations of processed transactions against system records.

6. Risk Mitigation:

• Identify and escalate potential risks or unusual transactions to the compliance team.
• Ensure all transactions meet the organization's risk management policies.

7. Reporting:

• Generate and share daily/weekly transaction reports with relevant stakeholders.
• Monitor and track pending transactions to ensure timely completion.

(II) SWIFT ISO Project UAT Support:

1. Requirement Analysis:

• Review business requirements and functional specifications to understand system functionality.
• Collaborate with stakeholders to identify test objectives and acceptance criteria.

2. Test Case Development:

• Develop detailed test cases and scenarios for remittance system functionalities, including edge cases.
• Ensure test coverage for all aspects of the remittance lifecycle, including initiation, processing, and settlement.

3. Testing Execution:

• Conduct functional, regression, integration, and performance testing on remittance platforms.
• Validate system outputs against expected results, including compliance checks and error handling.
• Support User Acceptance Testing (UAT) by coordinating with end-users, preparing test environments, and resolving reported issues.

4. Defect Management:

• Log and track defects using a defect management tool, providing detailed descriptions and reproduction steps.
• Work closely with project team to troubleshoot and resolve issues.

5. Documentation and Reporting:

• Document test results, test plans, and test execution reports.
• Provide regular status updates to project managers and stakeholders.

6. Compliance and Security Testing:

• Verify that the remittance system adheres to compliance and data security regulations.
• Ensure proper validation for data encryption, transaction limits, and audit logs.

7. Others

• To carry out any other duties as directed by the Company Management

Education/ Qualification

• Diploma level and above

Experience and Requirements

• Prior experience in banking, especially in the area of cash remittance and SWIFT, would be preferred.
• Meticulous and with great eye for detail
• Independent, self-motivated and team player
• Strong time management, organizational and follow up skills
• Ability to troubleshoot issues and suggest process improvements.
