As Relocation Executive, you need to be able to assist the Senior Managers as point of coordination and transferring assignees while maintaining the highest levels of customer service. This includes managing expenses at the lowest possible level for the client while contributing to optimum revenues for our company.

Main Responsibilities

· Under the allocation from the client, administer and manage the process of the relocation for the assignee and family from their pre-decision trip to arrival through to settling in and ongoing support management. This may also include services like preview trips, home searches, school searches, settling-in, and departure.

· Make timely contacts with vendors, client, realtors, 3rd party providers and designated assignees within given Key Performance Indicators (KPIs)

· Coordinate with all internal departments/functions to ensure successful assignee experience.

· Remain up to date on local nuances as well as current affairs trending in the international community including but not limited to, knowledge about the housing market, international schools, recreation, healthcare, public transportation, groceries, expats lifestyles/activities, domestic help etc.

· Keep abreast with industry and regulations changes that will have an impact to our line of work and affect the process flow

· Update external and internal portals in line with KPI. Make sure entries are complete and accurate.

· Ensure that communications, reports, documentation and all tasks are done timely and accurately.

Administrative Support

· Assist Senior Managers with back end co-ordination (scheduling and making inquiries) as part of program planning and completion

· Data entry, auditing of suppliers’ invoices against services rendered, ensuring correct clients / RMC / supplier contact information in database, and assisting with various reporting requests such as data filling reports

· Invoicing & Billing Matters

Tenancy Support

· Review contract for terms regarding landlord/tenant responsibilities for maintenance, breakage, damages, etc.

· Contact tenant within specified timeframe to brief and facilitate the ongoing support process

· Act as a liaison between the parties to solve any problems. Maintain an issue log/record of calls and actions taken.

· On-site presence or assign property inspector to evaluate repairs/damages and manage contractors may be required

· Send advanced notice to Tenant on upcoming renewal and lease termination. Propose cost saving measures/damage control if there is pre-termination of lease.

Oversee tenancy closure/departure files

Job Summary
The job holder (2 year contract) supports the organisation in overseeing the management of human resource (HR) in the organisation. Key Responsibilities

Sales Operations

• Manage positive communication with parents and students across multiple channels (calls, walk-ins, Social media, website).
• Handle enquiries and follow up on potential leads.
• Resolve service complaints and feedback by coordinating with management and teaching teams.
• Collect and manage feedback from students and parents for internal review.
• Administer centre communication via emails, SMS confirmations, and other channels.

Centre Operations

• Maintain and update student records for registrations, renewals, withdrawals, and lesson rescheduling.
• Keep worksheet and class attendance records accurate and up-to-date.
• Facilitate timely collection of term fees and manage late payments.
• Schedule and update class rosters.

Sales Reporting

• Prepare monthly reports on teacher, class, and student statistics.
• Provide weekly updates on leads and conversion rates.

Centre Maintenance

• Ensure the cleanliness, safety, and security of the centre.
• Oversee maintenance of equipment and services (e.g., copier, lighting, air-conditioning, internet).
• Monitor stock levels of brochures, stationery, snacks, and other supplies.
• Manage mail correspondence by opening and attending to incoming letters.

Working Hours

• Tuesday to Friday: 3:00 PM – 9:00 PM
• Saturday & Sunday: 10:00 AM – 8:00 PM

*Design entrées: Executive chefs design new entrées for the menu to provide variety to customers so they have many options to choose from for their meals.

*Follow food regulations: They ensure their staff follow the food regulations that the Singapore Food Agency creates.

*Inspect food: They inspect each meal before their kitchen staff delivers it to customers. They may ensure that staff adheres to a customer's allergy needs, or they may ensure that staff presents food in an appealing way.

*Coordinate kitchen staff's duties: Executive chefs coordinate their kitchen staff's duties according to each professional's experience and skill level.

*Stay aware of recent culinary trends: They research and follow recent culinary trends to appeal to consumers. They may thin recipes that align with trends or replicate currently popular recipes.

*Hire new kitchen staff: They may review candidates' qualifications to find professionals that are a good fit for their workplace.

*Lead onboarding process: After hiring new staff, they provide an onboarding period where they may train new employees in kitchen protocols and safety regulations. Executive chefs may require them to complete a formal training period before they can begin completing tasks without supervision.

*Perform purchasing duties: They may create a budget and purchase necessary kitchen equipment and ingredients.

*Oversee dietary needs: If a customer has specific dietary needs, executive chefs may check their dish to ensure there's no cross-contamination.

*Communicate with customers: They often communicate with customers who had a negative experience with their meal. They may apologise to the customer or provide a free meal to resolve the situation.

• Be responsible for the purchasing functions for the food and beverage outlet.
• Generate purchase orders for the Company’s food & beverage orders.
• Liaise with vendors, respective chefs and outlet managers on orders and delivery schedules.
• Liaise closely with vendors on price quotations for food and beverage items on a quarterly basis.
• Source for quotations from suppliers for non-inventory purchases.
• Propose, implement, review and maintain purchasing control measures.
• Oversee the inventory management for the organization.
• Organise and co-ordinate monthly stock-take for all outlets.
• Oversee monthly updating and maintenance of the inventory system.

Job Purpose

The Accounts Executive supports the finance department in carrying out the responsibilities of the accounting department. He / She is involved in work that is specific to accounts receivable, payment, data compilation, and other accounting tasks.

In some instances, he / she may work specifically with ensuring the accuracy of Accounts Payable Ageing, assist Auditors in providing necessary documents during audit exercise and be the custodian of Petty Cash and reimbursement of expenses. He / She may be called on to participate in ad-hoc finance-related projects and systems testing when necessary.

Job Responsibilities

1) Quote and process transactions for Accounts Payable function, ensure they are appropriately quoted, accurate and timely for month end closing.

2) Process all types of payments e.g. GIRO, FAST, PAYNOW, Telegraphic Transfer, Internet Banking etc. for weekly Schedule and monthly processing.

3) Ensure payment batches are generated according to the authorized bank signatories matrix and compiled with banking procedures and signatories sign off all documents to enable release to the bank within banking timeline.

4) Reconcile payment listing in banking platform after file delivery to ensure completeness and trouble shoot if errors are found.

5) Execute urgent, ad-hoc and manual payment when required and ensure all related supporting documents are duly provided.

6) Check the Accounts Payable Ageing to ensure it is correct and accurate.

7) Liaise and support auditors with the necessary documents during audit exercise.

8) Custodian of Petty Cash and disbursement to staff once a week.

9) Staff to work closely with Senior Accounts Payable Executive to form the Accounts Payable Team.

10) The staff will have the opportunity to learn AR functions over time and gear for job rotation.

11) Others:

• Any other duties/projects as assigned by Supervisor and/or Management

• Follow the workplace safety and health system, safe work procedures or safety rules implemented at the workplace

• Not engage in any unsafe or negligent act that may endanger yourself or others working around you

• Use personal protective equipment provided to you to ensure your safety while working. You must not tamper with or misuse the equipment

Qualifications and Education Requirements

· Diploma, LCCI Higher Accounting, ACCA foundation, Finance related discipline

Required Skills

· 3-4 years accounting experience.

· Microsoft Words, Excel, Outlook, PowerPoint & Knowledge of Accounting software

· Experience in bank payment functions would be good.

· Working knowledge /experience in Integrated accounting system. Example: Clube2000.

· Meticulous team player with excellent time management

· Good Interpersonal skills and able to interact with internal departments and with members in a professional and responsive manner.
