Job purpose

The Senior Executive / Executive Assistant to CEO role is to assist the Chief Executive Officer in administrative and service development work; and is often trusted with complex duties and sensitive information.

This person ensures the smooth-running of the CEO’s office, helping the CEO to conduct research on areas of growth for MWS, working both on a one-to-one basis with MWS staff but also on a wider basis with internal and external stakeholders. You should be well-presented at all times as you will be dealing with both internal colleagues and external visitors/volunteers/donors on behalf of the Chief Executive Officer.

Duties and responsibilities

• Act as the point of contact for the CEO between the staff and internal or external stakeholders
• Organise meetings and book meeting rooms (when required)
• Remind the CEO of his meeting schedule the day before and ensure that all presentations, documents, etc. required for his meetings are checked and submitted to the CEO on time
• Handle correspondence as directed by the CEO
• Make travel arrangements and detailed travel itineraries
• Take minutes (e.g. Board minutes, HOC minutes, etc.) and write them up subsequently
• Maintain strict confidentiality on sensitive information e.g. staff’s salaries, potential projects, future staff movement, financial figures, etc.
• Produce reports and presentations on behalf of CEO with the CEO’s input
• Maintain the current filing system, and look for ways to improve its organisation
• Keep abreast of the social services development in Singapore, including social and health trends and its implications, from governmental and industry changes that may impact MWS or of interest to MWS in terms of the expansion of its services
• Assist the CEO with presentations to the Board and stakeholders
• Work with various stakeholders like staff, The Methodist Church in Singapore, other denomination churches, government agencies, Board members, high-network individuals or groups, etc.
• Work closely with all the various stakeholders in any ad-hoc assignments or projects as required by CEO
• Any other responsibilities/duties assigned by CEO from time to time

Qualifications

• Degree, Graduate Diploma or Diploma in any field from an accredited institution
• At least 5 years of relevant work experience in a similar capacity preferably in a multi-national corporation or in a similar size charitable organisations
• Ability to multitask and prioritise tasks
• Excellent time management skills
• Excellent verbal and written communication skills
• Well-developed organisational skills
• Attention to detail
• Professional discretion
• Proficient in MS office (Word, Excel, PowerPoint)
• Ability to network effectively with all partners e.g. government agencies, churches, donors, community partners, board members, etc.

Responsibilities:

1. Develop and implement HSEQ policies and procedures in compliance with rules and regulations.
2. Plan and implement training programs for HSEQ practices, fire prevention, and correct handling of hazardous materials.
3. Inspect and evaluate workplace environments, equipment, and practices to ensure they follow safety standards and government regulations.
4. Conduct safety audits and inspections to identify potential hazards and implement corrective actions.
5. Investigate accidents, incidents, injuries, and complaints concerning potential hazards or unsafe conditions in the workplace.
6. Prepare reports on HSEQ activities, incidents, and accidents for management review.
7. Promote safety awareness and foster a safety culture among employees.
8. Ensure the company’s preparedness to respond to emergencies.
9. Liaise with regulatory bodies and local authorities as required.
10. Continually maintain an appropriate level of awareness, knowledge, and preparedness across the organization.

Requirements:

1. Proven experience as a HSEQ Executive or similar role in the marine industry.
2. In-depth knowledge of health and safety laws and industry regulatory codes.
3. Excellent organizational and motivational skills.
4. Strong attention to detail with an analytical mind and outstanding problem-solving skills.
5. Relevant certification in occupational health and safety, such as a Professional Certificate in Workplace Safety and Health.

- Attend to interested clients via various forms of warm leads (form orders, calls, WhatsApp, etc.)

(no cold-calling or anything of that sort)

- Assist clients in shortlisting and recommending suitable tutor profiles based on their criteria

- Coordinate and arrange 1st tuition lesson for clients and tutors

- Follow-up with any necessary administrative support and after-sales service

- Familiarize with and utilize custom-made company software which is focused on automation
