About the role

The Finance & HR Executive will report directly to the General Manager and provide finance, human resource and facility management support.

Responsibilities

· Oversee daily financial operations, including manage accounts, liaisie with outsourced bookkeeping company, and prepare financial reports.

· Manage budget preparation, financial forecasting, and ensure compliance with financial regulations.

· Track donation received, issue tax deductible /non-tax-deductible receipts, and manage IRAS submission.

· Manage payroll processing, employee benefits, and compensation planning.

· Administer HR functions such as recruitment, onboarding, performance management and training.

· Support employee engagement and ensure adherence to company policies and labour laws.

· Oversee facility management and ensure proper functioning of office infrastructure.

· Assist with general office duties and support General Manager on administrative works.

OUR CLIENT IS LOOKING FOR:

FINANCE EXECUTIVE (Full Set)

Working days: 5 days (Office Hours)

Salary (Commensurate with Experience): $2,800 to $3,800 + Bonus

KEY ACCOUNTABILITIES/ RESPONSIBILITIES

• Responsible for the full spectrum of Accounts.
• Validate the completeness and accuracy of transactions by ensuring that all transactions are authorized, comply with prevailing policies and supporting documents are in order.
• Monitor integrity of system processes by conducting sampling of transactions to ensure payments are in order.
• Ensure timely and accurate posting of transactions in accordance with documented processes.
• Ensure that transactional accounting postings to general ledgers are accurate for the purpose of charging to the correct accounts.
• Conduct training to a team of financial appointment holders on procedures for managing and controlling resources and expenditure so as to carry out procurement, payment and reimbursement activities on the finance systems.
• Assess and propose changes to the processes, procedures and systems to achieve high level of efficiency and effectiveness.
• Participate in system designs and conduct user acceptance test to ensure that system design meets the operational requirements.
• Work closely with IT & relevant parties to resolve payment related issues and ensure payment timeliness.
• Develop, coach and motivate members of the team to deliver effective, responsive and customer-centric service to customers

REQUIREMENTS

• Candidates with 2 years of experience with Accounts background or equivalent professional qualifications will have an advantage.
• Diploma holder with a minimum of 2 years of relevant experience.
• On the job training will be provided.
• Experience in the charity or nonprofit sector will be advantage.

Donation Processing and Review

• Peruse the bank statements and identify donations received for recording in Donation Management System (DMS). To liase with the relevant parties to obtain necessary information for recording purpose (e.g. through fundraising department or liase with donors).
• Check monthly GIRO instruction file prepared by associates and upload to bank portal.
• Review records entered by associates in the DMS for donations received through various platforms and collection modes.
• Prepare monthly accounting entries relating to donations in MS BC.
• Perform monthly reconciliation of (i) recurring credit card deductions between actual amount received in bank and DMS records; and (ii) donation records between DMS and our accounting system (i.e. MS Business Central 365).
• Maintain project codes, payment mode, donation source in DMS, including creating new codes and deactivating unused codes.
• Oversee the donation mailbox to ensure that mails are followed up.
• Issue and safekeep keys and locks for donation boxes.
• Handle donor's enquiries relating to collections and tax deductible receipts.
• Prepare the annual donation data for IRAS submission.
• Liaise with Compliance officers and external auditors on audits relating to donations.
• Ensure smooth running of DMS for recording of donations. Address day-to-day issues with IT and vendor.

Other AR functions

• Collect & bank-in cash & cheques received through mail opening and our service centres.
• Prepare and submit statements for application of fundraising license and matching donations from funding agencies.
• Perform quarterly variance analysis of donation income for all departments and service centres.
• Prepare annual budget (including variance explanations) and upload approved budget onto MS Business Central 365.
• Liaise with HR/fundraising department on mail opening matters.
• Any ad-hoc duties as assigned by reporting officer or head of department.

Requirements

• At least 2 - 4 years relevant working experience
• Diploma in Accounting or relevant accounting qualification
• Proficiency in Microsoft EXCEL
• Experience in handling donor management system and/or process automation is an added advantage
• Good team player, pleasant personality and able to work with minimal supervision

SEO and Social Media:

• Manage and grow social media platforms through engaging content and audience interactions.

Budget Awareness:

• Work within assigned budgets and ensure efficient allocation of resources under the guidance of the team lead.
• Market Research & Innovation:
• Conduct research on market trends and competitor strategies to inform campaign planning.
• Stay updated on industry developments, particularly in digital marketing and the finance sector.

Qualifications:

• A Bachelor’s degree in Digital Marketing, Communications, or a related field.
• Experience and Skills:
• 2-3 years of experience in digital marketing or related roles.
• Strong writing skills with the ability to create engaging and effective content.
• Basic understanding of digital platforms like Google Ads, Facebook Ads, and YouTube (training will be provided if needed).
• Analytical mindset with a willingness to learn and use tools like Google Analytics and YouTube Analytics.
• Familiarity with financial markets, trading, or stocks is a plus but not required.
