Position Overview:

The Finance & HR Assistant/Executive will play a key role in supporting both financial and human resource functions within the organization. This position requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities effectively.

Key Responsibilities:

Finance Functions:

* Assist in preparing financial documents such as invoices, receipts, and expense reports.

* Process accounts payable and receivable, ensuring accurate and timely payments.

* Maintain accurate financial records and support month-end and year-end closing activities.

* Reconcile bank statements

* Support budget preparation and financial forecasting.

* Coordinate with auditors and assist in tax-related matters.

HR Functions:

* Manage employee records, ensuring compliance with organizational and legal requirements.

* Assist in recruitment activities, including posting job advertisements, scheduling interviews, and conducting reference checks.

* Handle onboarding and offboarding processes, including preparation of employment contracts and exit documents.

* Manage part time payroll processing, including tracking attendance and leave records.

* Assist in employee training, development programs, and performance reviews.

* Ensure compliance with labor laws and company policies.

Requirements:

1) Diploma or Bachelor’s degree in Finance, Human Resources, Business Administration, or a related field.

2) Proven experience in finance or HR, preferably in a dual-role capacity.

3) Proficiency in accounting software and HR management tools.

4) Excellent organizational and multitasking skills.

5) High level of integrity and confidentiality.

6) Strong communication and interpersonal abilities.

Preferred Skills:

Experience with ERP systems.

Certification in finance, Business Administration is a plus.

Key Responsibilities:

Team and Operations Oversight:

• Assist the Department Head in supervising a team to ensure smooth operations and achieve organisational objectives.
• Maintain an effective internal control framework.
• Ensure accurate and timely reporting, including bank reconciliation and account analysis.

Policy and Process Management:

• Evaluate and refine policies and processes for compliance and productivity improvement.
• Drive changes in finance operations to meet evolving business needs.
• Stay updated on technological advancements in Accounts Payable (AP) and Accounts Receivable (AR) systems, implementing best practices.

Investigations and Audits:

• Investigate abnormalities detected by data analytics and report findings.
• Liaise with auditors, bankers, internal divisions, and vendors on payment-related matters.

Project Management:

• Lead process simplification and standardisation initiatives.
• Participate in technology-driven projects such as Robotic Process Automation and Data Analytics.
• Contribute to the development, migration, and enhancement of financial systems.

Requirements:

• Degree in Accounting, ACCA, or equivalent.
• Minimum of 5 years of relevant commercial experience, preferably in a managerial role.
• Experience with accounting systems (e.g., SAP, Workday) and system implementation, including User Acceptance Testing (UAT).
• Strong knowledge of GST and Withholding Tax.
• Audit experience is advantageous.
• Excellent interpersonal, written, and presentation skills.
• Strong analytical, organisational, and multitasking abilities.

Job Summary:

• Support Finance Team to collate and prepare information as required for monthly invoice and Sodexo reporting within contractual deadlines.
• Support Finance Team in managinginvoicing roles such as :Ensure adequate formatand content of invoices by category of spend (ATC/NTC/Discrete)

• To play a key support role in the delivery of client projects, including client liaison, contact with internal resource departments and external suppliers, and administrative work.
• To manage the administration and smooth running of client jobs, including taking responsibility for reporting, management of client communication and program participants including contact reports, maintaining up-to-date electronic and paper files.
• To effectively managesuppliers to ensurethe highest qualityis delivered and the best price negotiated.
• To support the local team with suppliers enrolment in ConstructSecure platform.
• Any other ad-hoctasks as a result of business requirements assigned by the Account Manager.

Salary: Up to S$3,800
Working Days & Hours: Monday to Friday, 8:30am - 6:00pm

Key Responsibilities:

• Manage full sets of accounts, ensuring accuracy and timeliness.
• Handle day-to-day financial transactions, including accounts payable, accounts receivable, journal adjustments, and ensure adherence to service standards.
• Perform compliance checks on transactions to ensure alignment with relevant regulations.
• Prepare bank reconciliation statements and management reports regularly.
• Assist in audit exercises by preparing audit schedules and facilitating the audit process.
• Monitor and maintain service standards, continuously seeking areas for improvement.
• Provide feedback for SOP reviews and contribute to process enhancement.
• Handle statutory reporting requirements.
• Take on additional duties as assigned by the management.

Requirements:

• Diploma/Degree in Accountancy or equivalent professional qualifications.
• At least 2 years of experience in managing accounts for an organization with IPC status.
• Strong attention to detail, able to work independently with good problem-solving and analytical skills.
• Good understanding of FRS and Charity Accounting Standards.
• Proficiency in written and verbal communication.
• Competent in MS Word and Excel; experience with WorkDay ERP system is a plus.

Responsibilities

• Assist day-to-day Accounts Payable function which includes recording of invoice and payment processing
• Manage royalty accruals and billings
• Track and process intercompany billings on a timely and accurate basis.
• Liaise with respective stakeholders for Stock-Count matters, perform reconciliation and prepare monthly inventory's JV
• Conduct intercompany reconciliations across all entities to ensure compliance and alignment
• Support day-to-day finance operations, ensuring smooth and efficient financial transactions
• Responsible for month end closing and assist in audit process
• Participate in system enhancements / implementations.
• Support the necessary overseas expansion finance requirement, if needed
• Involve in ad hoc duties as and when assigned

Requirements

• Minimum Diploma in Finance/Accounting or relevant Professional Accounting Qualification
• At least 2 years of relevant experience in this role
• Experience in using Microsoft Business Central system/ NAVISION is preferred
• Advanced Excel skills (pivot table, VLOOKUP, Macros is an advantage)
• Experience with audit background and/or F&B and handling overseas accounts is an advantage
• Ability to work with people in different levels of the organization.
• Meticulous and keen eye for details; strong financial analytical and problem-solving skills
