Pre-requisites

SECTION A: POSITION SUMMARY

Manage Service Desk team to deliver flawless customer service in managing incident restoration and service level agreements and monitoring the duties of the service desk team members to ensure that client inquiries are promptly attended to.

SECTION B: KEY RESPONSIBILITIES AND RESULTS

1. Manage and lead the Service Desk and staffs to provide 1st level technical support.

2 Act as a further escalation point for unresolved or escalated cases and provide guidance to the team.

3. Take on a wider customer service role and promote the customer service ethic to maintain a high degree of customer service for all support queries and adhere to all service management principles.

4. Report to SD managers on any issue that could significantly impact the SLA and recommends action plan.

Key Responsibilities:

Order Management :

• Create and validate customer orders in SAP, ensuring all necessary checks are completed.
• Confirm material availability, set delivery dates, and release sales orders.
• Work with Planning and Finance teams to resolve any issues blocking orders.
• Process customer payments, including invoices, credit notes, and debit notes.
• Maintain customer relationships and coordinate with third-party logistics (3PL) providers for smooth order execution.
• Prepare and review documents for LC payment term orders.

Order Fulfillment:

• Coordinate with 3PL for inventory picking, outbound documentation (OBD), and shipment arrangement.
• Confirm product picking lists and lead times with 3PL to ensure timely loading and delivery.
• Keep customers updated on order status and escalate any non-conformances or delays.
• Monitor shipments, ensure compliance with customs regulations, and confirm delivery completion.
• Prepare shipping documents (commercial invoice, packing list, COA) and send them to customers.
• Proactively monitor 3PL performance to avoid late deliveries and prevent customer complaints.

Other Adhoc Duties:

• Manage and resolve customer complaints, including non-technical issues and quality notifications.
• Handle customer feedback professionally and liaise with relevant internal teams to resolve issues.
• Suggest solutions for operational interruptions and escalate to the Customer Service Manager when needed.

The Position

• Build and maintain relationships with customers
• Guide and assist customers in our bullion shop
• Test the authenticity of precious metals
• Assist in driving, developing and improving BullionStar’s customer care program
• Develop and assist in marketing efforts
• Provide support for BullionStar’s affiliate program

Who Should Apply?

Please apply if you possess all of the below skills and characteristics:

• Meticulous: As you will be dealing with highly valuable items, you are to be meticulous and diligent in all aspects of the role, e.g., conducting inventory audits, testing the authenticity of the precious metal product, handling cash, etc.
• Versatile: You are required to switch between speaking with customers, to hands-on operational work, to desk-bound administrative work throughout the day.
• Great Communicator: You need to be proficient in verbal and written English to communicate effectively with our customers. Fluency in additional languages and/or dialects is a plus. (Good communication skills in other language and/or dialects language to build and maintain relationships with other customers) As part of an integrated and international team, you are furthermore encouraged to communicate openly and directly across all levels of the organization.

Location & Work hours

The job location is BullionStar's bullion shop, showroom and vault at 45 New Bridge Road. This bustling location is located in between Chinatown and Clarke Quay with the Clarke Quay MRT located just across the road making commuting easy.

5-day work week, 1 Saturday inclusive.

Salary and Benefits

The starting salary is SGD 2,700 - SGD 4,000 depending on your knowledge, competence, experience and skills plus one month's bonus, reimbursement of medical bills and access to an employee health and fitness benefit program.

Customer Service Assistant

• Location: Bencoolen
• Working hours: Mon to Fri, 8.30am to 5:00pm
• Salary range: $2500 - $2800 + $80 Handphone Allowance + Contract Completion Bonus

Requirements:

• ITE/Diploma holder with 1-2 years relevant experience
• With relevant customer service & admin experience
• This is a 1 year 6 months contract role, with opportunity to convert to permanent.

Responsibilities:

• Liaising and co-coordinating with customers on sales orders and enquiries
• Invoicing, P/O and D/O, purchasing / receiving
• Order processing
• Administration duties
