SPECIFIC MAJOR RESPONSIBILITIES

• Reporting to the Operations Manager daily to check of the delivery schedule and case that has been assigned to
• Verifying that goods delivered are as per customer’s specified requirements on-board the vessel against a checklist (D/O)
• Verifying that goods delivered on various transportation modes (i.e. trucks and boats) to the final destination of the vessel are properly accounted through the W6 form
• Driving delivery vehicles when schedules and skills permit so
• Ensure that the handling of the goods does not compromise quality especially during transfer (from truck to supply boat or truck to vessel or supply boat to vessel) when present
• Supervising labourers and subcontractors during the loading and unloading of goods on board supply boat and vessels and ensuring the proper handling of goods are maintained at all times
• Attending and resolving any problems, requests and issues raised by vessel’s Master or Officers. In the event of an issue, the Boarding Officer will commence mobile communication with the operations, warehouse, sales and purchasing departments on an instant messaging platform (ie. Whatsapp)
• Verifying with the vessel’s Master or Officers that certificates for products (if any) has been received and contact purchasers if there is a discrepancy
• Creating a WhatsApp group chat consisting of the relevant stakeholders (Operations, Sales, Purchasers and Owner’s Goods) to ensure timely and accurate information flows both ways
• Within 24 hours (target) of delivery, the boarding must submit the following:
• Performing the role of a public relations representative for the company.

Any other duties that may be assigned by the Head of Warehouse & Operation, Operation Manager and Supervisor .

Performs administrative duties

• Supports the Aftersales Manager / Service Manager with administrative activities and paperwork

• Prepare documents for approval

• Ensures office supplies are sufficient and to order

• Safekeep uniforms and safety boots and coordinate ordering

• Filing of all documents and scanning and archiving

Supports the warranty department

• Makes sure that all customer data are updated

• To submit warranty claims

• Take part in warranty disposal

• Ensures warranty documents are submitted on time and error free

• General administration of all warranty matters

Customer care with call centre and reception

• Liaise with call centre on customer requests

• Assist with CCR-S

• Assist with VOC scores and response rate

Responsibilities

· Propose buy quantity to management and drive the overseas and local buy of raw materials as per approval obtained

· Responsible for forecast buys for new products and replenishment

· Ensure stock inventory is accurate and up to date and generate stock inventory reports for management

· Responsible for supplier and cost evaluation (quality, cost, delivery, MOQ, etc)

· Responsible for supplier negotiation, cost analysis and conduct post debriefs

· Responsible to follow through the end to end operational procurement process from placing order, issuing and following up on Purchase Order delivery and shipment schedules

· Ensuring all purchase order are fulfilled and delivered Just in time

· Able to get an alternative or replacement products for out of stock items or product delayed in shipment

· Perform good receiving operation, all necessary documentation processing and ERP system input

· Liaise with Finance for invoicing and payment matters

Requirement

· Diploma in Supply Chain/ Logistics Management or equivalent preferably

· Minimum 2 year experience in procurement, preferably in the F&B industry

1. Billing and invoicing

Perform day to day billing operations.

Generate invoices for posting to customers.

Oversee and manage billing schedules and prompt issurance of invoices to meet both customer expectations and company requirements.

Verify invoice details, by cross referencing with customer's signed contracts / quotations to ensure accuracy, and proactively address any discrepancies or errors to compliance with agreed terms.

Interact with internal and external customers on rates and charges disputes.

Maintain and update accurate records of billing transactions within the system.

Provide accounting support.

Monitor customer accounts for non-payments, delayed payments, or irregularities and take appropriate actions.

Compliance Officer

Responsible for all aspects of compliance matters, related activities and projects. This will include the front, middle and back office processes, investment parameters and policies, marketing material reviews, the implementation of a compliance monitoring program and the provision of guidance and ad hoc advice to business units.

Roles and Responsibilities:

• Primary liaison and point of contact to the MAS and all other relevant regulatory authorities and enforcement bodies to clarify and resolve compliance issues
• Regulatory notification on suspicious transactions, conduct investigations and oversee resolution
