About the role

As a Property Officer at Knight Frank, you’ll be the key person in making sure the properties under your care are in top condition. You’ll be managing everything from daily operations to contractor relationships, all while keeping tenants and residents happy.

What you will be doing:

• Managing the daily maintenance and operations of your assigned properties to maintain optimal conditions.
• Conducting routine inspections to ensure common areas meet safety and health regulations.
• Monitoring development projects, ensuring they stay on schedule and meet standards.
• Addressing tenant and resident issues promptly and professionally.
• Developing strategies to prevent maintenance issues and ensuring compliance with laws and company policies.
• Collaborating with contractors on preventive measures and maintenance resolutions.
• Managing repair, renovation, and maintenance quotations, reports, and payments.
• Supporting and attending key meetings such as council meetings and Annual General Meetings (AGMs).
• Being part of the operations team to support meetings, including council meetings and AGMs, by coordinating all preparations for seamless execution.

• At least 1 year of hands-on experience in a similar role, managing residential and/or mixed development properties.
• At least a Higher NITEC in Facilities Management, Real Estate Business, Hotel & Leisure Facilities Management, or equivalent qualifications.
• Familiar with the Building Maintenance and Strata Management Act (BMSMA) is a plus, but not essential.

Roles & Responsibilities:

Responsible for vendor sourcing for construction materials from international and domestic markets

To assist in reviewing and preparing contractual documents for material purchase

To review and analyse all vendors/suppliers, supply and pricing options to generate quote comparison sheets

Familiar with construction material and specification

To maintain and update supplier information such as track record, experience, product lines, etc.

To maintain records of all purchases, pricing and other important data as necessary

Requirements:

Degree/Diploma qualification

Has 5 years or more experience as a Procurement officer or an equivalent position

Possesses good knowledge and understanding of procurement processes, policies and systems

Proficient in Microsoft Office

Able to assess problems and come up with strategies for better solutions

Possesses good written and verbal communication skills

Able to prioritize, multitask and manage time effectively

Has a good eye for detail

Job Description

• Responsible for full set of accounts including consolidation with Colombo liaison office accounts
• Computation of monthly expenses reports for vessels
• Maintaining vessel agents’ account. Checking and matching of all invoices billed
• Counter checking of all suppliers’ invoices and approve them for payment.
• Preparation and issuance of all payments, cheques, bank transfer etc.
• Issue of invoices for vessels’ management fees monthly
• Maintaining vessel owners’ account
• Issue debit/credit notes to vessel owners
• Maintaining cash books for both SGD & USD
• Keep a record of Company’s cash flows
• Liaise with branch office in Colombo with regards to financial matters
• Responsible for integrating Colombo office’s financial reports to arrive at the combined monthly financial reports
• Responsible for quarterly GST submission
• Computation of staff salaries and CPF & bonus for staff
• Prepare IR8A forms for staff annually
• Check on monthly crew salaries and crew sign off final dues
• Arrange monthly crew salaries and other crew related payments
• Prepare management accounts reports
• Responsible for annual audit. Liaise with company’s financial consultant and external auditors with regards to company’s accounts
• Provide supporting documentation for audits
• Liaise with agents in various countries on vessels’ expenses
• Maintain vessels petty cash float
• Checking and arranging payments whilst vessels on dry dock repairs
• Assisting in preparing crew wages, final dues and home allotments
• Arranging crew rational allowances
• Liaising with crew agents with various matters pertaining to our in-house ships’ crews

Job Descriptions:

• Handle and maintain AP and GL.
• Oversee the month-end closing process.
• Process payments accurately and timely, ensuring proper filing and documentation of payment vouchers.
• Reconcile inter-company transactions and balances.
• Collaborate with business units to ensure smooth daily accounting operations.
• Liaise with suppliers and bankers for operational banking matters when necessary.
• Support financial analysis, budgeting, and forecasting.
• Ensure compliance with financial policies and procedures.
• Assist with year-end audit preparation, tax computation, and submission of statutory requirements.
• Maintain the accounting system and ensure its accuracy.
• Handle ad-hoc assignments and reporting as needed.
• Prepare investment schedules, internal and external audits, quarterly grant submissions, and property/income tax computations.
• Assist in preparing financial statements, including Income & Expenditure Statements, Balance Sheets, Annual Budgets, and more.
• Check, monitor, and post AP invoices and AR journals.
• Perform arrears computation and submit related reports.
• Prepare materials for Finance Committee Meetings and address related queries.
• Compute quarterly transfers for SF/LRF.
• Monitor and comply with financial reporting guidelines.
• Manage funds and ensure all money payable to the company is properly accounted for.
• Recover and demand payment due to the company.
• Issue payments to contractors and suppliers.
• Maintain proper records for all collections related to management and maintenance.
• Handle daily accounting data entry and bookkeeping.
• Conduct daily sales, debtor reconciliations, bank reconciliations, inter-company reconciliations, and cash flow projections.
• Prepare GST submissions and payment documents.
• Generate invoices and follow up with clients for payments.
• Compile monthly billing statements with inputs from division heads.
• Verify supplier and vendor invoices and payment instructions with appropriate documentation.
• Process payments according to approved procedures and credit terms.
• Manage month-end and year-end closings for related companies.
• Prepare a full set of accounts when required.
• Collaborate with external accountants for Annual Reports and Audits.

Job Requirements:

• Minimum of a Bachelor's Degree in Accounting.
• Must have at least 12 years of working experience in the related fields.
• Must have experience handling full sets of accounts.
• Strong understanding of accounting concepts and double-entry bookkeeping.
• Proficiency in MS Excel; familiarity with Microsoft Navision is preferred.
• Independent, meticulous, well-organized, and a strong team player.
• Detail-oriented, accountable, and capable of working independently.
• Excellent communication skills to interact effectively with internal and external parties.
• Availability to work 6 days a week.
