Key Accountabilities/Core Competence Indicators:

Reception Duties (non-exhaustive):

• Greet and welcome visitors in a courteous and professional manner.
• Manage incoming calls and redirect them to appropriate personnel.
• Maintain a tidy and organised reception area, ensuring cleanliness and adherence to company standards.
• Manage visitor sign-in and security procedures.
• Assist in coordinating meeting room bookings and logistics.

• Handle incoming and outgoing mail, courier services, and deliveries.
• Handle highly confidential documents and information.
• Preparing Presentation Materials as and when needed/requested.

Human Resources:

• Assist in the recruitment process by coordinating job postings, scheduling interviews, and facilitating communication with candidates.
• Maintain employee records and databases, ensuring accuracy and confidentiality.
• Assist in the onboarding process for new hires, including preparing documentation and coordinating orientation sessions.
• Support HR initiatives and projects, such as employee engagement activities, performance evaluations, and training programs.

Responsibilities

• Process all guest check-ins by confirming reservations, assigning rooms, and issuing and activating room keys.
• Process all types of payment such as room charges, cash, checks, debit, or credit.
• Process all check-outs including resolving any late and disputed charges.
• Answer, record, and process all guest calls, messages, requests, questions, or concerns courteously and professionally.
• Coordinate with Housekeeping to track the readiness of rooms for check-in.
• Supply guests with directions and information regarding the property.
• Complete designated cashier and closing reports in the computer system.
• Balance and drop receipts according to accounting specifications.

Requirements

• 1 to 3 years of work experience in a similar capacity; relevant experience in a 5-star hotel is preferred.
• GCE N/O Levels or fresh graduates in Hospitality/ Tourism Management
• Intermediate computer literacy and knowledge of Microsoft Office applications
• Excellent communication and interpersonal skills (spoken, written and electronic)
• Demonstrate independence, responsibility and accountability
• Able to work rotating shifts including public holidays and weekends
• Basic computer skills, including Microsoft Office
