Marketing Assistant Manager Job Description

Our company is looking to hire a marketing assistant who will be working closely with our marketing team to develop and implement marketing plans and strategies for our brands. As a successful hire, you will be tasked with helping identify marketing trends and opportunities for growth, as well as creating marketing materials such as white papers and case studies. You will be giving presentations about our ongoing campaigns and provide administrative support to our marketing and sales teams.

To be chosen for this role, you must have a bachelor's degree in marketing, business, or a related field. Prior work experience in administration, sales, or marketing is a plus. Effective written and verbal communication skills and a high level of attention to detail are both important keys to success in this role.

Marketing Assistant Manager Responsibilities:

• Collaborating with the marketing manager, internal teams, clients and partners on marketing strategy.
• Helping identify marketing trends and key opportunities for innovation.
• Learning and working with various types of software for digital marketing.
• Working closely with sales and marketing department.
• Creating marketing materials such as white papers, case studies, and presentations.
• Giving presentations.
• Maintaining a marketing database.
• Providing administrative support to the marketing and sales team.
• Preparing, formatting and editing a range of documents.
• Understanding company product and brand.
• General office duties.
• Creating and interpreting a variety of reports.
• Organizing market research.
• Analyzing questionnaires and other forms of feedback.
• Updating social media accounts.
• Perform any other duties assigned by the director.

Marketing Assistant Manager Requirements:

• Bachelor’s degree in marketing, business or related field.
• Administration or sales and marketing assistant experience.

• Experience using computers for a variety of tasks.

Candidates are required to:

• Supervise, monitor, document and enforce factory workers’ hygiene and critical control points of production
• Assist in factory audits
• Handle any employee misconduct or issues relating to food safety and hygiene
• Maintain records and food safety standards
• Handle administrative tasks such as placing orders for factory supplies related to Quality Control and sending samples for lab tests
• Liaise with suppliers and customers relating to quality matters and documentation
• Conduct training for workers

Working hours: 8am - 6pm (Monday - Friday)

Candidates should possess the following skills/knowledge:

• Basic knowledge of food hygiene
• Relevant education in Food Science
• Competent knowledge in Word, Powerpoint and Excel
• Good understanding of GMP, HACCP and ISO22000

Knowledge in FSSC 22000/working in an FSSC 22000 environment is an advantage.

Job Responsibilities

• Manage and respond to all AP & AR inquiries received via phone, email, WhatsApp, and mail
• Ensure timely and accurate vendor payments through effective communication and coordination
• Streamline invoice processing by collaborating with internal stakeholders
• Ensure compliance with GST regulations through accurate and timely e-filing of GST and invoices
• Support the timely preparation for GST top-up by managing import permit filings and extractions
• Assist with the weekly payment process and prepare necessary documentation
• Prepare a working file for Singapore Customs & Singapore Food Agency (SFA) to key in purchase invoices
• Build strong customer relationships by proactively resolving payment issues and ensuring a smooth payment experience
• Accurately and timely disseminate statements/invoices to the correct Person-In-Charge (PIC), adhering to credit terms
• Collaborate with customer managers to address overdue payments and mitigate credit risks
• Provide weekly updates on AR to customer managers to support informed decision-making
• Efficiently manage daily cash and cheque collections, ensuring accurate recording and timely bank deposits
• Conduct thorough reviews of daily receipts to identify and resolve any discrepancies
• Perform audit checks on signed invoices for easy retrieval upon customer requests
• Ensure all AR invoices are properly filed and stored for future reference
