Overview*

Reporting to the Assistant Director, Ambulatory Operations, you will be responsible for facilitating and coordinating the management of medical specialty or departments. Key responsibilities include facilitating planning and development of clinical services, coordination in operational processes of the specialty/departments and areas assigned; and implementation of strategies and services with Clinical leads and/or HODs. The incumbent is specifically responsible for Dialysis Centre, Inpatient and Outpatient Peritoneal Dialysis services under Renal/Nephrology Departments.

Job Responsibilities*

You will be responsible for the following

Ensure department’s operational readiness

• Ensure adequate resources are provided for clinical services to perform to the expectations of patients and in alignment with Hospital’s business and financial objectives.
• Establish and update SOPs, downtime protocols and workflows in all areas of work related to renal services
• Troubleshoot and resolve operational, IT and administrative errors or issues
• Ensure department work with relevant stakeholders to manage customers’ feedback timely
• Prepare and participate in MACG’s pre-MOH inspection and MOH inspections/audits.
• Drive annual workplan and budgetary planning with multi-disciplinary team

Identify opportunities to implement or facilitate strategies with Clinical Services Director and Clinical Leads to achieve mission of the Hospital

• To drive and lead discussions, open communications and teamwork across multi-disciplinary teams
• Provide guidance and directions in management, planning, coordinating and executing strategies and workplans.
• Timely and successful implementation of new services/workflows and improvement initiatives in department.
• Participate in discussions and campus planning for new Integrated General Hospital (IGH) campus

Administration of relevant renal programmes and initiatives

• Provide renal counselling and case management for early and advanced chronic kidney disease (CKD) patients
• Coordinate with MSWs to facilitate subsidy application for patients who need financial assistance
• Facilitate interim haemodialysis (HD) placement at external Dialysis Centre (DC) by working with external DC, patients/caregivers and MSWs
• Oversee Peritoneal Dialysis (PD) claims for newly initiated PD patients.

Staff Management

• To orientate and induct new staff in department
• Facilitate staff in developing relevant skillsets and competencies; and maximize their potential in their respective area of work
• To keep competency checklist updated
• Perform any other ad-hoc duties and responsibilities that may be assigned from time to time

Requirements*

• 3 to 5 years of working experience in healthcare or service industry preferred.
• Degree in any discipline
• Strong communication, problem solving, presentation, negotiation and interpersonal skill
• Strong team-player, good analytical and organization skills

• Build relationship with stakeholders as a trusted HR partner through thoughtful HR solutions to the business needs. Coach and develop the business leadership team to drive positive changes in people management, and advise on manpower strategies and solutions.
• Provide professional advice on the interpretation of HR policies and procedures, employment legislation, performance management, manpower planning, recruitment and rewards strategies.
• Work with Centre of Excellence and relevant key stakeholders in the delivery of key HR projects and initiatives.

• Partner with leaders for identification of successors and talents for business-critical roles and organization's talent profiles.
• Facilitate performance moderation and discussions with leadership. Workplace Relations
• Lead in AH Industrial Relations and Employee Relations matters and develop a positive working relationship with the union.
• Guide senior leaders and HR team members in handling complex performance and disciplinary matters.
• Lead and undertake complex investigations when required, collaborating with legal and other teams as necessary.
• Guide peers and team members in conflict resolutions and grievance handling processes.
• Facilitate negotiation, conflict resolution, and grievance meetings with stakeholders to achieve mutually agreed outcomes.

Requirements

• Bachelor Degree from an established university in Human Resource or Business Management related discipline.
• Minimum 15 years of HR experience.
• Strong collaborative and interpersonal skills to engage staff of all levels.

Roles & Responsibilities

You will be considered for positions available in the following departments:

• Radiology, Pathology, Intensive Care Medicine, Urology
• Completed specialty training in the relevant specialty in countries such as Australia, Canada, Hong Kong, New Zealand, Singapore, UK or USA.
• Recognised postgraduate Medical Degree such as MRCP, FRCP, FRACP, ABIM or its equivalent, recognised by the Specialist Accreditation Board and the Singapore Medical Council*

The incumbent will play a significant role in supporting the Institute’s further expansion of its capabilities in partnership with healthcare practitioners and experts to provide high quality allied health education and training. He/she will also be the liaison with local and overseas stakeholders to organise and implement PGAHI programmes (clinical attachments, courses and lectures) under his/her charge.

General job duties:

• Plan, organise and implement various types of PGAHI programmes

• Serve and maintain as the key liaison with stakeholders

• Manage finances and budgeting of training programmes with adherence to organisation’s financial processes

• Support the implementation of the Institute's marketing strategies and initiatives

• Promote the use of technological advances in Allied Health Professionals training to enhance learning, and champion the use of IT in the department to enhance teaching and learning

• Manage stakeholders’ expectations appropriately with people-centric approach

• Lead departmental projects to further the growth of the institute

• Assist the Manager/Assistant Manager with office administration and knowledge management to preserve institution information of the department (re-sequenced)

• Assist the Manager/Assistant Manager with building rapport and welfare among the staff

• Adopt data-driven approach when preparing management/course reports and for making informed decisions

• Provide strategic insights and take actions to achieve department goals

• Assist in monitoring department’s performance indicators and provide timely updates on achievement of goals to relevant stakeholders

• Ensure institute’s training information and databases is current

• Analyze and translate strategic insights from stakeholders into implementable and sustainable department initiatives to achieve department goals

• Assume the role of team coordinator of critical processes/initiatives/projects and take on key/leading roles in the committees at Allied Health Division

The incumbent will provide administrative support to the Assistant/Senior/ Manager/Assistant Director and Executives of the Institute in the day-to-day operations, as well as planning and implementing PGAHI’s initiatives and programmes.

General job duties:

• Provide administrative support in the Institute’s routine operations in areas such as inventory (including stock taking and purchasing), venue bookings, etc.

• Provide administrative and logistic support, eg. major events and initiative.

• Coordinate appropriate record keeping of training information and statistics as well as the maintenance and updating the Institute’s databases

• Undertake greater responsibility of providing key administrative support in the institute’s operations

• Assume key roles in the planning and implementation of events/projects/initiatives

• Plan, organize and implement PGAHI training programmes beyond providing administrative support to PGAHI programmes for Allied Health Professionals in SGH and the broader local healthcare community

• Serve and maintain as the key liaison with local and overseas partners and participants

• Manage budgeting of training programmes with adherence to organisation’s financial processes

• Support the implementation of the Institute's marketing strategies and initiatives

• Any other responsibilities that may be assigned by supervisor
