We are looking for a dedicated Senior/Executive to join our SingHealth Staff Protection Office. Reporting directly to the Chief Operating Officer (Workplace Safety), you will serve as the key point of contact for SingHealth institutions, providing guidance and support in handling incidents of abuse or harassment involving patients and their next of kin.

In this role, you will work closely with frontline staff to ensure that all policies related to incident response are both effective and relevant. Your responsibilities will include managing immediate responses to incidents, overseeing reporting processes, and coordinating post-incident management strategies. You will also play a pivotal role in cascading and implementing Standard Operating Procedures (SOPs) across institutions and preparing comprehensive reports to support management decision-making.

As part of the team, you will lead the implementation of the Staff Protection Programme, which is focused on promoting safety, preventing incidents, and protecting staff. Additionally, you will provide secretariat and administrative support to the Staff Protection Council, drive initiatives to enhance staff protection strategies, and take on special projects as needed.

• Relevant experience in the healthcare industry and patient care operations will be advantageous
• Good organisational skills with the ability to perform analytical and coordination work
• Independent team player with initiative

You are responsible for providing secretarial support to the Head of department, where you are required to coordinate HOD’s work arrangement and ensure timely maintenance and de-conflicting of scheduled meetings and activities.

You will perform internal and external liaison functions to ensure efficient and effective management of the office. You will need to coordinate and liaise with external parties which includes making and receiving phone calls, emails and visitors.

You are also responsible in providing administrative support to the Program Office’s day-to-day operations such as collation of documents related to resident’s funding. There will also be ad-hoc administrative and logistical assignments such as providing support for meetings and residency event and to source for faculty appreciation gifts.

In addition, you will maintain the Faculty and Resident databases, webpage and e-mail groups and posting announcements to internal and external stakeholders. You are required to assist in the generation of reports or information required by the Graduate Medical Education office or other stakeholders, perform data entry duties as well as maintaining the resident’s information on Excel files and Access databases.

Job Requirements

• Diploma in any discipline with preferably 2 years’ working experience
• Prior work experience in a healthcare setting or training environment will be advantageous
• Good team player with excellent interpersonal and communications skills
• Meticulous, independent and able to work in a fast-paced environmen
• Proficient in Microsoft Office
• Proficiency in Microsoft Access will be an added advantage

You will assist with the daily operations of the retail pharmacy and provide good customer service to patients and customers. You will perform cashiering duties and render administrative support to colleagues. You will also be responsible for the replenishment and display of products on the retail shelves and stockholding areas. You will be required to perform housekeeping duties and enforce safety and security measures at the retail pharmacy.

Requirements:

• Higher NITEC / NITEC / GCE ‘N’/‘O’/‘A’ Level with at least 4 years’ working experience, preferably in the retail industry and/or with cashiering experience
• Basic computing skills
• Excellent interpersonal and communication skills
• Able to lift stocks for display and replenishment on shelves and stockholding areas
