Reporting to the Executive Housekeeper, the Housekeeping Supervisor is responsible for directing and controlling the day-to-day housekeeping operations on the Floors or in the Public Areas in order to ensure the highest standards of cleanliness. He/She will assist with the allocation of task and special assignment to the housekeeping team and will check and inspect guest rooms and the turnover of spaces to ensure guest satisfaction.

OVERALL OBJECTIVES

Front Office Executive is responsible for ensuring consistent excellent customer service for all guest. They supervise and lead the Reception team to ensure the consistent delivery of memorable hotel experiences

Duties and Responsibilities

• Provide all guests with a friendly, accurate and efficient check-in / check-out process while following the company’s policies and procedures.
• Ensure room assignments are done in accordance to guidelines so as to ensure that room inventory are effectively managed.
• Coordinate room status with Housekeeping Department by notifying Housekeeping of all check-out, late check-out, early check in, special requests and day use rooms.
• Understand room status and have knowledge of room’s location, types of room availability and room rates.
• Handle guests’ feedback and provide necessary service recovery. Provide courteous, prompt and tactful service to guest’s complaints, inquiries and requests.
• Perform any other duties as may be assigned by the Management from time to time.

Requirements:

• At least 2 to 3 years of experience in a similar capacity
• Knowledge in Opera is preferred.
• Customer oriented with a pleasant disposition
• Excellent interpersonal, communication and multi-tasking skills.
• Able to work on rotating shifts, weekends and public holiday.

Leadership & Managerial Role:

• Assist to provide overall leadership within the Centre including decision making and ensuring discipline to achieve the objectives and meet the service requirements of the Active Ageing Centre model.
• Assist to plan, assign, direct and supervise the deployment of staff and resources to achieve the objectives and meet the service requirements.
• Work with the management and staff to ensure that the Centre’s strategies, programmes, processes, and culture are aligned and integrated.
• Assist in the appraisal, development and deployment of staff.
• Assist to provide exemplary conduct and professionalism to uphold the reputation and standing of the Centre at all times.

Operational Duties and Responsibilities:

• Assist in the administration and operations of the Centre.
• Establish processes and schedule for the efficient operation on a daily basis, including coordination with other functions such as social work, transport, and community outreach including volunteers.
• Assist in the assessment of client admission, planning the capacity and schedule of the Centre. Manage stakeholders such as clients’ families.
• Assist to prepare and monitor operational efficiency, continuously improve service quality level, and implement policies to ensure safety of clients.
• Assist to prepare and compile management reporting and statistics; initiate and implement cost-effective solutions.
• Maintain statistical records and progression plan of participants.
• Maintain close links with the volunteers, establish and manage the day-to-day operations of the organization’s community outreach efforts.
• Assist in the implementation of strategic plans and programmes.
• Report submissions to the Board and relevant Government Authorities.

RESPONSIBILITIES

• Generate Accurate Invoices: Prepare and issue invoices to customers, ensuring that the charges are correct and reflect the agreed-upon terms and services.

• User Acceptance Testing (UAT): Coordinate and conduct UAT for new systems or features, ensuring they meet business requirements and function correctly before full deployment.

• Diploma/Degree in Accountancy, Business, or a related discipline, or individuals currently pursuing CA qualifications with ISCA.
• Recent graduate with relevant competencies may be considered.
• Experience with system changes implementations and UAT.
• Proficient in MS Office, particularly Excel, and experience with financial software and databases.
• Knowledge and hands-on experience in any of the major accounting software (SAP, Oracle etc.).
• Excellent communication, problem-solving, and analytical skills.
• Strong interest in data management, RPA and data analytics.
• Familiar with BI tools (e.g. Qlik sense, Power BI, Tableau, RPA) has an added advantage.

Job Description:

• Ensure at all times that fire safety requirements contained in the Emergency Response Plan are complied with;
• Supervise the maintenance of all fire safety works in the premises;
• Ensure at all times that the occupant load of any part of any building does not exceed the capacity prescribed under the Fire Code;
• Conduct daily checks within the premises and remove or cause to be removed any fire hazard that is found within the premises;
• Prepare and execute the Emergency Response Plan for the premises and distribute the Emergency Response Plan to the occupants of the premises; (ii) conduct fire drills for the occupants of the premises at least twice in every calendar year or on such occasion as may be directed by the Commissioner;
• Ensure that all occupants are familiar with the means of escape located within the premises;
• Prepare fire safety guidebooks for the occupants of the premises; train, co-ordinate and supervise the Company Emergency Response Team for the premises in first-aid, fire-fighting and evacuation in the event of fire or other related emergencies;
• Train the occupants in the premises in first aid, firefighting and evacuation in the event of fire or other related emergencies;
• Co-ordinate and supervise the occupants within the premises in firefighting and in evacuation in the event of fire or other related emergencies;
• Conduct at least 2 Table-Top Exercises within the premises each year and to evaluate, together with the Fire Safety Committee, the effectiveness of the Arson Prevention Plan and the Emergency Response Plan for those premises;
• Prepare and implement the Arson Prevention Plan for the premises;
• Organise campaigns, training courses, competitions, contests and other activities which will develop and maintain the interest of the occupants within the premises in establishing a fire safe environment;

• Must have valid Fire Safety Manager certification
