Basic Purpose/Accountabilities:
Reporting to the Supervisor, Singapore Clean & Renewables Scheduling, the Operations Assistant (Contract) position will be responsible for providing operations administrative support to the Renewables Scheduling team for the Asia Pacific region. The contract period is for an initial period of 6 months, subject to extension as required by the business.
Primary Responsibilities:
SAP system responsibilities
- Verify secondary costs invoices against vendor agreements
- Record and perform SAP entries for approved secondary expenses invoice (inspection fees, tankage related charges, commission fees etc)
- Handle SAP ticketing activities to ensure accurate reflections of daily Ops activities/ month end inventory ticketing/ roll-over
Operations support:
- Support operational internal audit for import/export compliance document
- Endorse & arrange for despatch of cargo BLs documents to 3rd parties
- Maintain proper e-documentation
- Support scheduling group on retention record activities (DRM)
- Consolidate documents for Renewables shipments (Annex VII & Marpol docs), coordinate amendments if necessary
Basic / Required Qualifications:
- Minimum Diploma in Maritime/ Logistics/ Computer Science/ Business Administration/ Operational Audit
- Self-motivated individual with an eye for details and accuracy
- Strong SAP & MS Office knowledge and good communication skills
- Previous SAP experience will be an added advantage
- Demonstrates ability to collaborate effectively with the front office to resolve problems
Preferred Skills:
- Minimum one year of administrative support experience in scheduling or shipping functions
