Our company is mainly on Swimming Pool and water features maintenance work which carries out around Singapore (eg: Condominium, Commerical Building, etc).

Hence, our company is looking to hire a personnel who is interested and keen to join us as admin assistant which need to carry out the following scope of work:

- Drafting quotations.

- Liaising with suppliers.

- Administrative works.

- Receptionist works.

- Drafting and preparing reports.

* Training will be provided on the job with a supervisor.

Job requirements:

The Executive Assistant is responsible for providing comprehensive support to the Executive Director, operations team and managing the organization’s office operations.

This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

• Handle all aspects of travel arrangements, including booking flights, hotels, airport transfers, and preparing detailed itineraries.
• Proactively manage schedules and coordinate meetings.
• Prepare and process expense claims and provide general support with accounts.
• Handle day-to-day administrative tasks including (but not limited to) liaising with external vendors and service providers to ensure smooth operations and timely delivery of services.
• General office operations including maintaining office supplies.

Skills and Specifications

• Experience: Minimum 2-3 years of relevant experience as an Executive Assistant or in a similar administrative role.
• Familiarity with finance or operations within a corporate environment is a bonus.
• Ability to adapt to a fast-paced, dynamic work environment.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with task management tools (e.g., Asana) is a plus.
• Good command of spoken and written English.
• Strong organisational, communication and interpersonal skills.
• Only Singaporeans will be considered.

This position requires a candidate who is detail-oriented, highly organized, and capable of managing competing priorities effectively.

Our working hours are from 8.30am to 6pm, Mondays to Fridays.

About the Role

As an Operations Assistant your primary goal is to support Singapore Operations and the delivery of RushOwl’s Transportation Solutions.

You are confident in building and maintaining a brand that our passengers trust and love. You have strong evidence of strong leadership and task management skills.

So what does a typical workweek look like for you?

• Assist in Resource Deployment to ensure trip fulfillment is met.
• Participate in managing vehicle stakeholders to make sure satisfactory services are provided.
• Conduct detailed transportation analysis, with the consideration of trip service levels, constraints/time windows.
• Assist in Parents Management for school trips as well as bus attendants.
• Prepare reports, presentations, and correspondence for each respective task
• Maintain and organize documentation, files, and records.
• Monitor and track deadlines, ensuring timely completion of projects and reports.
• Assist in tracking and managing deployments, routes, and logistics.
• Coordinate with drivers, dispatch teams, and vendors to ensure efficient operations.
• Act as the first point of contact for internal and external inquiries related to School & B2B operations.
• Draft and distribute memos, emails, and notices to different stakeholders such as parents etc.
• Handle day-to-day operational issues promptly and escalate critical matters to the Operations Manager.
• Proactively identify areas for improvement in processes and propose solutions.
