Jason Marine Group Limited is a Marine Communication Equipment and Service Provider based in Singapore, providing marine electronic equipment and marine communication integration solutions for offshore vessels arriving in Singapore or around the Asia region.

Reporting to the Logistics Manager, the Logistics Assistant is responsible for coordinating general warehouse operations and activities including picking and packing, shipping and receiving deliveries, conducting stock checks, documenting warehouse transactions and records, and storing of inventory.

He is also responsible for the safe and efficient operation of handling equipment and spare parts. He is expected to work with internal and external stakeholders to accomplish his work.

Key Duties and Responsibilities

1) Perform receiving, goods checking, put-away, order picking and issuing / shipping of equipment and spare parts

2) Update all receiving and issuing transactions into the inventory management system

3) Check the quality of materials and monitor product lifespan

4) Handle import and export documentation

5) Assist in inventory control and conduct proper housekeeping in the store

6) Provide logistics administrative support

Requirements

Work Environment

1) Full-time, working hours 8.30am to 5.30pm Mondays to Fridays, with lunch break.

KEY RESPONSIBILITIES

• Liaise with internal departments to understand recruitment needs

• Determine the selection criteria, hiring profiles, and job requirements for vacant roles

• Source potential candidates through online company career portals, recruitment sites, job boards, social platforms, as well as print media, posters, and flyers, government agencies and external recruiters where relevant and applicable

• Review applications and screen candidates via calls or emails, as well as facilitate pre-interview assessments

• Develop interview questions and conduct in-person or video interviews with shortlisted candidates

• Prepare hiring forecasts as part of the Company's strategic resource planning

• Develop hiring strategies and procedures in line with industry trends, as well as keep well informed of advancements in various industries

• Foster good relationships with potential candidates and past applicants, and keep a database of good candidates

• Manage Work Pass Applications for foreign applicants (New and Renewal)

• Manage Employee’s Onboarding Process

• Develop Programmes for Internship and Management Trainee

• Conduct meaningful Employee Engagement and Communications including HR dialogues

• Assist with Career Planning & Learning and Development

• Identify training needs and arrange for relevant training courses with government subsidies

• Source for, and recommend relevant course, when necessary

• Design and deliver training programmes

• Participate and support ongoing Employee welfare activities and Company events

• Document processes

• Perform other HR-related, general administration duties and other duties as assigned

REQUIREMENTS

• Diploma / Degree / Professional Certification in Human Resource and/or Business-related field

• Minimum 4 years of relevant working experience in a talent management and learning and development role

• Experience in recruiting for Hospitality or F&B industry is a strong advantage

Account Payable

• Ensure vendor invoices are correctly matched against issued PO.
• Ensure vendor invoices are complete before payment.

AR Receivable

• Ensure Invoices are correctly billed.
• Generate RMA, Debit Note and Credit Note to customers.
• Update receipts from customers.

GL and Reports

• Update bank book and prepare monthly reconciliations.
• Conduct monthly physical inventory.
• Ensure accuracy of Monthly Inventory reports and reconciliations.
• Verify and process staff claims.
• Ensure all Import/Export Permits are complete.
• Prepare GST quarterly reports.
• Prepare and ensure monthly reports are submitted in a timely manner.
• Prepare audit schedules, fixed assets register, and management reports for auditing.
• Generate/prepare supporting reports to confirm the accuracy of Management and Financial Reports.

• Assist in other accounting duties when necessary.

Requirements:

• Minimum Diploma in Accounting/Finance/Business
• Minimum 1 to 2 years of relevant experience
• Proficient in Microsoft Office – Word, Excel, and PowerPoint
• Experience and knowledge in ERP and QuickBooks will be added advantage.
