Under direct supervision, provides general administration support to a department or group of professionals. Compiles and analyses basic information for inclusion in reports or presentation materials. Also receives and responds to routine correspondence following established procedures not requiring review.

Responsibilities

• To distribute internal and external mails.
• To record and submit time cards for site team.
• To assist in the liaison of HR-related queries from site team to BU-HR Representative.
• To purchase, record and maintain stationery/pantry inventory on site.
• To attend to calls in site office, whenever desk line is provided.
• To record minutes during internal meetings/ discussions.
• To assist the project team in preparing the company portfolio and documents for pre-qualification exercise.
• To prepare purchase orders and project invoices.
• To raise purchase requisition (PR) through SAP software.
• To maintain an organised filing system and historical reference of delivery orders, material and consumable requisition (MCR), purchase orders, memo faxes, correspondences etc.
• To ensure billing to clients are submitted correctly and promptly for claims.
• To file and maintain project-related documents and drawings.
• To be proactive in creating a safe working environment for everyone and ensuring that HSE in-house rules are observed at all times.
• To consider HSE aspects when planning and carrying out tasks to eliminate and reduce HSE hazards, aspects and risks.

Requirements

• Preferably 2 years of relevant experience in office administration in MNC environment.

Assistant Cook Job Description:

An Assistant Cook, or Assistant Chef ensures the kitchen is orderly and assists Cooks to prepare and arrange food. Their duties include cleaning the kitchen area, washing dishes and utensils and ensuring that the Cook has everything required to run the kitchen efficiently.

1. Ensure that practices are in compliance with local legislation and regulation;

2. Maintaining employees’ personal file and updating employees’ details;

3. Performing monthly payroll processing including preparations of IR21, IR8A, leave pay and claims ;

4. Preparing necessary HR documents for hiring, disciplinary handling, exiting, job increment and promotion and misc. letter when staffs requested for ICA, MOE, MOM;

5. Planning, preparing, coordinating and administering of employees’ training program;

6. Handling and liaising between staffs and insurance broker on insurance claims and work injury compensations and all documentations;

7. Performing duties pertaining to welfare matters, grievances, disciplinary issues;

8. Maintaining all records of staff attendance such as annual leave, leave of absence and medical leave etc. Input Off-in-lieu as and when required for PH and pre-approval by management;

9. Verifying claims with proper record keeping, monitoring of entitlements for staff outpatient and inpatient medical

10. Handling all Govt bodies on HR related Matters (MOM’s call on foreign worker stays verification, Calls from HDB and MOM to verify Foreign Workers and even House Owners, Surveys and Reports for all govt bodies as well)

11. Follows through on home leave applications of foreign worker and seek the necessary approvals, purchase of air ticket for resigning foreigner workers, levy waiver for workers returning from home leave;

12. Over sees and manage all work passes applications, renewal and cancellations, mandatory courses to be possess by worker, update of personal details and any other matters for foreign workers

13. Full spectrum of talent acquisition processes including hiring candidates, ensure recruitments documents are in order, job posting, screening of CVs, interview arrangements.

14. Manage employee onboarding and offboarding processes, including preparing employment contracts, conducting orientation sessions, IR21 and clearance;

15. Manage day – to -day HR activities, including maintaining employee records and preparing hr related documents

16. Perform any other duties as assigned.

Job Scope

• Handle front desk works including answering phone calls, registration of patients, dispensing of drugs and collection of payment
• Assist Doctors with minor procedure when required

Reporting to the Manager, you are responsible for the overall administrative duties related to the tenants and purchasers of the building.

Main Duties

· Report feedback from tenants/purchasers to manager and co-ordinator for on-going projects

· Maintain petty cash and office stationeries, as well as refreshments

· Prepare all correspondence required by tenants/purchasers such as Letter of Offer, Lease Agreement, Minutes and Meeting Agendas, etc

· Prepare CNY gifts for distribution to tenants/purchasers

· Assist the Manager in overall assignments

· Upkeep of office equipment and in charge of incoming/outgoing mails

· Liaise with signage supplier on directory boards, location maps and wall mural

Education & Experience

· Minimum “O” Level

· At least 4 years of relevant administration experience

· Prior experience working in Real Estate or familiar in leasing/purchase of commercial properties will be an added advantage
