Responsibilities:

Leave Administration:

• Manage leave group mailbox and support leave-related inquiries (joiners, leave entitlements, year-end calculations).
• Liaise with staff, managers, and HR (BP, Payroll) to gather information for leave entitlement and utilization.
• Support system enhancements, review the leave application process, and assist with UAT for SAP SF Leave System.

Training Administration:

• Manage L&D group mailbox and set up courses in the LMS.
• Track and remind staff of mandatory eLearning completion.
• Record learning hours for all types of training (in-house, external, online).
• Assist with learner registration on external training sites and coordinate training events (logistics, materials, F&B).
• Promote program engagement and raise course grant submissions.
• Manage digital portal access, download learning reports, and oversee training-related procurement and payments.
• Coordinate with vendors for training programs and onboarding.
• Prepare audit and year-end reports for financial sustainability.

Requirements:

• Minimum Diploma in any discipline.
• At least 3 years of experience in Leave & Training Administration, with proficiency in Microsoft Excel (Intermediate level).
• Familiarity with SAP/SuccessFactors is a plus.
• Entry-level candidates may be considered.

The HR BPO Executive is responsible for supporting the delivery of outsourced HR services to clients, ensuring that HR processes like payroll, recruitment, benefits administration, and compliance are efficiently managed. This role requires strong attention to detail and a deep understanding of HR practices in Singapore, ensuring that services meet statutory requirements and client expectations. The HR BPO Executive will work closely with BPO team and clients to maintain high levels of service delivery.

Responsibilities:

Payroll Management

- Process monthly payroll for clients, ensuring accurate and timely salary disbursements, CPF contributions, income tax filings (IR8A/IR21), and other statutory submissions.

- Ensure payroll records are compliant with the Ministry of Manpower (MOM) and other local regulatory bodies.

- Handle payroll queries from clients and employees, providing accurate and timely responses.

Recruitment Support

- Assist in managing outsourced recruitment processes, including job postings, candidate sourcing, interview scheduling and interviewing, as well as coordination.

- Ensure all recruitment processes are aligned with local employment regulations, including proper documentation for new hires.

Employee Benefits Administration

- Manage employee benefits processing, such as leave applications, medical claims, and insurance enrolment, ensuring all transactions adhere to client policies.

- Handle employee benefit queries from clients and employees.

HR Compliance & Data Management

- Ensure client compliance with local labour laws, including MOM regulations, Fair Consideration Framework (FCF), and Employment Act.

- Maintain accurate and updated employee records in compliance with the Personal Data Protection Act (PDPA).

- Support clients in the preparation of statutory reports and audits.

Client Support & Service Delivery

- Serve as the first point of contact for client queries related to HR processes, providing prompt and professional assistance.

- Work closely with the Management Team to ensure service delivery aligns with client expectations and service level agreements (SLAs).

- Assist with onboarding new clients, ensuring a smooth transition into outsourced HR services.

Process Improvement & Technology Utilization

- Identify opportunities to streamline HR processes and improve efficiency using HR software systems.

- Support the implementation of new HR tools and systems for clients, providing training and ongoing support.

Requirements:

- Diploma or Bachelor’s degree in Human Resources, Business Administration, or a related field.

- At least 2-3 years of experience in HR operations, payroll, or HR outsourcing, with a focus on Singapore labor laws and regulations.

- Experience in managing payroll via HR systems is highly desirable.

- CEI certified preferred

About the role:

Working closely with outsourced partner, you will act as the first point of contact for employees on any HR & Admin related queries and you will be handling the following responsibilities.

Payroll & Attendance

• On weekly basis, download time attendance from the app and submit to outsource partner to update the time and attendance records. Pass the time and attendance for the Kitchen Supervisor to approve
• Ensure the payroll and leave data updates are submit timely to outsource partner
• Check payroll reports done by HR outsource partner before management approval for salary payment and CPF contributions

Compensation & Benefits:

• On weekly basis, after verifying the details, assist to approve the leave and claims for the staff. For urgent leave, they will follow up with leave submission and supporting document, if needed
• Work with the outsource HR company on the Reservist/ Maternity/ Childcare/ Insurance Claims and ensure timely & accurate submissions and processing of monthly claims

Recruitment Function:

• Assist with day-to-day operations of the HR functions and duties (onboarding, offboarding, prepare HR letters including New hires; Confirmation; Promotion; Acceptance of Resignation and Warning Letters)
• Update the outsource partner on the new hires details as well as resignees
• Update Pfile to ensure all documents are in place both hardcopy and digital.
• Monitor and follow up on all work pass application and renewal and cancellation
• Register /De-register the thumb print to enable staff can clock in/out in both outlets and FAB App
• Update insurance company on the new hire and resignee status
• Update organization chart updates
• Conduct Orientation and Exit Clearance

Admin Function

• Support general office administration and operations
• Monitor renewal of all company purchases and services contracts such as equipment; retail outlet leasing; insurance; pest control; software licenses etc.
• Source for new equipment
• Manage and upkeep inventory for stationery, pantry, cleaning supplies etc.
• Source for relevant course for staff to attend, course registration and arrange payment and submit grant and follow up grant status
• Support company /staff events eg Annual outing
• Ad-hoc or HR project follow up duties as and when assigned by the superior

Qualifications

• Minimum 2 years of HR experience required
• Possessing good HR knowledge and understanding of the Employment Act and the labour laws in Singapore is a must.
• Focused mainly on Payroll and Compensation.
• Required to be highly independent and possess a high level of integrity.
• Must be willing to adapt to changes in a fast paced environment
• Must be very organised and meticulous
• Good communication & interpersonal skills.
• Experience working in F&B will be an advantage
