Assist Finance & HR Manager in Full spectrum of HR and admin matters:

Job Responsibilities

• Maintain and update employee personal files records
• Maintain leave records
• Check and compute monthly timesheets
• Prepare relevant reports to accompany payroll
• Process MOM work pass applications including arranging of medical check-up and insurance
• Process claims on NSmen and Government Paid Leave
• Schedule interviews
• Monitor and manage office stationery supplies

Job Requirements

Key Responsibilities:

• Recruitment & Onboarding: Manage the end-to-end recruitment process, including posting job advertisements, screening applicants, coordinating interviews, and handling work pass applications and related administrative tasks.
• Work Pass Administration: Oversee work pass matters, including applications, renewals, and cancellations.
• Policy Development: Design, update, and implement HR policies to ensure compliance with the Employment Act and alignment with organizational goals.
• Payroll Management: Handle payroll processing for employees, ensuring accuracy and timeliness.
• Employee Life Cycle Management: Support various aspects of employee management, including confirmations, insurance, leave administration, contract renewals, and offboarding processes.
• Training & Development: Coordinate employee training programs, including course registration and progress monitoring.
• Insurance & Claims: Work closely with agents to manage insurance claims and related processes.
• Performance Management: Assist in administering performance reviews and evaluations.
• Documentation & Compliance: Maintain accurate and confidential HR records and collaborate with government bodies on employee-related matters (e.g., MOM surveys).
• Ad-hoc Duties: Undertake additional responsibilities as assigned.

Requirements:

• Proficiency in both English and Mandarin (written and verbal) to liaise effectively with stakeholders.
• Strong interpersonal and communication skills with a professional demeanor.
• Ability to work under pressure and meet tight deadlines.
• Demonstrates reliability, adaptability, and integrity in all aspects of work.
• Diploma or higher qualification in HR, Business Management, or a related field.
• IT proficiency: Skilled in Microsoft Excel, Word, and HR-related tools or software.
• At least 1-2 years of experience in a similar role (preferred).

• Ensure a smooth onboarding experience for new hires by coordinating essential documentation, planning schedules, and fostering collaboration among diverse departments.
• Efficiently oversee preboarding, onboarding, and offboarding procedures.
• Provide focused HR advisory assistance to employees, addressing operational concerns with expertise.
• Contribute to effective communication, interpretation, and resolution of a wide range of HR challenges.
• Create and disseminate official correspondence as needed.
• Manage tasks related to work permit applications and matters involving foreign workforce.
• Consolidate payroll summary for external payroll vendor.

Requirements:

• Bachelor's degree in Human Resources, Business Administration, or a related field.
• 3 to 5 years of HR relevant working experience.
• Preferred candidate with experience in manufacturing environment.
• Solid understanding of HR operations, regulations, and best practices.
• Knowledge of employment procedures, including work pass matters for foreign employees.
• Excellent communication skills for effective interaction with employees and cross-functional teams.
• Organizational skills to manage daily HR administrative duties and tasks efficiently.
• Bilingual in English and Chinese to communicate with multinational workforce.
• Able to start immediately or within short notice period will be an added advance.
