About the role

Accountable for the management, implementation, and delivery of a large technology program of work in “Commodity Trading Risk Management” (CTRM) consisting of end to end physical and paper trading activities across Singapore, US, Europe, Australia and NZ. This role holds end to end accountability for the project lifecycle, from concept to operational transition, ensuring business value delivery through technology aligned with Ampol’s program management methodologies and procedures.

As the leader of the Commercial Fuels Commodity Trading Risk Management project, this position oversees a crucial, complex initiative aimed at replacing legacy platforms, integrating with ERP, Voyage Management, Supply Planning, Data Lake, and Front Office Tools, and refining processes to support:

• Comprehensive physical and paper trading activities

• Existing operations in Singapore, US, and Australia, as well as new markets in the UK and NZ

• Trading of hydrocarbon and renewable fuel products

Responsibilities span the entire project lifecycle, from architectural design through to seamless transition into operations, with a focus on delivering technology-driven business value and adhering to Ampol’s program management standards. Key aspects of the role include:

• Oversight of CTRM vendor agile delivery and associated KPIs

• Vendor management

• Stakeholder engagement, risk and issue management, and comprehensive reporting

• Budget management

• Establishing sustainable BAU (Business as Usual) product operations

This role collaborates closely with the Process team to drive business process enhancements and improve transparency through the CTRM implementation.

Key responsibilities

Project Delivery

• Responsible for managing a multi year CAPEX budget of ~$15m per annum.

• Work with business stakeholders in the commodity trading and supply business to prioritise demands and ensure alignment with financial allocations.

• Define, establish and manage multiple 3rd party vendor contracts for the execution of work packages within the program (value ~$10-20m), with appropriate IT and Business sign off.

• Actively manage the Portfolio of technology projects in this space, ensuring resource management, reporting, financial controls are in place.

• Ensures that technology project scope is managed to and act as point of escalation for scope changes, ensure that changes in scope that will impact time or cost are managed within established change control processes.

• Ensure delivery of a CTRM that meets trading and supply operations requirements.

• Develop business case proposals and funding allocation requests for the portfolio of projects

• Ensures IT projects deliver the benefits stated.

• Manages the annual Capital planning cycle for the portfolio of projects in conjunction with the Technology Managers.

• Ensures projects are delivered as per Ampol project management methodology.

• Provides input to the development and maintenance of the Projects at Ampol methodology and framework and tooling.

People Leadership

• Provides leadership, direction and professional development of IT project managers ensuring skills and knowledge are aligned to the project requirements.

• Recruits and selects project resources – both permanent and contract – as business requirements and funding dictate. Stakeholder management

• Actively engages with stakeholders, ensuring appropriate governance is in place.

• Ensures that stakeholders expectations around project scope, timeframes and outcomes are effectively managed and any changes are well communicated and understood.

• Escalates project risks and any strategies being deployed to address slippages.

• Ensures appropriate change management processes are in place to drive effective end user adoption.

• Escalates project issues / risks needing attention to the Technology Managers and Head of Delivery.

Vendor Management

• Ensures prudent commercial procurement decisions are made in relation to the selection of the delivery partners and that statements of work are negotiated and managed by the team accordingly, with sign off from Contract owners.

• Ensure value for money is obtained from vendor contracts, synergies are achieved, and a strong alliance relationship is established and maintained.

• Works with the Project Managers to ensure that vendors are meeting the critical elements of their commercial agreements and SOWs and works across the projects to address any issues associated with vendor delivery.

• Acts as the Escalation point for underperformance of vendors and is accountable for the support of project managers in addressing such.

• Works with Head of Delivery and Technology managers in the selection of ongoing support partners ensuring the appropriate procurement processes are followed in obtaining our support partners.

Qualifications & experience

• Tertiary qualification in a relevant discipline (such as Business, Finance, IT, Engineering) or significant equivalent workplace experience.

• Certified in Prince2 or PMBOK

• Program manager certified

• Agile certified

• Experience working in the Commodity Trading Risk Management (CTRM) industry especially in relation to oil products

• SAP experience is preferred but not essential

• At least 15 years technology delivery experience, with at least 7 years managing large programs of complex technology projects

• Proven experience and track record in the successful implementation of Business projects and outcomes.

• Experience working in large and complex working environments.

• Experience in Agile project management methodology is an advantage

• Strong focus on program outcomes as you will be expected to make informed decisions in an agile manner and deliver tangible outcomes/benefits.

• A strong knowledge of all the accounting and taxation principles and standards, statutory legislations, and regulations locally, regionally, and globally.
• Preferably bilingual in English and Mandarin (to handle queries and instructions from Mandarin-speaking stakeholders in regards with the finance matters).

• Aiming for at least one bronze award per year, depending on number of qualifying projects and whether clients are amenable

(3) Leading enhancement of the quality and sales potential of the brand’s partnership assets

• Overhauling and revitalising Motion’s portfolio of case studies in line with the brand’s business priorities and target clientele, including overall strategy, copy rewriting, imagery curation in co-ordination with project managers, designers and the Art Director, curation of portfolio decks under Motion’s business pillars and client types and individual portfolio deck creation on request by the company leadership
• Leading and project managing the creation of new case studies for the company’s completed projects

(4) Ownership of and updates for the company website and other online platforms including, but not limited to, staff bios, company business copy, approved case studies, contact form, press and media, editorial features the company has had, careers page, and contact incentives such as downloadables

• Manage Google Analytics to inform website and SEO usage as well as content on our websites, to be included in the monthly leadership report
• Co-ordinate with website hosting companies for the management and update of the Motion website
• Establishing and running the Motion blog; writing articles of interest to Motion’s audience on topics including but not limited to business, the senses and the company’s projects on a monthly basis
• Topics across three key pillars; sensorial experiences, the experience of Motion products and behind the scenes, business thought leadership

(5) Developing the company’s physical space (Ann Siang Road office “House of Motion”) for branding and sales benefits to the company in partnership with relevant stakeholder (i.e. CEO and Designer)

• Conceptualise, project manage and lead the positioning of the company’s physical space for marketing, networking, business development, thought leadership and brand amplification benefits to Motion, through events, online visibility and posts about the office space
• Identifying, inviting, working with and managing speakers for events at the House of Motion
• Moderating panels and fireside chats organised at the House of Motion
• Co-ordinating with external partners to formalise sensorial offerings for Motion such as scents, giveaways and other promotional materials

(6) Co-ordinating with PR managers and firms to plan the company’s earned media strategy

• Pitching the company for inclusion in earned media such as but not limited to magazines, websites and other platforms focused on design, lifestyle, art, creative, events, business, finance and entrepreneurship

(7) Working with, onboarding and managing Communications Associate(s), Social Media Executive(s) and other new hires that may be team designed into the Positioning pillar

• Review Module and Category Mix every 6 months based on POS sell through to maintain healthy counter inventory
• Verify Consultants’ paperwork relating to staff purchase / incentives claim approval of Annual / Unpaid Leave Forms
• Consult with ELC Human Resources on any potential people issues
• Ensure Counter Managers are maintaining adequate levels of stock on hand, and are utilizing store processes to address stock issues
• Provide assistance and coaching where necessary
• Ensure all return authorizations are completed in each Store by date required
• Ensure quarterly tester orders are placed by all accounts
• Input information to Payroll within specified timeframes

2. Education Management:

• Collaborate with the Head of Commercial and Head of Partnerships on the regional consumer education strategy to deliver a best-in-class experience for our people and our retailers
• Localize and execute the Global Consumer Education strategy within the region
• Assessment of internal and external learning engagement and needs, owning the plan to close relevant gaps within the market
• Collaborate with the Global Consumer Education team, understanding and delivering global objectives and KPIs while relaying feedback on market trends that impact global content generation/refinement
• Facilitate impactful education sessions among diverse audiences at cadence/frequency required, including delivery to large groups in a classroom-style setting
• Support all NPD launches through facilitation of Key Product Knowledge and educational content delivery across multiple channels in the market
• Lead and drive the promotion of a customer-focused culture within the retail teams by providing in-store, in-person support and motivation
• Work with the Area Managers on delivering education-based KPIs that serve the total business needs
• Monitor service and education standards in DECIEM staffed locations, identify development needs within our teams and partner with retail team to execute and measure success
• Train retail staff on in store promotions and how to execute selling methods effectively
• Support local Communications and Brand Marketing teams in key Brand Equity building projects/tasks on an as-needed basis
• Support pop-ups/events throughout the region
• Be the market and regional expert on education, training and facilitation. Maintain in-depth knowledge of market trends, demographics and consumer needs

What You Will Need:

• Minimum 4 years of experience managing commercial sales & education management retail at a managerial level
• Excellent interpersonal and communication skills
