• Full spectrum of HR & Administrative duties
• Assist to manage employees’ matters in areas of compensation matters, appraisal for annual increment and performance bonus
• Manage HR Administrative duties in areas of preparation of all HR related letters, insurance, maintaining HR Documentation, etc
• Ensure timely processing of monthly payroll for employees
• Journal entries for payroll, OT, bonus accrual and related
• Assist in coordinating in training programme and liaise with nominated trainees on training requirements

The HR and Admin Manager is responsible for overseeing all aspects of human resources and administrative functions within an organization. Key Responsibilities:

Human Resources Management:

• Manage all HR-related activities for Singapore offices, including payroll using OpenSoft for approximately 150 headcounts.
• Develop and implement HR policies and procedures in line with company goals and legal requirements.
• Manage recruitment, onboarding, and offboarding processes.
• Oversee performance management systems, including appraisals and employee development.
• Handle employee relations, conflict resolution, and ensure a positive work environment.
• Administer compensation and benefits programs, ensuring equity and competitiveness.
• Ensure compliance with labor laws and company policies, including health and safety regulations.

Training and Development:

• Identify training needs and organize employee development programs.
• Monitor training effectiveness and employee performance.
• Promote continuous learning and career growth opportunities within the organization.

Administrative Management:

• Oversee office operations, including managing administrative staff and office facilities.
• Handle procurement of office supplies, equipment, and services.
• Ensure smooth functioning of administrative processes, such as document management and scheduling.
• Coordinate travel, meetings, and events.

Employee Engagement and Welfare:

• Foster a positive and inclusive work culture through employee engagement initiatives.
• Coordinate wellness programs, team-building activities, and employee recognition events.
• Manage employee benefits programs and ensure they meet employee needs.

Reporting and Analysis:

· Prepare HR and administrative reports for management, including employee turnover, staffing levels, and operational efficiency.

Job Duties

Human Resource

• Lead the recruitment and selection process, including sourcing candidates, conducting interviews, and making informed hiring decisions for normal or overseas hiring and BPO (*placement of staff at client location) recruitment.
• Oversee seamless onboarding and offboarding processes for employees, ensuring compliance with company policies and fostering a smooth transition.
• Develop and implement HR policies and procedures aligned with organizational objectives and goals.
• Identify, design, and execute training and development programs aimed at enhancing employee competencies and effectiveness.

• Offer guidance and support to managers and employees on various HR-related matters, including performance management, employee relations, and disciplinary actions.

• Efficiently manage various forms of correspondence, including emails, letters, packages, and phone calls.
• Monitor office supplies inventory and replenish as needed to prevent disruptions in standard front office operations.
• Coordinate and schedule meeting rooms as per requests from different parties.
• Liasing with external client with regards to BPO (e.g. customer service for staff replacement)
• Task to explore set-up for a branch office in other countries (e.g., office location, registration, administrative process).
• Other tasks that may be assigned by supervisor or director.

Qualifications & Skills

• Bachelor's degree in Human Resources, Business Administration, or a related field is required.
• Demonstrated track record in HR management roles, with a minimum of 3 years of experience.
• Familiarity with MOM regulations and thorough understanding of the Employment Act and industry best practices is essential.
• Experience with labor laws in Malaysia, Philippines, or Indonesia is considered advantageous.
• Capable of working autonomously or collaboratively within a team environment, adept at managing multiple priorities and meeting deadlines.
• Excellent interpersonal and communication abilities are a must.
• Strong problem-solving and decision-making capabilities.
• Proficiency in MS Office Suite is required.

HR Exec Job Description

• Assist HR Manager to oversee HR Department and manage the full spectrum of HR & admin functions
