Job Responsibilities:

• Support the Assistant HR Manager in carrying out daily HR & administrative functions.
• Assist in coordinating and scheduling interviews for recruitment purposes.
• Organize and maintain employee personal files and documentation.
• Assist in maintaining records such as time attendance, employee information, training details, leave records and claims through the Infotech HR system.
• Provide support for onboarding and offboarding processes, including orientation, workstation setup, stationery, uniforms, exit interviews, IT set up..etc
• Update employees’ insurance information and address any employee queries related to medical insurance claims.
• Provide general office administrative support, including tasks such as ordering stationary, company T Shirts, updating vehicles' insurance & vehicle inspection & road taxes, and replenishing office supplies & pantry items.
• Provide support to office IT related matters as and when required.
• Perform other ad hoc duties as assigned.

Job Requirements:

• At least a Diploma in Business, HR, or Finance or equivalent.
• Minimum 2 years of relevant working experience.
• Good knowledge of Employment Act and other employment-related legislation and regulations.
• Experience with using Infotech HR System will be highly preferred.
• Willing to learn, independent & hardworking.
• Ability to handle sensitive and confidential information with discretion.
• Good communication skills.

• Handle the process of the employee lifecycle including recruitment, work pass applications, approvals, onboarding and offboarding, records keeping etc
• Functioning as the point of contact for HR operation matters, HR-related inquiries, and disciplinary cases
• Functioning as liaison between employees, management, and clients for manpower needs
• Functioning as liaison between HR and subcontractors/partners for HR/Payroll matters to negotiate and communicate on employment matters
• Update HR- Finance report on monthly staff changes for payroll processing
• Ensure timely closure of Leave Attendance for payroll processing
• Follow up with employees’ queries, grievances, concerns, issue resolution, emergency situations, etc.
• Generate payslips and respond to employees’ queries on payroll matters in a timely and professional manner
• Prepare employment contracts, letters, and other documentation
• Collaborate with HR Officer on staff salaries/claims/freelance/OT timesheets/Invoices and process
• Monitor, upkeep, and ensure security and accuracy of employees’ records and documents in HRIS and physical employee personnel files and ensure all the HR-related reports are updated
• Assist stationery & PPE Inventory/transmittal/preparation
• Ensure all administrative documents are recorded properly
• Supporting tender team in sieving of candidates to propose for projects and answering HR-related clarifications.
• Handle tender process and meetings

Requirements:

• Diploma/Degree in Human Resources, or related
• Min. 2 years of working experience in HR and Admin functions
• Proficient in Microsoft Office
• Team-oriented and able to work well with different stakeholders
• Able to multi-task and work under pressure in a fast-paced environment
• Able to communicate well and comfortable in dealing with conflicts
• Able to work independently with minimum supervision
• Possess a good working attitude and responsibility
• Coordinate meeting schedules
• Conversion, collating and submission of documents & resumes
• Assist in the process and validity of ISO Certification and all other related licenses
• Any other ad hoc duties assigned

Account Executive

Maintain full set of accounts

Responsible for month end and year end closing of accounts

Process Payroll and Staff Commissions

GST, CPF and corporate tax submission

Handle invoicing, inventory, AR, AP, staff claims and reimbursement

Other administrative duties necessary

Follow up and process payment and receipt for supplier invoices and Customer Invoice

Any ad hoc duties as assigned

HR and Admin

Prepare letters of employment, confirmation, other HR-related documents etc

Company activity planning and organization

Work pass application

Requirements:

· Minimum Diploma in Accounting or equivalent

· At least 3 years relevant experience

· Positive, Independent, meticulous and team player

· Bilingual in Chinese and English

· Those who can start immediately or within a short notice period will have an added advantage

The HR Executive will be responsible for managing end-to-end recruitment processes, including sourcing, posting job ads, interviews. The role also involves liaising and attending recruitment fairs, handling onboarding and offboarding processes, ensuring compliance with employment laws

Recruitment

• Advertise vacancies on all major job posting sites

• Review applications to shortlist candidates.

• Conduct initial interview for the shortlist candidates and arrange appointment with hirings

• Source candidates through various channels ( job portal, recruitment agency etc) and explore new sourcing channels

• Work closing with hiring manager to understand requirement

• Prepare necessary papers for the hiring process including offer & negotiation

• Establish positive relationships within the various stakeholders and candidates to assist with the seamless recruiting process.

Recruitment Fairs

Liaise with organizers and attend recruitment fairs to attract potential candidates.

Onboarding and Offboarding

• Facilitate smooth onboarding processes for new hires.

• Manage offboarding procedures, ensuring all exit formalities are completed.

Requirements

• Diploma in Human Resource Management, Administrative or similar

• Minimum 2 years of experience in related functions

• Good communication skills (written and oral)

• Pro-active manner, willing to offer new suggestions and share

• Knowledge of Employment Legislation

• Proficient in Microsoft Office/Excel with an eye for details
