Job Description:

As an HR Cum Accounts Executive, you will play a crucial role in supporting both our Human Resources and Finance departments. You will be responsible for managing HR functions and handling accounting tasks to ensure smooth operations.

Key Responsibilities:

Accounts Responsibilities:

• Manage day-to-day accounting operations, including invoicing, data entry, and reconciling accounts.
• Maintain and update financial records and ledgers.
• Assist in preparation of monthly, quarterly, and annual financial reports.
• Process payments and manage accounts payable/receivable.
• Support in tax filing and audits as needed.

Human Resources Responsibilities:

• Assist in recruitment and onboarding of new employees.

Responsibilities:

• Develop end-to-end sourcing strategies for all the open job positions, using various sources (recruiting website, referrals, on-site, etc.)
• Screening, filtering, and shortlisting of candidates as well as managing interview schedules.
• Source and interview candidates, presenting qualified ones to hiring managers.
• Provide HR hiring advices to department heads to discuss on their hiring needs, market conditions, and align on expectations.

We are seeking a meticulous and proactive Finance, HR and Admin Executive to support our Directors and Account Manager in managing day-to-day finance and administrative operations. This role is critical in ensuring financial accuracy and smooth administrative processes. Our business currently includes one durian retail café (99 OLD TREES) and three gelato café chain (TOM’S PALETTE).

Your role with us:

Accounting and General Administrative Functions:

• Assist Account Manager in managing the full set of accounting activities for 3 companies.
  • Record purchase invoices and expense claims in Xero, ensuring transactions are categorized correctly and appropriate tax rates are applied. Identify, investigate, and report any discrepancies or duplicate entries..
• Reconcile daily sales transactions across cash, credit card, and other payment methods. Accurately record these transactions in Xero, categorize them appropriately, and apply the correct tax rates. Address and report any discrepancies in sales records.
• Investigate and resolve differences between receipts and settlement figures (e.g. errors in the point-of-sale system).
• Assist Account Manager with regulatory submissions, including quarterly GST returns.
• Scan and upload receipts to a shared folder and maintain organized documentation.
• Assist Account Manager in preparation of monthly Profit & Loss (P&L) statements to provide accurate financial performance reports
• Ensure adherence to established accounting policies and procedures at all times.
• Issue invoices to customers promptly and accurately.
• Oversee Accounts Receivable and Accounts Payable management.
• Review supplier invoices and purchases to ensure accuracy and legitimacy before processing payments.
• Report to Directors and Accounts Manager and assist with any ad-hoc tasks as required.

HR Functions:

• Process staff claims and provide administrative assistance for HR-related tasks.
• Maintain and audit staff timesheets, and process payroll accurately.
• Prepare CPF submissions, annual IR8A submissions, IR21 submissions for foreign workers, and other HR-related filings.
• Handle HR and office administration matters, such as work pass applications.

Requirements:

• Only Singaporean or PR need to apply.
• Minimum 2 years of relevant experience in accounting.
• Five-day work week.
• Experience in using XERO and finance-related processes.
• Strong attention to detail and excellent organizational skills.
• Knowledge of GST preparation, reconciliation, and financial reporting.
• Ability to manage multiple tasks and meet deadlines.

As part of the Human Resource team, you will be responsible for executing the full range of HR functions, from employee recruitment, retention, engagement, performance management to employee relations and regulatory compliance. You will work closely with the HR leadership team to provide HR guidance and support to business units, in alignment with the organization’s goals.

Primary Responsibilities:

• Partner with Business Unit (BU) Leads / Heads of Department (HODs) in the management of employee life cycle.
• Support and participate in annual performance management processes, including providing guidance and advice on managing performance issues.
• Work with respective HODs on annual budgeting process, understanding each business needs with manpower requirements.
• Provide guidance for the HODs and employees on the application of HR policies, procedures, and standards.
• Execute administration processes related to the full employee life cycle, including but not limited to recruitment, onboarding, work pass management, performance evaluation, re-employment, and offboarding.

• Keep abreast on latest statutory requirements on required regulatory reports (e.g., Work Injury reports to MOM).
• Verify coverage, process policy updates, and issue certificates of insurance as needed.
• Process eligible claims by coordinating with insurance brokers, ensuring claims are submitted for reimbursements within the respective timeframes (e.g., be aware on the stipulated claim window by insurance vendors).
• Update monthly work injury report details to management.
