Reporting to the Principal, the Operations Manager will work closely with the Senior Leadership Team.
EtonHouse Broadrick is seeking an organised and proactive Operations Manager to ensure the seamless functioning of our school's daily operations. The ideal candidate will produce and update school academic, operational, and class timetables and oversee various administrative and operational tasks. The candidate will also support school leaders in planning and aligning the objectives and work plan to meet the school's strategic needs.
Job Role & Responsibilities
• Serving as the primary point of contact for office-related matters.
• Submit monthly report to payroll (relief staff claim, unpaid leave list, staff list (including the change of staff - leaving, new joiners).
• Ensuring proper, consistent execution of school-wide operational processes, e.g. student’s daily arrival & dismissal, student attendance, bus management, health and insurance, school emergency processes, etc.
• Preparing the annual academic calendar and event planning calendar to capture all academic assessment timelines, cultural celebrations, term breaks, school events, etc.
• Oversee student bus transport to and from the school. Handle parents’ complaint.
• Oversee lunchtime and snack time arrangements in the dining and playground area of the school. Make sure staff cover their duty on time and professionally.
• Manage daily staff attendance and handle relief coverage if any teacher is absent.
• Update staff on changes in routine, events, and information relating to students/ parents /service providers /other day-to-day operations via (1) daily morning notice, (2) weekly schedule, (3) weekly staff briefing.
• Attend weekly senior leadership meetings and PLO/GO meetings.
• Oversee the organization of special school calendar events such as graduations, celebrations, concerts and Parent Teacher Evenings.
• Conduct fire drills/lockdown practices of the school.
• Ensure that school documentation such as the Staff Handbook, SOP/policy of administration/operations etc is kept up to date.
• Oversee the appropriate organisation of all school excursions and outdoor education camps.
• Oversee the annual photograph for the whole school students and staff.
• Act as a contact for Assistant Teachers.
• Oversee the cleanliness of the School. Give instructions to the cleaners to do the event set up (for all school events, in the classroom, or in the hall, or playground etc)
• Ensure timely and effective written communication relating to health and safety (communicable diseases) issues with parents. (HFMD, Chicken Pox, Hed Lice etc)
• Participate in staff selection (office staff, assistant teachers, school nurses etc), performance appraisal, professional development etc. Work with Senior Leadership Team in enhancing and maintaining staff relations.
• Lead the establishment and implementation of school policies, specifically for the non-academic domain.
• Organize meetings with the other two executive team members such as staff meeting, staff briefing, coordinators’ meeting, assistant teacher’s meeting, non-academic staff meeting etc.
• Support PSA/Class Reps. Attend their meetings and follow up after the meetings. Provide support when there is PSA event.
• Organise and run the Extra-Curricular Activities Programme with internal staff and external vendors.
• Organise and run Holiday Programme during school break (3 times a year)
• Organise Summer Camp for EtonHouse China students.
• Liaise with external sports vendors for additional sports or enrichment activities in the school timetable.
• Attend to staff/parents whenever approached.
• Any other duties that may be assigned by the School.
Job Qualifications
• Bachelor Degree/Diploma from a recognised University, in Business Studies / Administration / Management or equivalent with at least 4 years of related work experience in the education services or a service-oriented industry;
• Experience working in an international school environment, especially a Primary School would be an added advantage;
• Possess a collaborative attitude and advanced problem-solving skills, work well in a team-oriented work environment.
