What you'll be doing

• Providing administrative assistance to the HR team, including managing employee records, processing payroll, and coordinating staff onboarding and offboarding
• Supporting project management activities, such as scheduling meetings, maintaining project documentation, and tracking project milestones
• Assisting with the coordination of training and development initiatives for employees
• Liaising with internal and external stakeholders to ensure smooth operations

Responsibilities

• Under the guidance of your Manager, develop your understanding of the payroll structure and components.
• Prepare and support end-to-end payroll processing and recording of client’s payroll, which includes but not limited to monthly payroll, social security administration, statutory filing, year-end adjustments and filing individual income tax return.

Role Summary

We are seeking a HR & Operations Executive to take on a critical role in managing the company’s human resources, office operations, and strategic programs. This hybrid position requires a highly organized and detail-oriented individual who can oversee HR processes, manage office operations, and lead the coordination of key strategic projects and programs. Key Responsibilities

1. Strategic Program & Project Management

• Organize and coordinate the most important programs the company is involved with, ensuring seamless execution.
• Drive processes from an operational and administrative standpoint, ensuring projects are delivered on time and within scope.
• Track project progress, create detailed plans, and report updates to stakeholders.

Job Duties:

Leave Administration:

• Manage the Leave group mailbox.
• Support various leave management tasks, including joiner leave, annual leave, year-end leave calculations, and staff queries.
• Coordinate with staff, managers, and HR (BP, Payroll) to gather necessary information for calculating actual leave entitlements and leave day utilization.
• Assist in system enhancements, review the leave application process, prepare user requirements, and conduct UAT for the Leave System.

Training Administration:

• Manage the L&D group mailbox.
• Set up course catalogs and individual courses on the LMS.
• Track completion status of mandatory eLearning and send reminder emails to non-compliant staff.
• Monitor and upload learning hours for in-house, external, and online training sessions.
• Support registration for external training sites, including all types of training and mandatory eLearning.
• Manage event logistics, including venue, F&B, and training materials.
• Drive awareness and engagement for training programs.
• Raise and assist with course grants submissions.
