JOB DESCRIPTION

As a vital member of the Group Human Resources team, the Executive will play a key role in supporting the Group Development Awards portfolio under the guidance of the Manager, Group Scholarships and Awards. The responsibilities include:

1. Ensuring alignment of development awards with the overall organizational objectives and equipping identified staff with the necessary skills to contribute effectively at organizational, group, and national levels.
2. Supporting the annual review of development awards for relevance and effectiveness, making recommendations for updates and changes as necessary, and ensuring timely communication of changes and information.
3. Assisting in the planning and execution of the annual awards cycle, which includes conducting briefings for institutional representatives, collating award nominations, performing preliminary reviews and assessments of incoming nominations, and preparing for awards review panel meetings.
4. Continuously reviewing and streamlining the awards nomination and administration processes to enhance efficiency.
5. Participating as a member of the organizing committee for the annual awards ceremony.
6. Undertaking ad-hoc projects related to Group Scholarships and Awards and Human Resources as assigned.

JOB REQUIREMENTS

1. A Bachelor’s Degree in Business Administration or a related discipline in Human Resources.
2. Ideally, 1-3 years of experience in an HR generalist or HR development role; fresh graduates are encouraged to apply.
3. Prior experience in managing a scholarships and awards portfolio is advantageous but not mandatory.
4. Strong project management, planning, and prioritization skills.

Job Responsibilities:

• Manage end-to-end operational activities of recruitment, preboarding and onboarding, performance management and training, employment changes and offboarding processes for Operations units.
• Assist employees with HR transactions such as payroll, benefits enrolment, and leave management.
• Ensure timely and accurate HR updates on workforce and employee data.
• Provide support and proactive follow-up on HR programs and processes.

General Administration

• Provide support for all answering of calls
• Update pest control services report (weekly) and mosquito breeding report (monthly)
• Order stationeries and pantry supplies and gifts (for occasions)
• In charge of the maintenance of the copier machines and order toners when required
• Maintain record of Company Vehicles and apply Shell card for new vehicles, vehicles auditing
• Apply for PUB for water and electricity supply for office, town council and public toilets and accommodation of foreign workers and season parking for lorries

Recruitment

• Support recruitments for Operations teams with recruitment. administrative, organizational and logistical tasks.
• Serving as the logistical point of contact for both internal and external candidates at the written offer stage, including interacting directly with the candidates and ensuring signed paperwork is received in a timely manner.
• Managing various aspects of the candidate experience post offer acceptance, including ensuring accurate start dates and compliance of onboarding paperwork.
• Maintain accurate record keeping and consistent storage of new hire candidate records.
• Completing daily, weekly, monthly and quarterly reports as required.
• Conduct new employees’ orientation, exit interviews, referral programs.
• Updating of handbooks, orientations programs and documents templates when required.
• Any other ad-hoc tasks that are assigned.

Assist the HR manager to oversee HR Department & manage the full spectrum of HR Functions and adminstration.

• Provide HR support to the Manager on recruitment, performance review, employee relations, compensation & benefits.
• Conduct orientation to new employees.
• General HR administrations, such as preparation of appointment letters, confirmation letters, memo and etc.
• Coordinate with Operations Department to evaluate on the next course of action after being notified of any disciplinary case.
• Conduct exit interview. (For foreign resignees)
• Liaise with relevant ministries and agencies to process Work Permit, S Pass, Employment Pass for Malaysians (TS), Non-Traditional Sources (NTS), People Republic of China (PRC).
• Implementation of HR policies and recommend appropriate practices to ensure consistency and long term substainability of HR policies.
• Carry out any other duties as and when assigned by immediate supervisor or higher management.
• Involved in recruiting process, in connecting workers, negotiations, explainations of contracts.
• To apply, renewal work permits, arranging medical checkups, purchase of security bonds, air tickets for repartiation and home leave employees.
• To apply and ensure MWOC is secured for employees.
• Monitor employee progress and stay abreast on company climate and culture, ensuring it stays positive and productive.
• Demostrate leadership abilities.
• To assist other departments managers when necessary to gain exposure in other areas.
• Undertake any ad-hoc projects assisgned by superior/management team from time to time
• To arrange for Medical/WICA insurance yearly renewal and process any claims pertaining to workers medical/wica case.
