Role Overview:
We are seeking a highly motivated HR & Finance Assistant Manager to support the financial, HR, and administrative functions of our growing organization. This position plays a key role in streamlining processes, maintaining compliance, and ensuring the smooth operation of financial and HR activities within the company. The ideal candidate will have a strong background in finance and human resources, with the ability to manage day-to-day operations in a dynamic and fast-paced environment.

Key Responsibilities:

Finance:

• Lead financial planning, budgeting, and forecasting processes to ensure alignment with company objectives.
• Oversee the preparation of financial reports and analyses for all divisions within the company.
• Ensure strict compliance with accounting principles, tax regulations, and industry standards.
• Develop, implement, and monitor financial policies and procedures to safeguard company assets and ensure operational efficiency.

Human Resources:

• Manage the end-to-end recruitment process, from sourcing to onboarding new employees.
• Develop and implement HR policies and procedures that align with industry best practices and legal requirements.
• Handle employee relations, performance management, and conflict resolution to maintain a positive and productive work environment.
• Oversee payroll processing and benefits administration, ensuring timely and accurate compensation for all employees.

Administrative Support:

• Assist the Sales team in preparing detailed sales and service quotations for clients.
• Coordinate logistics activities, including scheduling collections and deliveries, to meet customer requirements and ensure timely service.
• Provide pre-sales and after-sales support by working closely with the Sales, Service, and overseas teams to address customer needs and inquiries.
• Process sales orders efficiently to ensure smooth operations across departments.
• Perform general administrative duties as required, including filing, documentation, and reporting.
• Assist with ad-hoc office tasks to support the overall operations of the business.

Qualifications & Skills:

• Bachelor's degree in Finance, Business Administration, Human Resources, or a related field.
• Proven experience in HR and finance roles, preferably within the renewable energy or technology sectors.
• Strong understanding of accounting principles, financial reporting, and HR best practices.
• Excellent organizational and time-management skills with the ability to prioritize and handle multiple tasks.
• Proficiency in HR and finance software, as well as Microsoft Office Suite (Excel, Word, PowerPoint).
• Strong communication and interpersonal skills, with the ability to collaborate across departments and with external stakeholders.
• Detail-oriented, proactive, and able to work independently in a fast-paced environment.
• Experience in the renewable energy or EV charging industry is a plus.
• Knowledge of relevant industry regulations and standards.

Responsibilities:

• Responsible for attracting candidates and matching them to jobs with clients’ companies
• Conduct networking in order to attract business from client companies and build relationships with clients
• Search for candidates to find the right person for the employer’s vacancy; receive and review applications, arranging interviews, and short-listing candidates
• Brief candidate about the responsibilities, salary, and benefits of the job in question
• Prepare and edit resumes and forward to clients in respect of suitable applicants
• Organize interviews for the candidate as requested by the client by calling and emailing them the required details
• Inform candidates about the results of their interviews
• Follow up on interview schedules and status with hiring manager/HR

Job description

The scope of work for an Account HR Executive typically includes a combination of financial and human resources responsibilities.

1. *Accounting*:

- Managing financial records, including accounts payable and accounts receivable.

- Handling payroll processing and ensuring accurate salary disbursements.

- Monitoring expenses and managing financial transactions.

2. *Human Resources*:

- onboarding new employees.

- Managing employee records and HR documentation.

- Assisting with performance appraisals

- Handling HR compliance and legal requirements.

3. *General Administrative Tasks*:

- Maintaining and organizing office records and files.

- Assisting in office correspondence and admin

This role often requires good organizational skills, attention to detail, and the ability to task between financial and HR functions.

Bachelor’s degree of relevant working experience.

Job Description

1. Manage daily leave & attendance via time software, including leave type entry, entitlement, application, certificate collection & approval and daily employee’s attendance.

2. Processing monthly payroll for designated job sites including processing new hires, terminations, transfers, and promotions.

3. Reviewing and verifying source documents as well as investigating and correcting payroll discrepancies.

4. Ensure timely & accurate submissions in all government and related claims, e.g., levy Wavier, Childcare Leave, Maternity/Paternity Leave, NS makeup claims, income tax (IR21) matters etc.

5. Provide advice, information and support to department managers and employees on HR policy and Leave Balance, etc.

6. Maintain & regularly update the master database (personal file, personal database) of each employee.

7. Administer training related matters including coordination or enrolment of internal & external courses, update & maintain training record etc.

8. Prepare employment contract, confirmation letter, increment, promotion and HR-related letters

9. Assist in performance review process & administer performance appraisals

10. Work closely with operations to manage recruitment exercises, ranging from liaising with candidates, interview arrangement, on-boarding for new hires. orientation, guidance on policies

Requirements

• GCE 'A' level, diploma or higher in relevant discipline.
• 1-2 years of relevant experience
• Meticulous, pro-active, multi-tasking and able to work under tight timelines.
• Proficient in computer application, i.e. Microsoft Office.

Requirements:

Technical Competencies:

• Candidate must possess at least a Diploma/Advanced/Higher/Graduate Diploma in Human Resource Management or equivalent.
• At least 3 Year(s) of working experience in the related field is required for this position.
• Required Skill(s): Microsoft Office, Infotech
• Preferably Manager specialized in Human Resources or equivalent.
