Job Brief

We are looking for an experienced Finance & HR Administrator to organize our company’s day-to-day accounting & payroll procedures.

Your utmost responsibilities include maintaining records for all transactions including bank consolidation, financial reports and processing reimbursements. If you have a background in Finance and knowledge of book-keeping activities, we’d like to meet you!

Key Responsibilities

Managing accounting software, invoice entries for trade creditors and purging entries after payment

Create and update spreadsheets of daily transactions

Manage accounts receivable and payable

Assist to collate checks from (COD) customers

Assist with petty cash claims or checks from Ops requests

Review and process reimbursements

Identify, address & resolve accounts discrepancies

Assist to prepare and submit staff annual income tax

Assist to prepare and submit forms for reimbursements from relevant government agencies

Key Requirements

Minimum Diploma in Accounting/Business Administration or equivalent

Proven work experience as a Finance Administrator, Finance Assistant or similar role

Hands-on experience with accounting software, like Million Accounting

Advanced knowledge of MS Excel (creating spreadsheets and charts and using financial Excel functions)

Good understanding of book-keeping procedures

Time-management and organization skills

Reporting to the Director, you will be responsible for HR activities.

Main Job Purpose

• Undertake human resource activities including employment, compensation, labor relations, benefits, recruitment, insurance, training, and development.
• Maintain and update staff records, administration of leave, staff resignation, termination, etc.
• Handle staff insurance and medical issues (claims, work injury compensation, etc)Work pass applications for foreign new hires (including renewal and cancellation).
• Review and updating of company policy in the Employee’s Handbook
• Liaise with all government and external bodies with regards to staff issues, subsidies, and grants

Qualification and Skills

• At least 2 to 3 years of HR experience in Singapore.
• Good intercommunication skills and able to work independently.
• Familiar with HR practices and well versed with Employment Act and MOM regulations.
• Experience in HR and administrative disciplines in the construction industry.
• Meticulous with good interpersonal and communication skills.

HR Management:

• Manage the end-to-end recruitment process, from job posting to onboarding.
• Conduct interviews, screen candidates, and make recommendations for hiring.
• Maintain employee records, including attendance, leave, and performance evaluations.

Compliance and Reporting:

Office Administration:

· Manage office supplies, inventory, and vendor relationships.

· Ensure proper documentation and filing systems are maintained.

· Act as a liaison between departments and external stakeholders.

· Handle correspondence, emails, and phone calls professionally and confidentially.

· Organize meetings, appointments, and events.

· Prepare agendas, minutes, and follow-up actions.

· Assist in preparing reports, presentations, and data analysis.

· Provide support to management and team members to coordinate travel arrangements as required.

Requirements:

• Bachelor's degree in Human Resources Management or a related field.
• Proven experience in HR, payroll, and administrative roles, preferably in a manufacturing setting.
• Strong knowledge of labor laws, payroll processing, and HR best practices.
• Excellent interpersonal and communication skills.
• Proficiency in HRIS and Microsoft Office applications.
• Experience in Info-Tech payroll software will be added advantage.
• Ability to handle sensitive information with confidentiality and discretion.
• Strong problem-solving and organizational abilities.
• Attention to detail and a commitment to delivering quality work.

Job Description

• Plan, schedule and coordinate training with stakeholders, trainers and trainees
• Preparation, facilitating, coordination and conducting of various company training programs
• Work with internal and external partners to design and develop training programmes
• Support performance management and appraisal
• Any other ad-hoc projects/tasks delegated

Requirement

• Possess Diploma/ Degree in HRM, Business Studies or related discipline
• Prefer experience in training and payroll capacity
• ACTA qualifications or other training certifications would be advantageous
• Experience in Logistics/Forwarding would be an added advantage
• Possess sound knowledge of employment act and statutory guideline
• Excellent communication and interpersonal skills to engage employees and external parties at various levels
