Employee Engagement:

• Drive sucessfully onboarding experiences for employees
• Manage offboarding process and conduct exit interviews for employees
• Assist with organisation of company events i.e. Quarterly Townhall, Annual D&D, CNY Lohei, etc

Statutory Reporting & Filing:

• Manage statutory reporting & filing for government agencies, eg. Work Pass adminisatraion
• Manage submission for government-paid maternity & childcare leave, make-up claims & IR21

Others:

• Support HR employment life cycle for employees, i.e. promotion, transfer, re-designation, conversion & resignation
• Update organizational charts, contact lists, and manage employee inquiries.
• Assist with ad hoc HR matters upon request from directors

What we are looking for

• Minimum Diploma in Human Resources or Business Administration
• Good knowledge in Singapore Employment Act and CPF Act
• Proficiency in MS Office (Excel, Word and PowerPoint)
• Attention to detail, with strong communication and interpersonal skills
• Ability to work independently and manage multiple tasks in a fast-paced environment.
• At least 1-2 years of relevant HR experiences in shipping industry would be an advantage
• Past experience with HR software would be an advantage
• Proficiency in both English and Mandarin to communicate with Mandarin-speaking associates will be an advantage
• Ability to start work immediately will be advantageous

Responsibilities:

General Office Administration

• Managing incoming and outgoing mail
• Handle office facility maintenance, including liaising with vendors
• Monitor and replenish office and workshop supplies (groceries, stationery, corporate gifts, and drinks)
• Vendor & Asset Management
• Coordinate with vendors for regular maintenance and ad-hoc repairs
• Ensure smooth operations of company equipment, including photocopy machines and office appliances.

Event Coordination

• Organise staff events such as outdoor lunches, year-end dinners, and other team-building activities.
• Coordinate catering and office gatherings as needed.

Administrative Support

• Oversee the part-time cleaner and ensure the cleanliness of the office and workshop
• Update staff leave records
• Manage monthly utility, phone and internet bills
• Assist with PSA pass applications/renewal and vehicle road tax reminders

Corporate Tasks

• Track and order corporate merchandise (e.g. polo tees, gifts)
• Coordinate the printing of corporate materials and name cards
• Facilitate the purchase of company gift vouchers and follow up with malls for procedures

Requirements:

• Minimum 1-2 years of experience in an administrative or office coordination role
• No experience can apply. On-the-job training is provided
• Strong organisational and time management skills
• Proficiency in Microsoft Office (Word, Excel, Outlook)

Our client is one of the licensed warehouses, specialised in handling and storage of dutiable cargo like alcoholic beverages and tobacco.You will be responsible for interacting with customers through phone, email, chat, or in person to provide information about products or services, take orders, handle returns, and resolve complaints. It requires listening to customer concerns, investigating issues, and proposing timely and satisfactory solutions. Developing a thorough understanding of the company's products or services is essential to provide accurate information. Additionally, processing customer orders, entering them into the system, and ensuring timely delivery are key responsibilities. Using computer systems to access customer information, process orders, and respond to inquiries is also a vital part of the job.
