We are seeking an experienced and highly organized Executive Assistant to provide high-level administrative support to our CEO. The ideal candidate will be proactive, detail-oriented, and able to manage multiple tasks and projects simultaneously. This individual must be comfortable working in a fast-paced environment and possess excellent communication and problem-solving skills.

Key Responsibilities:

• Calendar Management: Efficiently manage the CEO and CGS’s calendar by scheduling meetings, appointments, and travel arrangements while ensuring optimal use of time.
• Communication Management: Act as the point of contact between executives and internal/external stakeholders. Handle emails, phone calls, and other communication, ensuring timely and professional responses. Cascade messages and updates to relevant team members
• Meeting Coordination: Organize and prepare materials for meetings, take meeting minutes, and follow up on action items to ensure timely execution.
• Travel Arrangements: Coordinate all aspects of travel, including booking flights, accommodation, transportation, and creating detailed itineraries.
• Document Preparation: Prepare reports, presentations, and correspondence. Assist with the preparation of contracts, proposals, and other business documents as needed.
• Event Planning: Assist in organizing company events, conferences, and other corporate functions.
• Project Support: Help execute operational projects and initiatives as requested by the executive team, including research, scheduling, and data collection.
• Confidentiality: Maintain a high level of confidentiality regarding sensitive information and organizational matters.
• Task Prioritization: Manage a variety of tasks effectively while prioritizing and meeting deadlines in a dynamic work environment.

Your duties as Clinic Assistant include but are not limited to the following:

1. Preparation:

• Ensure clients are clinically prepared before treatment.
• Prepare all items and machines required for treatments.

2. Treatment Assistance

• Assist doctors during treatments and provide post-care according to clinic protocols.
• Conduct follow-up calls two days after clinic visits to reinforce post-treatment care and schedule review appointments with the treating doctor.
• Prepare and maintain client treatment cards, ensuring doctor signatures.

3. Record Keeping:

• Document all treatments and item usage, including fillers and Botox.
• Ensure doctors sign dispensing forms for items used.
• Key in all treatment-related invoices into the system.

4. Customer Service:

• Provide excellent customer service, communicating with clients before and after clinic visits via company telephone or corporate mobile phones.
• Monitor customer appointments and compliance with treatment regimens.

5. Clinic Maintenance:

• Dispense products and medicines, billing clients with consultant guidance.
• Perform machine checks before clinic start and refill items in doctor treatment rooms.
• Maintain clinic cleanliness and tidiness.
• Ensure smooth coordination of the treatment flow

6. Others:

• Handle stock orders and maintain stock records for the aesthetic clinic.
• May be required to work at another branch in case of manpower shortages.

Administrative Support

• Make appointments for new leads generated from social media platforms, walk-ins, or calling lists provided by the marketing/tele-sales team.
• Engage with walk-in and enquiry customers.
• Promote sales of packages, services, and skincare products as needed.
• Assist in ad-hoc duties assigned by the Reporting Officer.

Qualifications:

• Previous experience in a similar role in a clinical or aesthetic setting.
• Excellent communication and interpersonal skills.
• Strong organizational and multitasking abilities.
• Knowledge of aesthetic treatments and procedures is a plus.

About the role:

The OA role has the responsibility to support vessel day to day operations such as:

Assist the Vessel Operations Superintendent as instructed and ensuring deck plan for project equipment is ready including assisting the VOS with mobilisation and demobilisation activities in an efficient and timely manner. File time sheets of the contractors and maintain documentation of certification / service reports for equipment mobilized.

• Liaising with Vessel Operations Superintendent and subject matter experts to ensure that all mobilisation related documentation such as service reports, Work Instructions, NDT reports, class inspection records, etc are filed.
• Actively involved to maintain the Action Tracker Coordination Meetings and Corrective Action Registers.
• Oversee and maintain the inventory of the parts for a specific project with the support of the back deck supervisor / offshore manager / technical coordinator. Reorder project consumables as necessary timely.
• Under the supervision of the VOS, supervise shore contractors for maintenance, mobs and demob activities and ensures logistics and procurement plans are planned and conducted safely and efficiently in coordination with the central logistics team.
• Assist the VOS for readiness of port call activities such as bunkering, agency selection, logistics of spares and consumables with purchasers, offshore manager / party chief and project manager.
• Prepare basic deck layout using ACAD and liaise with the 3rd party naval arch to obtain equipment sea fastening drawings. Submit the sea fastening drawings and calculations to class as necessary for approvals. Arrange for class surveyor inspections.
• Review equipment Installation structural / piping drawings for mobilisation and demobilisation. Ensure compliance to the inventory required for project specific tools with vessel equipment.
• Working closely with procurement teams to manage vendors, raise purchase requisitions follow up with goods receipts (GRN) and vet service invoices from the vendors for works performed onboard.

Requirements:

Education: Third-level technical or similar university degree education in Mechanical / Marine Engineering with several years’ work experience

Working experience: Fresh graduate level or upwards with Experience

Valid driver’s license with acceptable motor vehicle record required

• Strong ability to follow-up on pending actions / activities
