Primary Responsibilities:

• Handle Accounts Payable (AP) and Accounts Receivable (AR) operations.
• Perform bank reconciliations and account reconciliations.
• Manage vendor relationships, including responding to inquiries and resolving discrepancies.
• Conduct banking operations including GIRO, FAST, and TT payments.
• Ensure accurate and timely computation of GST and CPF.
• Prepare and maintain the Fixed Asset Register for all projects.
• Maintain organized documentation and perform ad-hoc accounting tasks.
• Utilize ERP systems such as Hash Micro for daily accounting tasks.

Accounts Payable Task

• Review purchase invoices, ensuring proper documentation and approval before payment.
• Reconcile supplier statements if there are any disputes and to correct the discrepancies.
• Maintain accurate files and documentation in line with company policy and accounting standards, updating payment and vendor files with appropriate file numbers.
• Ensure all accounting records and payments are accurately update in Synergix/Hash micro software.
• Prepare monthly bank reconciliations and maintaining the general ledger in Synergix /Hash micro software on a daily basis.
• Handle and prepare all petty cash claims after obtaining approval from the Finance Manager/ Accounts Manager.

Accounts Receivable Tasks

• Ensure all sales invoices are timely and accurately updated on a daily basis on Synergix/Hash micro software.
• Accurately record customer payments in Synergix/Hash Micro and prepare the debtors' ageing report.
• Assist the Finance Manager in establishing, reviewing and enhancing the internal control processes that govern the finance department
• Participate in the full spectrum of closing activities including processing of accruals and period-end journalisation on a monthly basis

Qualifications:

• Minimum have diploma, advanced/higher/graduate diploma, bachelor’ degree in related field
• With at min. 5 years relevant experiences as Account Executive (experience in construction industry is preferable)
• Knowledge of ERP systems such as Synergix or Hash Micro is preferable
• Strong attention to detail, organizational skills, and ability to manage multiple tasks

Responsibilities:

• Manage the full spectrum of sales order process, primarily for local optical shops and online business.
• Track local orders to ensure customer satisfaction and meet company objectives.
• Generate and receive necessary documents for sales orders from local optical shops and online customers, such as sales invoices and packing lists (if needed).
• File all required documents for local sales order .
• Liaise with warehouse personnel to ensure timely and complete fulfillment of local orders.
• Enter local orders into the ERP system and arrange prompt delivery to ensure customer satisfaction.
• Liaise with the warehouse and production planner to ensure the availability of goods for local orders and accurate stock replenishment for optical shops.
• Generate weekly / monthly sales reports for sales and promotion monitoring as required by the management.
• Work closely with the finance department to verify payments for local optical shop and online sales, and follow up on overdue payments from local customers with credit terms to avoid aging debtors.
• Serve as a backup for export shipments by performing simple tasks when the customer service colleague is out of the office.

Requirements:

• Minimum O levels or equivalent.
• Minimum 5 years' of experience in Customer Service.
• Knowledge required for export / import trade regulations; preparation of shipping documents.
• Strong communication skills, both verbal and written.
• Strong documentation preparation knowledge and skills.
• Proficient in MS office software application.
• Highly customer-focused.

• Able to multi task.
• Meticulous attention to detail.

Sales & Business Development:

Identify and target potential clients to promote our accounting and financial services.

Conduct meetings and presentations to understand client needs and offer tailored solutions.

Negotiate contracts and close deals while maintaining a strong relationship with clients.

Meet or exceed sales targets and contribute to revenue growth.

Marketing:

Develop and implement marketing strategies to increase brand visibility and attract clients.

Collaborate on campaigns that highlight the firm’s expertise in corporate secretarial, accounting, tax and advisory services.

Manage social media platforms and content creation to engage audiences.

Monitor market trends and competitor activities to identify new opportunities.

Client Servicing:

Serve as the main point of contact for clients, ensuring their satisfaction with our services.

Address client inquiries, resolve issues, and provide timely updates on their accounts.

Work closely with internal teams to ensure seamless delivery of services.

Build and maintain long-term relationships with clients to encourage repeat business and referrals.

Duties & Responsibilities:

• Perform Human Resource tasks, duties, and general admin roles.
• Handle staff onboarding and offboarding process end-to-end cycle together with Talent Acquisition Executives.
• Maintain accurate HR database and up-to-date employee records, i.e. transfer, promotion, resignation, unpaid leaves, shift codes etc.
• Upkeep and maintenance of employees’ personnel files.
• Responsible for company insurance renewal and claims.
• Participate in ad-hoc HR projects and company events as required.
• Assist in implementing and handling staff performance management, appraisal, etc.
• Handle staff incentive calculation and verification, etc.
• Handle all workpass applications, renewal, cancellations, booking air tickets and levy matters, etc.
• Update employee data and information on the government’s website, e,g., MOM.
• Submission of documents according to government’s requirements.
• Implement staff engagement activities and keep track of the outcome and effectiveness and outcome.

Job Requirements:

• Minimum Diploma or Bachelor’s Degree in any discipline with min 2 years of working experience in HR.
• High level of integrity with a positive work attitude
• Team player.
• Effective communication and interpersonal skills
• Good writing skills and computer skills
• Be able to work in a fast-paced environment and under pressure
• IT Savvy
• Multi-lingual will be an advantage as this position needs to deal with some foreign workers from different countries.
