Job Purpose

Manage the administrative needs of a Service Point, such as service/programme administration, documentation and data administration, and facilities administration as well as specialise in administering one or more of the corporate needs of the FSS Service Group, i.e. Finance, Governance, IT or HR.

RESPONSIBILITIES

Executive / Senior Executive I (Admin)

Job Purpose

Manage the administrative needs of a Service Point, such as service/programme administration, documentation and data administration, and facilities administration as well as specialise in administering

Roles & Responsibilities:

Front Desk Administration & Secretariat Support

• Attend to public walk -ins. This may include administering visitor logbook and badges, notifying relevant colleagues or re -directing public to appropriate resources, when needed.
• Answer, screen and route incoming phone calls to relevant parties, taking down phone messages, checking of incoming phone messages and emails, when needed.
• Attend to enquiries and feedback and where necessary, consult manager/supervisor on appropriate response or follow -up, when needed.
• Handle courier/express mail services upon request, mailing of letters, checking of mailbox and dissemination of mail to relevant parties, when needed.
• Provide secretariat support to the manager such as preparation of staff meetings, minutes-taking, collation of workplans and calendar of events.

Facility and Operations Administration

• Manage the performance of vendors / contractors, including resolving issues and problems.
• Enhance administrative services of the team through reviewing and/or developing standard processes and workflows.
• Plan and conduct workplace safety exercises (e.g. fire drills) in accordance with safety guidelines and regulations

Programme & Data Administration

• Process and verify applications and supporting documentation, which include Consent for Services, Client Data Form and the disbursement of financial assistance to beneficiaries.
• Upkeep of client and staff records and any other data for reporting to relevant parties, as well as surfacing gaps, outliers and lapses (if any) with the manager.
• Ensure compliance with personal data protection policies and measures in daily operations. Report any data breach to the manager.
• Prepare reports on outcomes and/or statistics to funders where necessary. Co-ordinate with stakeholders for fund request/top up, ensure tracking of funding and processing requirements ahead.

Procurement & Financial Administration

• Manage the procurement, maintenance and replenishment of office stationery and supplies (including food rations for clients).
• Track expenditure, monitor budget and cash flow.
• Support the Manager in Budget preparation.
• Generate monthly reports (petty cash, summary for income and payment) and for FY closing for approval and submission to relevant parties, meeting stipulated deadlines set by Finance.
• Monitor sponsorships and donations, including liaising with external partners where needed and maintain proper records for audits.

HR Administration

• Provide support in recruitment activities, when needed.
• Provide support in the on-boarding and off-boarding activities of staff and interns, when needed.
• Provide administrative support, ifor staff profile maintenance, training and development such as training registration, payments, application for grant/subsidies/sponsorships, etc.
• Ensure proper documentation for submissions to relevant parties and document retention on matters of code of conduct, government-paid leave forms, claims, etc. On leave matters, to conduct leave verification exercises, track and verify staff leave balances and work with manager/supervisor on appropriate leave clearance.
• Provide support for Staff Welfare (e.g. purchase of gift/hamper/wreath), and Workplace Health Programme.
• Manage Corp Pass application and deletion upkeep for each staff and similar upkeep of SSNET accounts for relevant staff.
• Manage staff sabbatical proceedings in documentation and commitment of training bond and awardee deed. Liaise with NCSS on staff obligations fulfilment and reimbursement outcome of course fees.

People Supervision & Development

• Provide on the job training and coaching to staff

Requirements:

• Diploma or Degree in any discipline.
• Proficiency in Microsoft Office Suite
• At least 2 years of related administrative experience
• Independent, pro-active as a team player, able to work in a fast-paced environment.
• Experience as a volunteer with any charity, religious organizations, grassroots organizations or ground up groups will be considered strongly
• Highly organized and meticulous, with strong attention to detail and the ability to prioritize and manage multiple tasks simultaneously.

Degree holder or Diploma with relevant experience coverage of atleast two years.

Job Requirements:

4. Those with software and IT knowledge is preferred.
5. We seek Mandarin-speaking candidates who are required to serve Mandarin-speaking clients (spoken/written).

Responsibilities:

• Handle full sets of accounts including consolidation of accounts within the Group.

• Ensure accurate and timely monthly financial reporting, performance and variance analysis.

• Prepare yearly audit schedules and GL accounts reconciliation.

• Ensure compliance with statutory reporting requirements and financial reporting standards.

• File regulatory returns to authorities including GST returns, income tax computation and annual returns in XBRL format.

Requirement:

The Workplace Executive plays a pivotal role as the first point of contact for visitors to the HQ office while providing essential support as a Personal Assistant to the General Manager. This multifaceted position also involves assisting various HQ functional departments with administrative and operational tasks as required.

Responsibilities:

1. Office Administration Support

• Welcome and direct visitors at the reception area, ensuring a professional and friendly experience
• Always maintain a clean and organized reception area
• Manage incoming calls, filtering and transferring them appropriately to team members
• Collect, sort and distribute daily mail and deliveries to the respective recipients
• Oversee office stationery inventory and pantry refreshments ensuring availability
• Coordinate the ordering of name cards for team members

2. Office Facilities Management

• Manage and supervise office cleaning staff to maintain a high standard of cleanliness
• Manage and supervise services such as air-conditioning maintenance, pest control, water dispenser servicing and liaise with building management for facility-related issues
• Coordinate fire drills and other safety measures
• Regularly review and update administration policies, including leisure programs

3. Event and Logistical Support

4. Personal Assistant Duties

Requirements

• Minimum Diploma in any field with at least 3 years of relevant experience, preferably in office administration, facilities management and/or HR
• Proficient in MS Office applications with strong organizational and multitasking abilities
• Positive working attitute with high initiative and self-motivated mindset
• Ability to communicate effectively in written and spoken Chinese to liaise with vendors and colleagues in Taiwan and Hong Kong offices.
