About the role
You will report to our Chairman EO and support him with his executive and personal tasks. A large part of this role is to schedule meetings and appointments for the Chairman and his directs. You will have the opportunity to connect with people at all levels across the organization and with our different stakeholders worldwide. You will team up with another EA to ensure 24/7 coverage.
Your key responsibilities
· Executive Support (60%):
o Manage dynamic calendars for the Chairman and Senior Management Team (U.S., EU and Asia timezones)
o Schedule and follow up meetings with Board of Directors, Advisory Board and Management Team
o Arrange business travel for the Chairman and his direct reports
o Manage invoices and travel expenses
· Personal Support (40%):
o Make travel arrangements, personal and lifestyle appointments for the Chairman and his family
o Able to anticipate needs and preferences of the Chairman and his family
About You
Ideally, you have a strong sense of ownership, urgency and teamwork to ensure a seamless support to the Chairman and his directs. Experienced in Stakeholder engagement is a must as you will work and communicate with Senior Stakeholders in different countries and cultures. You will also be an active team member and a strong advocate for knowledge sharing. This is a great role for a skilled and confident thinker and problem solver who thinks outside the box, takes initiatives and works proactively.
Requirements
· Minimum Diploma in Business Administration, Private Secretarial Certification or related course from an established institution.
· 5+ years Executive Assistant supporting Senior Stakeholders located at various timezones
· Advanced skills in Office 365 (Teams, Outlook, Word, Excel).
· Ability to work under pressure and react quickly to changes under short notice, eg flight and schedule change
· Ability to work remotely according to the Chairman's timezone when he travels for business or personal (U.S., Europe and Middle East). Travel is not required for this role.
· Flexibility to work on a 5-day workweek including weekends and public holidays to ensure 24/7 EA coverage.
· Fluent in English (knowledge of other European languages are of added advantage).
