Job Responsibilities

• Reporting to the HR Manager of C&B, he/she will assist in compensation & benefits, HR administration and HRIS systems matters
• Ensure that employee records, organization charts and system integrity are maintained and updated in the HRIS system
• Provide support in employee benefits claims and leave administration. Administer and track online Government-paid claims submission.

HR Administration

• Perform general administrative duties and manage onboarding/offboarding processes such as lockers, uniforms, name tags, and name cards
• Ensure maintenance of updated information of employees in P-files
• Apply, renew and cancel work passes for foreign applicants
• Source, screen and interview candidates through every available channel
• Foster long-term relationships with past applicants and potential candidates
• Manage employees disciplinary, grievances, termination and resignation procedures
• Other admin tasks as assigned

As the Assistant Manager, HR & Admin, you will play a pivotal role in shaping our dynamic and inclusive workplace. Reporting to the Regional Human Resources Manager, you will oversee full HR and administrative functions, ensuring the seamless operation of our Singapore location, and another two regions (Thailand & Philippines) in the absence of the Regional HRM. Job Descriptions:

HR Operations:

• Collaborate with the Regional HR Manager to implement HR policies and procedures.
• Manage end-to-end recruitment processes, from job posting to onboarding, ensuring a seamless candidate experience.
• Conduct employee orientation and coordinate training programs to foster professional development.

Employee Relations:

• Act as a point of contact for employee concerns and grievances, providing timely resolution.
• Foster a positive and inclusive work environment through effective communication and engagement initiatives.
• Implement employee recognition programs to boost morale and motivation.

Compensation & Benefit:

• Administer compensation and benefits programs, including salary reviews, bonuses, and employee benefits, ensuring competitiveness and compliance with regulations.

Payroll Administration:

• To ensure accurate and timely payroll processing, reviewing payroll reports for discrepancies and addressing any payroll-related issues.

Strategic HR Planning:

• Contribute to the development and implementation of HR strategies aligned with business objectives, including workforce planning, talent acquisition, and succession planning.

Performance Management:

• Support the performance management process, including goal-setting, performance reviews, and development plans.
• Provide guidance to managers on performance-related matters.

Training & Development:

• Oversee, plan and implement training programs to enhance employee skills and competencies, fostering professional growth and succession planning within the organization.

Report Submissions:

• Ensure timely submission of all required reports, including weekly and monthly HR reports, budget forecasting, and other administrative documentation.

Compliance and Legal:

• Stay updated on employment laws and regulations in Singapore, ensuring the company's compliance.

Admin Functions:

• Oversee administrative tasks.
• Implement and maintain efficient record-keeping systems.
• Ad-hoc.

Job Requirement:

• Bachelor's degree in Human Resources, Business Administration, or a related field.
• Minimum of 5 years of HR and Admin experience, preferably in the hospitality industry.
• Knowledge of Singapore employment laws and regulations.
• Strong interpersonal and communication skills.
• Ability to work independently and collaboratively in a dynamic environment.

Roles & Responsibilities:

• To provide general HR administrative support for the organization.

HR Administration for foreign workers

Hiring of foreign construction workers:

• Liaise with different stakeholders (e.g. Project Manager or Agent) for the selection of new workers.
• Handle onboarding administration for new workers including security bond, Primary Care Plan and the preparation and completion of new hire documents.
• Ensure that work pass holders have completed medical examination or extended passport expiry dates (if required).
• Work with HRIS (People Services) to integrate new hire details into HR system (Darwinbox) and maintain/ update these details in Darwinbox.

Application and Renewal of S Pass/ Work Permit/ Contracts:

• Handle full spectrum of administration for work pass application and renewal including working with the various stakeholders (e.g. MOM) on the required documents.
• Administration includes ensuring completion of medical examination, security bond and extension of passports etc.
• Work with People Services to ensure timely contract renewals for staff/ workers.

Total Rewards:

• Handle workers’ claims, insurance & other HR related queries.
• Administration of overtime compensation and safety incentives for workers.
• Work with various sites’ administrative assistants to ensure accurate leave administration in HR system (e.g. for unpaid leave/ overseas leave which affects pay/ levy waiver).
• Any other ad-hoc duties as assigned in the HR function.

Requirements:

• Diploma in Business / Human Resources or any other relevant diploma
• Min 3 years of relevant working experience, preferably in Construction Industry
• Proficient in Microsoft Office such as MS word, Excel and Power Point
• Good knowledge of employment laws & practices
