Job Descriptions:

• Perform various office tasks, including filing, document preparation, and maintaining office supplies.
• Schedule and coordinate meetings and appointments as required.
• Handle general inquiries, calls, emails, and other communications for the office.
• Support the recruitment and staffing functions.
• Review and verify invoices for accuracy and coordinate with relevant departments to obtain approvals for payment
• Book travel arrangements, such as air tickets, hotels, and transportation.
• Organize regular staff activities and company events, e.g., staff treats and meeting refreshments.
• Attend to tenants' feedback and inquiries promptly.
• Assist with all administrative work and daily operations of the HR/Admin department.
• Provide basic information about services and direct inquiries to the appropriate team members when necessary.
• Coordinate with the customer support team to schedule and confirm technician appointments.
• Provide administrative support in planning, organizing, and executing external events.
• Provide administrative support in liaising with local and overseas vendors and internal stakeholders for procurement purposes.
• Perform other ad hoc duties as requested by the supervisor.

Job Requirements:

• Minimum Diploma in Business Administration/HR or other discipline
• Possess a positive work attitude with hands-on experience
• Pleasant personality with good communication and interpersonal skills to interact well with employees of different levels.
• Ability to multi-task and work in a fast-paced environment.

Responsibilities:

• Be a centralized person to handle all invoicing matters
• Be a key person to liaise with relevant parties to chase their outstanding payment responses and to submit payment certificates on time
• Arrange with site personnel for the delivery and collection of goods
• Assist Business Operations Executives in other administrative matters

Requirements:

• Minimum Higher Nitec or Diploma in any field or equivalent
• Operationally driven
• Knowledge of how to use SAP Business One is an added advantage, but not a requirement
• Good coordination and interpersonal skills
