We are looking for a Assistant Operations Manager, who will manage a team of operation staff, to ensure efficient operations, excellent customer service, successful regulatory compliance, continuous performance improvement, and effective fiscal management.

Job Description

• To support the Operations and coordinate, scheduling, and manage day-to-day activities
• To carry out daily inspection with client
• To attend to clients’ complaints promptly
• To carry out investigation to any feedback arising and submit report within the set turnaround time
• To resolve employees’ problems efficiently without unnecessary delay
• To ensure all works carried out by Supervisor and Cleaners as set out in their Job Descriptions are completed on time
• Able to be hands-on when the situation requires
• Submission of reports
• Conduct regular toolbox meeting
• Any other responsibility as assigned by superiors

Job Requirement

• Min GCE ‘O’ level
• With at least 3 years of relevant housekeeping experience
• Good leadership skills.
• Able to work effectively with different level or personnel
• Excellent organizational and problem-solving skills.

• Working Hours: 7am to 330pm (Mon – Fri)
• Alternate: Sat/Sun 7am – 7pm (Based on Duty Roster)

Duties

• Handle a portfolio of corporate secretariat matters for both Singapore and Overseas companies including preparation of Directors’ Resolutions, AGM & EGM documents and preparation of materials for meetings
• Prepare and draft board resolution and minutes examples change of directors and/or secretary, establishment of bank accounts and facilities, transfer of shares, increase of share capital, etc
• E-filing of various transactions with ACRA which includes Annual Return, Return of Allotment, Appointment of Officers, etc
• Ensure compliance with statutory and regulatory requirements including meeting deadlines
• Organize and co-ordinate board meetings and preparation of board papers
• Liaise with external parties such as other corporate secretarial service providers, notary offices, etc
• Attend to notarization and legalization of documents
• Respond to requests from business units and auditors for information and documents
• Guiding, coaching & mentoring
• Manage a small team of corporate secretaries

Requirements

• At least 5-6 years relevant experience in professional firms providing corporate secretarial services.
• Possess / pursuing ICSA or relevant qualification is an advantage.
• Good interpersonal and communication skills.
• Able to work independently, multi-task and is meticulous.
• Good organisation and administrative skills.
• Excellent attention to detail.

Key Responsibilities

Overall

• Provide strategic oversight of the student experience at the school to support student growth, including training and, when necessary, restructuring the team.
• Manage the Student Experience (SXC) team, focusing on individual career development and implementing standard operating procedures (SOPs) and relevant protocols.
• Oversee the daily operations of the student experience department, including:
  • Supporting classroom setup.
  • Facilitating collaboration between lecturers, students, education consultants, and the Academic Board.
• Develop and implement strategies to improve student retention and graduation rates.
• Collaborate with faculty, staff, and external partners to align student support services with institutional goals.
• Manage department budgets and allocate resources effectively.

Student Advising & Support

• Develop processes to provide guidance and support to students in areas such as schedule planning, academic advising, and onboarding.
• Ensure student concerns and grievances are addressed and resolved promptly and effectively.
• Monitor student progress, identify at-risk students, and implement intervention strategies as needed.

Lecturer Support

• Oversee lecturer allocation and coordinate module scheduling.
• Develop processes to enable the SXC team to effectively support lecturers.
• Create and implement onboarding training for lecturers.

Team Leadership

• Supervise and mentor the Student Experience team.
• Identify competency gaps and create structured training plans for professional development.
• Conduct annual performance evaluations and quarterly check-ins.
• Ensure staff adherence to institutional policies and procedures.

Policy and Compliance

• Ensure compliance with regulatory requirements, including SSG regulations, student rights, data privacy (e.g., PDPA), and other legal standards.
• Maintain accurate records of student interactions, services provided, and outcomes achieved.

Student Engagement

• Develop and coordinate student events, workshops, and activities to enhance student engagement and the overall student experience.
• Promote awareness of available student support services through effective communication and marketing strategies.

Academic Programme Support

• Collaborate with the Academic Board and relevant stakeholders to communicate updates or changes to academic programs.
• Effectively inform the student body about academic changes, school policies, and events.
• Serve as the PIC for the annual student graduation event.

Required Qualifications:

• Bachelor’s degree in education, counseling, student affairs, or a related field.
• 5+ years of experience in student services, higher education administration, or a related area.
• Demonstrated leadership and management experience.
• Knowledge of student development theories and best practices in student affairs.
• Strong interpersonal, communication, and problem-solving skills.
• Familiarity with regulations such as PDPA, student management system and google classrooms.

RESPONSIBILITIES

• Stakeholder Management
  • Cultivate and maintain strong relationships with partner universities, recruitment agencies, and potential partners through consistent communication.
  • Lead the annual placement projections and negotiation exercise with partner universities.
  • Promote SMU's programmes to prospective students and overseas universities, both virtually and in person.
• Programme and Event Management
  • Plan and execute events such as SMU's Study Abroad Fair, Orientation, Farewell Party and other student outreach and programme publicity initiatives.
  • Provide ongoing support and guidance to outbound SMU students and inbound international students throughout the programme. This includes managing the team's role-based mailbox and responding to programme-related inquiries.
  • Conduct surveys to gather feedback, analyse results, and prepare reports on students' study abroad experiences, as well as their learning outcomes.
  • Contribute to the daily operations of the exchange programmes, including onboarding, outreach, logistics, and billing.
  • Work closely with other departments within SMU to ensure full compliance with academic policies and study abroad safety protocols.
• Special Projects
  • Collaborate with the team to identify and implement improvements in operational processes to enhance effectiveness and efficiency.
  • Lead and manage various programme-related projects, assembling teams to successfully deliver on project goals.

• Diploma or degree holder, preferably with programme delivery and event planning/management experience.
• Strong knowledge of global education and experience in managing international student programmes and events.
• 1 to 2 years of experience in developing and running student programmes, focusing on recruitment and engagement.
• Excellent communication skills, confident in cross-cultural settings; Mandarin fluency is a plus.
• Sales-driven, with a focus on building relationships and growing programmes.
• Proactive, analytical, and adaptable, with problem-solving skills to address challenges.
• A team player, adaptable, and able to thrive in fast-paced environments.
