Who we are looking for

As Hydroleap is growing and offering solutions to more clients within the existing verticals as well as the new verticals, we are looking for an Finance & Accounts Executive who will be responsible for managing the financial operations of the company, ensuring accuracy in financial reporting, and supporting the overall financial strategy of the organization. This role will report to the CFO to maintain financial health, manage financial risks, and ensure compliance with regulatory standards.

What you will be doing

Financial Reporting:

• Prepare and present accurate and timely financial statements, including balance sheets, income statements, and cash flow statements.
• Assist in the preparation of monthly, quarterly, and annual financial reports.
• Analyze financial data to identify trends, variances, and areas for improvement.

Budgeting and Forecasting:

• Assist in the development of annual budgets and financial forecasts.
• Monitor and report on budget variances, providing insights and recommendations for corrective actions.
• Support management in financial planning and decision-making processes.

Accounts Management:

• Oversee accounts payable and receivable processes, ensuring timely and accurate processing of invoices and payments.
• Reconcile financial discrepancies by collecting and analyzing account information.
• Ensure compliance with internal financial policies and procedures.

Financial Analysis:

• Conduct financial analysis to support business decisions, including cost analysis, pricing strategies, and investment evaluations.
• Provide insights and recommendations to improve financial performance and profitability.
• Analyze market trends and economic factors that could impact the company’s financial position.

Taxation and Compliance:

• Ensure timely and accurate filing of tax returns and compliance with all tax regulations.
• Liaise with external auditors and regulatory bodies to ensure compliance with statutory requirements.
• Maintain up-to-date knowledge of financial regulations and legislation.

Risk Management:

• Identify and assess financial risks, implementing strategies to mitigate them.
• Assist in the development and implementation of internal controls to safeguard company assets.
• Monitor and manage cash flow to ensure financial stability.

Collaboration and Communication:

• Work closely with other departments to provide financial insights and support.
• Communicate financial information clearly to non-financial stakeholders.
• Support the finance team in achieving departmental goals and objectives.

Your Capabilities and Credentials

• Diploma’s degree in Finance, Accounting, or a related field.
• Professional certification such as CPA, ACCA, or equivalent is preferred.
• 1-2 years of experience in a finance or accounting role.
• Strong knowledge of financial principles, practices, and regulations.
• Proficiency in financial management software (e.g., SAP, Oracle, QuickBooks).
• Excellent analytical, problem-solving, and decision-making skills.
• Strong attention to detail and accuracy.
• Excellent communication and interpersonal skills.

Roles & Responsibilities

• Manage change order/ variation claim from subcontractors and prepare change order/ in support of variation order claims to client, and keeping track of all change orders.
• Work closely with Project teams/ various disciplines (Engineering, Construction, Procurement, Subcontractors, etc.) and coordinate the timely contract price adjustment/ claims including internal reviews/ approvals
• Manage full spectrum of respective subcontracting works, measurement/ bill of quantities, cost plus and adjustable items as per claim requirements.
• Works closely with all stakeholders include procurement teams to support timely contract price adjustment
• Ensures all POs and WOs and payments flow from procurement & subcontractor team into the Project Cost Code system
• Prepare tender/ subcontract document, bid/ subcontract checklist and prepare bid/subcontract evaluation and summary
• Ensure main contract terms, project specification and requirements are incorporated in the bid documents and subcontract document
• Monitor, review and check subcontractors’ milestone/progress claims and invoice on timely manner, and coordination with internal cost control/ finance department for payment processing
• Manage/ administer the subcontracts with subcontractors
• Issue work order
• Organise kick off meeting and other ad‐hoc meetings with subcontractors
• Handle and maintain performance securities with subcontractors
• Manage day to day contractual correspondences with subcontracts including contractual letters preparation and tracking of incoming/outgoing letters
• Procure all subcontracting work within budget and in accordance to comply financial guideline
• Monitor subcontracting cost and ensure within allocated budget
• Finalises project final accounts settlement with subcontractors and close out
• Participate in monthly cost review, if required. Manage warranty/ defect claims if any
• Participate in Project meetings, interface with cost control, procurement and others
• Ad hoc assignment

Requirements:

• Degree in any Engineering disciplines.
• 3‐5 years of experience in contracts administration
• Familiar with offshore platforms, modules, FPSOs, jackets, etc. and onshore petrochemical plants will be an added advantage
• Good team player and able to work independently with minimal supervision
• Willing to commit overtime as and when required

Responsibilities: -

Purchasing Functions

• Handling procurement activities including sourcing, liaising, price & contract negotiation with existing and new suppliers for the purchase of security systems devices and equipment.
• Raise PO promptly.
• To match all DOs to POs and monitor delivery schedule.
• Manage and update stock prices in system.
• Work with Sales/Technical team to avoid costly urgent and sudden shortage/ramp up of stocks, as well as urgent follow up with suppliers on critical stocks required.
• Collaborate with Sales, Finance & Technical to manage subcontractors and suppliers.
• Monitor any potential slow-moving stocks which may lead to obsolescence and maintain optimal level of stocks according to usage demand.
• Establish and negotiate for reliable and effective freight cost.
• Analyse monthly stock report and recommend on replenishments quantity.
• Identify and implement process improvements within purchasing functions.

Administrative Functions

• Prepare documentations for Engineers including delivery orders, testing & comissioning, safety documents, etc.
• Support projects including monitoring follow up/outstanding list, liaising with vendors/user on schedule, consolidating meeting minutes, etc.
• Prepare weekly reports, monthly project management report, customer reports.
• Collating worker’s information quarterly in accordance with PDPA standard used by Project team for site document submission.
• Attend to customers’ enquiry and feedback and channel to relevant PM/PE.
• Provide office administrative and secretarial support to Project team including booking of meeting room, etc.
• Identify and implement process improvements within administrative functions.
• Preparation and submission of service quotation for customer including following-up action, creating sales order/job card/service call log, create job journal, etc
• Analyse customers’ request and channel to relevant dept for follow-up action, ensure all cases are attended to and closed promptly.
• Assist Finance in billing matters pertaining to modification jobs (collating and submitting of relevant documentations for billing).
• Assist Service Controller in requesting quotation from supplier/subcontractor.

Responsibilities:

• Perform administrative and general office support.
• Maintains both physical and digital filing system.
• Assist with SAP requests, DO and invoice processing.
• Assist with updating dept budgets and expenses.
• Assist with Dept budget and expenses tracking.
• Track and manage fixed Asset.
• Control and update records for PSM devices in TCSI.
• Maintain the stationery cabinets, ensuring items are properly stocked and replenished when necessary.
• Submit security clearance application for staff.
• Assist in onboarding new staff by preparing necessary document and orientation sessions.

Requirements:

• Minimum O/ A Level
• Minimum 1 year of administrative experience
• Good Knowledge in MS office
• Good Interpersonal, presentation & communication skills
• Well organized and able to work independently with min supervision
• Good team player
• Experience developing internal processes and filing systems
• Candidate with some finance accounting knowledge will be an advantage

Responsibilities:

• Check and count physical quantity of incoming AFE deliveries in N4 and warehouse including RCWS & C4 equipment, harnesses, radios and RCWS LRU
• Key in excel sheet on incoming AFE deliveries, assist in keeping track and monitoring shortages
• Track and key in SNCA and monitor on all AFE SNCA including tracking of return items from SNCA
• Assist in documentation and filing, keeping track and updating of folio sheets
• Tracking and keying of Patents cost
• Assist in preparing documentation for billing

Requirements:

• O Level with a few years of working experience in administrative or engineering-related roles
• Or Diploma in related field with or without prior working experience.
• Proficiency in Microsoft Excel and Word.
