In this role you will:

A. Sales Support:

· Reporting to Sales Manager.

· Being the centre point of contact for sales ordering placing, including orders from various countries.

· Efficiently process orders and coordinate deliveries.

· Be involved with the entire sales operations process, from issuing invoice, navigating customer to payment platform, issuing sales order, purchase orders to other trade-related documents.

· Responsible for shipment arrangement to ensure smooth & consistent goods delivery.

· Establish active communication and engagement with sales and logistic team to ensure that orders are processed promptly.

· Point of contact for Key account inquiries and being an inside sales for existing customers.

B. Accounts:

· Maintain accuracy of general ledger.

· Perform daily accounting & finance duties including receivables and payables processes, general ledger, tax and bank reconciliation etc.

· Prepare monthly financial and management reports for management.

· Oversee AR and AP data and maintenance of sub-ledger;

· Handle data entry of transactions to accounting system.

· Support audit and tax queries.

Qualifications & Requirements

· Minimum GCE ‘O’ Level & ITE or Diploma with 1 years working experience will be an advantage.

· Basic accounting skills.

· Computer skill such as MS Office.

· Possess good interpersonal and communication skills.

DESCRIPTION

This is an exciting opportunity for you to be an integral part of the Quality Management department to optimise patient care and outcome.

The Administrative Executive is responsible for providing administrative support to ensure the smooth and efficient functioning of the department initiatives within the hospital. MAIN DUTIES AND RESPONSIBILITIES:

Recruitment & Onboarding

1. Administer the end-to-end recruitment process from pre-employment to onboarding.
2. Facilitate the New Hire Onboarding/Orientation programme and conduct the First-Day-at-Work orientation (including training on the use of the HR E-Portal).

Maintenance of HR Documentation & Records

4. Prepare and regularly review/update the Standard Operating Procedures to ensure accuracy and completeness.

HR System Administration

1. Create and manage employee records in the HR E-Portal (leave claim, 1profile) and payroll system (creation to cessation).

2.Create and maintain leave calendars in the HR E-Portal.

3. Liaise with the payroll vendor and IT on any system trouble-shooting issues.

Processing of Claims

1. Verify and approve HR-related claims.

Employee Insurance

1. Gather quotations and make recommendations on insurance renewal.
2. Prepare all information and data required for quotations and yearly renewal.
3. Submit claims that are processed manually and follow up on claim reimbursements to ensure staff are reimbursed on a timely basis.
4. Assist staff on Letter of Guarantee (if necessary) and claims submission via apps.
5. Answer queries relating to insurance matters.

Training

1. Collate training needs in an organization training plan, identify suitable training resources/courses for staff when necessary, and update training records.
2. Manage the Academic Program sponsorship and scholarship process.
3. Administer the application for and receipt of training funds from government agencies/ministries.
4. Upon receipt of staff training nomination form submissions, to perform first-level checks to ensure courses are within budget before forwarding for the necessary approvals.

Performance Management

1. Ensure performance management appraisals are duly completed and tracked as per timeline; including follow-up.
2. Ensure all performance management forms are filed.
3. Compile performance report for review/analysis.

Payroll

1. Administer payroll-related activities from ensuring all salary matters and pay records are updated in the payroll system, to initializing and processing pay records.
2. Verify downloaded claims for salary processing.
3. Prepare Bonus & Annual Increment spreadsheets for review and approval by approving managers.

Other HR work

1. Continuously review and provide inputs on effectiveness/streamlining of HR policies and processes.
2. Liaise with government agencies for funding of childcare leave, maternity leave, career support, Skills Future and other initiatives.
3. Prepare and complete government surveys.
4. Assist in employee engagement activities.
5. Manage the annual Conflict-of-Interest Declaration exercise.
6. Prepare management reports.
7. Provide documentation and prepare data for audit purposes.
8. Process immigration pass applications/renewals/cancellations on a timely basis.

QUALIFICATIONS

1. At least 5 years’ relevant HR operational experience in a generalist Human Resources role.
2. Strong working knowledge of multiple human resource disciplines including compensation and benefits, payroll, employee relations, performance management, Singapore Employment Act, Employment of Foreign Manpower Act, CPF Act, and the Tripartite Guidelines on Fair Employment Practices.

Requirements

· 4 - 5 years relevant experience with industry knowledge is an advantage (Digital signage)

· Previous experience in a similar role

· Excellent communication skills – both verbal and written and presentation

· Results driven.

· Ability to manage a group of people and set business strategy and execute.

· Ability to set goals and deadlines and to manage to schedule and deadlines.

· Ability to manage multiple projects and priorities at the same time.

· Experience with MS Office tools required, including Excel, Word, and PowerPoint

· Some travel may be required.

· Ability to work in a fast-paced environment.

Job Scope:

- Handle Day-To-Day Business Operations of Singapore's #1 Education Agency

- Attend to interested clients via various forms of warm leads (form orders, calls, WhatsApp, etc.)

(no cold-calling or anything of that sort)

- Assist clients in shortlisting and recommending suitable tutor profiles based on their criteria

- Coordinate and arrange 1st tuition lesson for clients and tutors

- Follow-up with any necessary administrative support and after-sales service

- Familiarize with and utilize custom-made company software which is focused on automation

- $2,300 - $3,000/Month + CPF

(Depending on Qualifications & Work Experience)

- Attractive Monthly Team Bonuses ($200-700/month)

- Looking at about $2,500 - $3,700/Month or more after incentives

- 4 Weekdays, 1 Weekend OR 3 Weekdays 2 Weekend
