1. Overview of the Company’s IT Infrastructure:

• Team Size: The IT in-charge will support a team of approximately 30–40 employees.
• Key Software: Responsibilities will primarily include managing and troubleshooting: Microsoft Accounts: Including user management and support.
• SharePoint Server: For file storage, collaboration, and VPN access.
• Account Management: Oversee the number of users for both Microsoft and Adobe accounts.
• Equipment Management: Maintain and track IT equipment issued to staff, such as laptops, tablets, and related peripherals.
• Domain Management: Manage company domains, including DNS configurations, SSL certificates, and email domain records (SPF, DKIM, DMARC).
• While not immediately required, the IT in-charge may be sent for training on WESS System (operational software) and Infotech (HR and payroll software) to support these systems if needed in the future.

2. Day-to-Day Responsibilities:

• Provide support for Microsoft software and services, including account setup, troubleshooting, and updates.
• Manage SharePoint server access, monitor usage, and ensure data backups.
• Oversee and manage the number of user accounts for Microsoft and Adobe, ensuring licenses are appropriately allocated.
• Maintain an inventory of IT equipment (e.g., laptops, tablets, and accessories) and manage issuance to employees.
• Configure and maintain domain settings, including DNS records, email-related configurations (SPF, DKIM, DMARC), and subdomains.
• Renew and update SSL/TLS certificates and ensure timely domain renewals.
• Train staff on using Microsoft Teams and other core Microsoft services as needed.

3. Support and Troubleshooting Expectations:

• Employees will submit IT issues via a Google Form, and the IT in-charge is expected to resolve these issues within 3 to 5 working days if related to Microsoft, SharePoint, equipment, or domain configurations.
• Escalate issues outside of their scope (e.g., WESS System or Infotech) to the appropriate vendor or support contact.

4. Key Tools and Technologies:

• Manage and support Microsoft Services (e.g., Microsoft Teams, Office apps, and SharePoint).
• Oversee Adobe Accounts to ensure user access and compliance with license agreements.
• Monitor and maintain SharePoint Server and OpenVPN for secure remote access.
• Use domain registrar tools for DNS management, subdomains, and SSL configurations.

5. Security and Compliance:

• Ensure user accounts for Microsoft and Adobe meet security standards (e.g., password policies, multi-factor authentication).
• Monitor SharePoint backups and maintain readiness for disaster recovery scenarios.
• Secure IT equipment by ensuring proper configurations, access restrictions, and antivirus protections.
• Implement security features for domains, such as domain locking, SSL certificates, and two-factor authentication for domain registrars.

6. Team Training Responsibilities:

• Train staff on Microsoft Teams and other essential Microsoft tools to enhance productivity.
• Develop simple user guides for frequently used processes in Microsoft tools.

7. Performance Metrics:

• Meet the resolution timeline of 3 to 5 working days for reported Microsoft, SharePoint, equipment, or domain-related issues.
• Eoptimal allocation of user accounts for Microsoft and Adobe licenses.
• Maintain high uptime and accessibility for SharePoint server services.
• Ensure all IT equipment is inventoried, tracked, and issued effectively.
• Maintain up-to-date and error-free domain configurations and SSL/TLS certificates.

8. Expected Collaboration:

• Coordinate with department heads for user account requirements, IT equipment requests, and related support.
• Work with external vendors for advanced troubleshooting of SharePoint, Adobe, or domain services.
• Collaborate with management to recommend enhancements to Microsoft tools, SharePoint, IT equipment processes, or domain management strategies.

9. Onboarding and Initial Support:

• The IT in-charge will receive training on WESS System and Infotech software as a contingency for future support needs.
• Initial handover and training will cover current processes for managing Microsoft accounts, SharePoint, Adobe licenses, IT equipment inventory, and domain management.

KEY ACTIVITY

As an IT Operator, you will play a key role in overseeing the availability and performance of the IT systems, infrastructure, and processes that support our data operations. Your responsibilities will include proactively monitoring and addressing potential issues such as batch delays, FileSystem errors, and system anomalies.

Key Responsibilities:

1. Batch Job Management: Monitor end-of-day batch processes to ensure timely initiation. Conduct initial analysis of failures, perform recovery actions, and escalate to relevant stakeholders when needed. Check critical job milestones to ensure completion on schedule.
2. Application System & Infrastructure Monitoring: Continuously monitor alerts for any issues with applications, servers, services, disk space, or other system resources, and notify support teams when necessary.
3. Service Requests & User Support: Handle user requests such as running one-time jobs, scheduling new tasks, copying/resending files, troubleshooting transactional issues, and involving experts when required.
4. Software Release Support: Assist in supporting software releases by pausing and resuming batch jobs as needed, ensuring that all systems are operational for post-release user testing.
5. System Patch & Upgrade Support: Support the execution of regular system patches and third-party upgrades, ensuring minimal disruption during these activities.
6. Disaster Recovery & Business Continuity: Maintain awareness of disaster recovery plans to ensure continuous operations and minimize disruptions in the event of a disaster.

Required Skills & Experience:

• Batch Processing: Familiarity with batch job processing and troubleshooting.
• TWS (Tivoli Workload Scheduler): Proficient in TWS for creating and analyzing plans, as well as troubleshooting issues related to job failures and system resources.
• Scripting: Strong knowledge of Unix Shell scripting.
• TWS Administration: Experience with TWS functions, including installation, configuration, maintenance, and troubleshooting.
• Expert Troubleshooting: Expertise in resolving issues with the Master Domain Manager, FTA Unlinks, failed jobs, and full file systems.
• Ticketing Tools: Experience with Jira and HP Quality Center for managing and tracking issues.
• System Performance Monitoring: Proven experience in system performance evaluation and tuning to optimize efficiency.

Additional Responsibilities:

• Risk Management: Proactively identify risks and raise issues with the client team along with mitigation plans.
• Business Process Management: Support Business Continuity Planning (BCP) and process documentation/analysis.

• Provide daily administration support including scheduling of meetings, planning team bonding activities and documentation, incidents and request handling for the department.

• Assist in maintaining IT asset inventory which include tagging and updating
• Liaising with vendors, purchasers, requesters, Finance and suppliers on discrepancy in documents such as POs and DOs
• Ensure proper documentation, incidents / request handling till closure
• Conduct period review and analysis of incidents / requests, monthly data extraction and report consolidation
• Execute IT service requests including coordination and communication with relevant support parties
• Provide recommendation and improvement, modification for existing SOP from time to time
• Initiate sourcing of hardware and software and obtain quotations for comparison to meet business units’ requirements
• Negotiate with external vendors for best terms and conditions of the purchases

Job Description

• Configure and manage critical systems, including Active Directory (AD), telephony, video conferencing, access points (AP), firewalls, VPNs, and more. Monitor and analyse the performance of LANs, WANs, and wireless networks to ensure optimal functionality.
• Configure laptops and desktops for new and existing staff, perform system backups, and handle disaster recovery (DR) as needed. Ensure all automatic system backups are in place.
• Apply system patches after hours to maintain system stability and security. Perform routine system checks to ensure continuous operations.
• Work with third-party support vendors to resolve technical issues. Participate in IT auditing and documentation to ensure compliance with company policies.
• Provide IT support for approximately 200 users, managing user accounts and roles within the ERP system. Troubleshoot login issues, assist with basic system navigation, and resolve minor technical problems.
• Monitor ERP system performance, address minor issues, apply updates, and generate routine reports for departments like finance, HR, and inventory. Customize reports based on user requirements.
• Maintain documentation for common IT processes, user guidelines, and troubleshooting procedures. Optionally, assist with creating and launching new business processes within the company.
• Perform routine backups, monitor system security, and follow compliance protocols under the guidance of the IT team.

Requirements

• Diploma or Degree in IT/Computer Science.
• Possess CCNA / Microsoft certification.
• Proven experience in providing technical support in a corporate IT environment.
• Experience with Veeam and Microsoft 365 administration.
• Familiarity with leading wireless vendors’ products (Cisco/Meraki, Aruba/HPE, Ruckus) is advantageous.
• Knowledge of virtualization technologies such as Hyper-V and VMware is a plus.
• Strong communication and administrative skills.
• Ability to manage multiple tasks and prioritize in a fast-paced environment.
