The Workplace Executive plays a pivotal role as the first point of contact for visitors to the HQ office while providing essential support as a Personal Assistant to the General Manager. This multifaceted position also involves assisting various HQ functional departments with administrative and operational tasks as required.

Responsibilities:

1. Office Administration Support

• Welcome and direct visitors at the reception area, ensuring a professional and friendly experience
• Always maintain a clean and organized reception area
• Manage incoming calls, filtering and transferring them appropriately to team members
• Collect, sort and distribute daily mail and deliveries to the respective recipients
• Oversee office stationery inventory and pantry refreshments ensuring availability
• Coordinate the ordering of name cards for team members

2. Office Facilities Management

• Manage and supervise office cleaning staff to maintain a high standard of cleanliness
• Manage and supervise services such as air-conditioning maintenance, pest control, water dispenser servicing and liaise with building management for facility-related issues
• Coordinate fire drills and other safety measures
• Regularly review and update administration policies, including leisure programs

3. Event and Logistical Support

• Provide logistical support for Company Events, Operations Meetings, Internal Training Sessions and Social activities such as fitness programs, fruit days, marathons, annual Dinner & Dance
• Assist in office relocations, ensuring a smooth transition

4. Personal Assistant Duties

• Arrange travel logistics for senior management including flight bookings, hotel accommodations and visa applications
• Minutes taking and report collations on a weekly basis
• Manage the General Manager’s calendar, scheduling appointments and ensuring timely follow-ups
• Support the General Manager with ad-hoc projects as assigned

5. HQ Functional Departments Support

• Provide general administrative support to all HQ departments as needed
• Undertake other ad-hoc duties as assigned to ensure smooth office operations

Requirements

• Minimum Diploma in any field with at least 3 years of relevant experience, preferably in office administration, facilities management and/or HR
• Proficient in MS Office applications with strong organizational and multitasking abilities
• Positive working attitute with high initiative and self-motivated mindset
• Ability to communicate effectively in written and spoken Chinese to liaise with vendors and colleagues in Taiwan and Hong Kong offices.

KEY RESPONSIBILITIES:

• Manage and maintain the company’s inventory.
• Monitor stock movements and oversee inventory management at third-party locations.
• Handle the physical tasks of loading, unloading, and storing inventory when necessary.
• Ensure adherence to inventory control procedures, including stock movement, item planning, re-order levels, non-moving item monitoring, and the timely disposal of approved scrap.
• Properly classify, segregate, and maintain inventory in assigned areas.
• Ensure that all required documentation is accurately kept, referenced, and filed.
• Ensure inventory-related updates are properly entered into the accounting system.
• Conduct routine stock checks, update records, and report findings to stakeholders.
• Coordinate effectively with teams across various company locations.
• Identify inventory discrepancies, report them, and maintain records for variances.
• Develop and implement corrective actions in the event of any control lapses.
• Produce and deliver daily and monthly MIS reports to stakeholders regularly or upon request.
• Ensure the safe handling and storage of inventory.
• Perform additional duties as assigned by management.

CANDIDATE REQUIREMENTS:

Education: Bachelor’s degree / Diploma Holder / Post National Service

Experience: Must have relevant experience in inventory management and be adept at managing inventory through the Zoho system

Industry Experience: Experience in the marine sector is advantageous but not mandatory

Physical Requirements: Should be physically able to manage inventory when required

Other Requirements: Knowledge of Zoho or any other inventory management software

Reports to: Logistics Manager

Job Description

• Execute a project effectively once a project order is being received
• Have a complete understanding of the requirements of the project and the delivery schedule
• Liaise with purchasing team with regards to the procurement of the items
• Work with various departments to problem solve and mitigate arising issues such as facilitating changes in project requirements in terms of products or the delivery schedule.
• Handle the billing for each project in an accurate manner
• Maintain excellent control on inventory to facilitate timely shipment and delivery, thereby maximising customer satisfaction and minimising cost;
• Plan, schedule as well as coordinate materials availability to meet customer requirements
• Engage in regular meetings with internal departments to review project, production and procurement updates

Requirements:

• Diploma or Degree in administration
• 2 years' experience in a related customer-facing field (Eg, Customer Service, Order Processing, Sales Coordination, etc)
• Working experience in import/export or related environment
• Working knowledge and experience in SAP system
• Able to analyze information quickly and accurately
• Excellent planning, communication and problem solving skills with an eye for details;
