WORKSCHEDULE: MONDAY TO FRIDAY 830AM TO 6PM

Responsibilities:

• Coordinate with internal and external stakeholders to plan shipments and execute contracts efficiently
• Monitor shipping progress to ensure timely and smooth delivery of commodity products
• Manage and organize shipping documents to optimize operational efficiency
• Handle bank-related processes, including payments and collections
• Prepare and maintain Accounts Payable (AP) and Accounts Receivable (AR) reports

Requirements:

• Minimum Diploma in Logistics/Warehouse Management or a related field.
• Minimum of 1 year of relevant experience in Logistics and Supply Chain.
• Proficient in MS Excel, with strong accounting knowledge and attention to detail.

We are seeking a meticulous and motivated Accounts Executive to join our finance team. In this role, you will provide essential support to the accounting department in various functions, ensuring accurate financial record-keeping and contributing to the smooth running of our financial operations.

Key Responsibilities:

• Assist in the preparation and processing of invoices to clients, ensuring accuracy and timely delivery.
• Provide support in processing payroll for both office staff and ship crew, including data entry, verifying timesheets, and ensuring compliance with relevant regulations.
• Assist with accounts payable and receivable functions, including processing payments to vendors, recording customer receipts, and managing outstanding invoices.
• Maintain accurate and up-to-date financial records in the general ledger system.
• Assist in the preparation of monthly and annual financial statements, including balance sheets, income statements, and cash flow statements.
• Perform bank reconciliations to ensure that bank records match company records, identifying and resolving any discrepancies.
• Assist in managing cash flow, monitoring account balances, and ensuring timely payments.
• Provide support to the accounting team with other accounting-related inquiries and tasks as required.

Qualifications:

• Diploma in Accounting or a related field.
• Minimum 2 years of experience as in a similar accounting role.
• Knowledge of accounting principles and practices.
• Proficient in accounting software and Microsoft Excel.
• Strong attention to detail and accuracy.
• Excellent organizational and time management skills.

Job Description

• Manages group room/F&B events enquiries and related functions, dealing from receipt

of request to contracting and payment.

• Liaise with in-house departments for a quick and smooth execution and conversion of

group business. Maintains ownership of group blocks, including pickup numbers,

reservation methods, billing, and proper treatment of VIP guests.

• Manages site inspections, organizing visits, room allocation, inspection of rooms and

coordinates all departments to execute a perfect showcase of the hotel, providing

accurate information on visitors

• To conduct 5 room/F&B events sales calls daily and 3 room/F&B events sales activities

• To identify and develop new potential accounts (to prospect at least 2 new accounts

per week).

• Develop sales plans to generate business from identified markets/accounts.

• Determine corporate account needs and initiate sales activities of each assigned

market/account to enable future bookings.

• Management and growth of corporate accounts by tracking individual transient, group

and catering production goals.

• Gather market intelligence: new product ideas, competition activities, new customer

trends and performance.

• Be actively involved in ensuring prompt follow-up on incoming phone calls, site

inspections, proposal / inquiries. Accuracy in booking, commitments to customer on all

sales/operational documents and adhering to the standards set by the department in

execution and filing of all said documents.

• Managing DayAway and other platforms if required.

• Perform any other duties assigned by owner according to changing business, economic,

customer needs or restructure within Sales & Marketing Department (Corporate,

Rooms & F&B).

• Any other duties or responsibilities as assigned by Management.

• Create partnerships with other platforms that may benefit the group for events.

• Creating Event Orders, Contracts and Updating the Event Tracker on a monthly basis

stating Revenue & Cost of each Event.

• For groups more than 10pax dining at the restaurants (both private & company

• groups), arrange a courtesy call to welcome the guest and inquire about their event

type, as well if they need anything else for us to ensure their experience is a

memorable one.

• Organize each Hotel Dropbox Folder to have all necessary materials for event sales

• -Along with Operations/Events Manager, discuss and create Event Package Pricing Tier

Strategy for business continuity.

· Prepare and coordinate all export orders given by KDAS (Regional HQ).

· Process of shipments and all related activities timely.

· Liaise with overseas agents and warehouse on shipments arrangement.

· Ensure timely processing of the orders 2 days before deadline and accurate preparation of shipping documents.

· Liaise with customer’s orders and follow up on customer’s payment and shipments documentation.

· E-filing documents to share folder.

· Attend to any other ad-hoc duties or any related tasks that are assigned.
