Provision wide range of admin and project coordination activities, General administrative duties, Handling of incoming calls and enquiries, data entry & filling for company accounts, other ad-hoc administrative duties as assigned, mail forwarding to client, inventory control and replenishment office and pantry supplies, handling telephone enquiries by clients, ensuring that office is kept clean and neat at all times.

Good typing skills, have some account background, admin duties, able to handle calls, good communication skills both in English and Mandarin to liaise wi Mandarin speaking assocates, PC skills in Microsoft. Singaporean / PR are welcome to apply.

· Preparation of Letter of Employment, staff on-boarding orientation, and HR-related document

· Administer all foreign worker’s work pass related matters such as application/renewal/cancellation/appeals and medical check-up arrangement including liaising with MOM and relevant governmental bodies

· Maintain personnel records, attendance records, leave records, and general administrative duties including documentation and filing

· Implement performance review procedures (e.g. quarterly/annual)

· Work with the Managers to facilitate and bridge resolutions regarding employee matters, performance management, counseling, grievances and disciplinary

· Assist in training related matters: course sourcing, course registration, course rescheduling

· Handle staff claims and company insurances

· Responsible for assisting the managers with the hiring plans, the selection including interviews of various staff positions as required by the company.

· Support in organising staff welfare activities

PRIMARY DUTIES AND RESPONSIBILITIES

1. Customer Invoicing and Quotation Management: Prepare and process customer invoices, set up quotations, and ensure timely and accurate billing.
2. Customer Onboarding and Support: Coordinate new customer onboarding to ensure seamless integration and ongoing support.
3. Billing Process Oversight: Monitor and maintain the accuracy, efficiency, and compliance of billing processes, addressing discrepancies as needed.
4. Data Management and Reporting: Process, validate, and reconcile billing data to ensure accuracy and consistency, converting it into formats suitable for invoicing and reporting.
5. Collaboration with Cross-Functional Teams: Work closely with IT, finance, and other teams to align on data requirements and enhance operational workflows.
6. ETL/ELT and Automation Support: Assist in developing, maintaining, and optimizing ETL/ELT pipelines and automating data workflows to improve efficiency.
7. System Monitoring and Troubleshooting: Monitor systems performance, ensure stability, and troubleshoot issues related to data extraction, reporting, and integration.
8. Compliance and Process Improvement: Ensure compliance with company policies and regulatory standards, contributing to projects and initiatives to enhance processes and reporting.

JOB REQUIREMENTS

• Minimum Diploma in Finance/Accountancy/IT or equivalent
• At least 2 years of relevant working experience, preferably in a Logistics Company
• Well versed in Microsoft Excel, SQL, experience in Oracle System will be an advantage
• Independent and fast learner
• Good initiative and work attitude
• Experience with data visualization tools
• Attention to detail and a proactive attitude toward learning and development.
• Exposure to Oracle EBS or Other ERP software
