About ASEF Communications Department (COM)

COM promotes Asia-Europe cooperation by raising awareness and knowledge about ASEF, ASEM and Asia-Europe relations. Aimed at a diverse range of constituencies including the media and general public, COM’s activities foster greater mutual understanding between Asia and Europe. • Supervise and coordinate the renovation, maintenance and repair activities for all physical assets, electrical systems, plumbing, and other equipment
• Ensure that the preventive maintenance schedules are followed and that corrective actions are taken promptly

• Optimize space allocation and layout to meet organizational needs and ensure maximum space utilization
• Coordinate office relocations, expansions, or consolidations

Safety and Security

Vendor and Supplier Management

• Manage relationships with central Campus Infrastructure, service providers, contractors, to ensure quality, cost-effectiveness, and compliance with service level agreements

Technology Integration

• Oversee the implementation and maintenance of technology systems, such as card access systems
• Develop and implement plans to ensure business continuity in the event of emergencies or disasters

Stakeholder Communication

• Establish effective communication channels with occupants, stakeholders, and other departments to address concerns, provide updates, and gather feedback

Budgeting and Financial Management

• Assist in the development and management of the facilities budget, ensuring that expenses are within allocated funds
• Identify cost-saving opportunities and implement efficient resource allocation strategies

Qualifications

• Bachelor's degree in a related field
• 5 years of relevant work experience
• Knowledge of relevant regulations, codes, and industry best practices

ABOUT THE ROLE

We are seeking a highly analytical and detail-oriented Intern, HRBP to join our dynamic Human Resources team. The ideal candidate will possess a strong analytical background, enjoy working with numbers, and demonstrate the ability to work both independently and as part of a team. The successful applicant will have the opportunity to join a fast-paced team with ample learning opportunities.

KEY RESPONSIBILITIES

• Prepare and validate weekly, monthly, quarterly and yearly HR analytics reports
• Play a pro-active role in analyzing HR data, support to assist with queries from stakeholders including liaison with finance, management, regulators, auditors etc
• Support in new joiner payroll data, such as verification of data
• Prepare HR announcement materials and engage communication message with employee
• Support in coordination of recruitment activities, employee data, onboarding process and buddy program to add value to the employee experience

HR Projects & Others:

• Support Corporate Social Responsibility, University recruitment, Brown Bag and workshops, Diversity programs, employees’ Annual Health Screening, HR Newsletter etc
• Draft HR newsletters on a bi-monthly basis
• Support in daily lunch orders where required

ESSENTIAL QUALIFICATIONS

• Currently pursuing a Degree in Business or a related field
• Good understanding of the various HR functions
• Proficient in handling data and numbers.
• Experience with MS Excel – VLOOKUP, Pivot tables, Power Query/Pivot.
• Experience with Microsoft Office suite – Microsoft PowerPoint, Microsoft Word.
• Strong verbal and written communication skills
• Independent, detail-oriented, goal-oriented, inquisitive, and self-motivated with the ability to work in a fast-paced, highly dynamic environment

DESIRABLE QUALIFICATIONS

• Hands-on experience with data visualization tools such as Power BI, Power Automate or QlikView a plus
• Knowledge of HR policies and procedures, including the Singapore Employment Act.
