Role Purpose
Manage front desk functions including attending to visitors and guests, mail and postage as well as attending to incoming calls. Act as facility administrator to help build a clean, safe and operational work environment.
Role Accountabilities
Reception
ยท Maintain cleanliness and orderliness of reception area, meeting rooms and pantry area
ยท Answering phone calls and general queries
ยท Receive visitors and notify company personnel of the visitor arrival
ยท Collect all letters, courier and packages, distribute them to the respective departments
ยท Administer building and office access cards
ยท Maintain and update office records, files, databases, phone lists, etc.
ยท May need to assist in ordering and coordinating refreshments for meetings and serve refreshments and beverages during meetings
ยท Other miscellaneous duties eg refreshments for events, preparation of goodie bags
Facilities
ยท General office administration and management, e.g. requisitions of office/pantry supplies, servicing of office equipment
ยท Ensuring pantry supplies are sufficient daily
ยท Manage service contracts and liaise with facility management vendors, including cleaning and security services
ยท Main contact person for the repair and maintenance of the building/office management
ยท Manage cleaning vendor and cleanersโ attendance
ยท Member of Workplace Safety and Wellness Committee

ยท Take responsibility for the safety of myself and those around me by displaying safety leadership principles (i.e. Safety Iโs & Accountability ladder).
ยท Challenging and stopping unsafe acts and behaviours or unsafe conditions.

Key Qualifications & Skills
Qualifications
ยท โOโ levels or ITE
ยท Minimum 2 years of experience
Technical Skills
ยท Problem solving skills to resolve issues independently
Professional Skills
ยท Experienced in SAP and Microsoft Office (Word, Excel and Powerpoint) is preferred
ยท Good communications skills
ยท Good customer service to internal and external customers
ยท Multi-tasking skills and ability to prioritize work and meet deadline
