Job Responsibilities

1) Income Audit Function

• Verify Revenue Accuracy: Check that all charges for rooms and F&B are correctly posted to guest folios. Report any discrepancies to the FC/GM and the relevant departments (e.g., Front Office, Duty Manager, or F&B Manager) and ensure proper adjustments are made.
• Review Transactions: Examine all rebates, allowances, payouts, and manual postings to confirm they are properly approved and supported by documentation.
• Policy Compliance: Ensure hotel policies and procedures related to revenue audits, rebates, and allowances are strictly followed.
• Trial Balance Reconciliation: Perform a weekly reconciliation between the Opera system and Sun Systems.
• Guest Ledger Follow-Up: Review and address any outstanding balances in the Guest Ledger, ensuring they are transferred to the correct PM account when needed.
• Check Complimentary Use: Confirm that complimentary rooms and house-use rooms are properly approved and supported by the necessary documentation.
• Credit Card Reconciliation: Match credit card transactions between the payment terminal and POS system daily.
• Intercompany Transactions: Reconcile charges between COMO business units, ensuring they are authorized and backed by documentation before billing CMS.

2) Accounts Receivables Function

• Credit Card and Accounts Receivable
• Monitor and Reconcile Daily: Check and balance all credit card transactions for the hotel and outlets (F&B and Non-F&B) every day.
• Accounts Reconciliation: Regularly match Accounts Receivable balances to the general ledger control account.
• Debit and Credit Notes: Prepare and issue debit and credit notes daily, record them in the system, and ensure entries match the journals.
• Receipts Management: Ensure all payments are recorded in the ledger promptly.
• Dispute Handling: Investigate billing disputes and work with relevant departments to resolve them.
• Commissions Verification: Check and verify all travel agent and related commissions before approving payment.
• Billing: Send rental, FCU, and GTO invoices monthly to the respective Business Units, ensuring all required supporting documents are included.
• Reporting: Ensure all Accounts Receivable and Aging schedules are accurately prepared to facilitate a smooth month-end closing process.

3) General Cashiering

• Cashier Reconciliation: Balance the Cash Machine and Float transactions in Opera for each Front Office team member. Ensure Duty Managers sign off on all payouts and deposits received.
• Transaction Monitoring: Track Cash Machine activity, ensuring all withdrawals and deposits are valid.
• Address Discrepancies: Report any cash discrepancies to the Duty Manager, Front Office, Accountant, Financial Controller, and General Manager. Resolve issues within 24 hours.
• Cash Count: Conduct surprise cash counts of floats and the Cash Machine monthly, ideally twice a month with the Accountant or Financial Controller.
• Cash Limits and Deposits: Keep the Cash Machine balance below $20k, including cash floats. Deposit any excess in the bank with a Security Officer present.
• Record Keeping: Save scanned copies of all bank and cash machine slips in the “Banking Matters” folder for audit and records.

4) Other tasks where required

Job Requirements

• Minimum Diploma in Accounting or equivalent
• At least one year of relevant working experience

Responsibilities:

• Influence business unit leadership to make sound strategic decisions for business

Technical Skills and Competencies:

• Understand contractual terms and obligations to fulfill shipment requirements for dry bulk
  commodities.
• Upon confirmation of trade, examine contracts of sales and purchase to confirm timing,
  commodity brand, terms of payment.
• Liaise with counterparts on vessel nomination, load and discharge port agent details, stowage
  plan etc.
• Prepare LC draft and liaise with banks for LC issuance.
• Liaise with customers on LC opening, verifying bank creditability, resolve discrepancies and have
  customers issued LC on timely basis.
• Verify LC and other information to ensure compliance with agreement.
• Prepare and ensure shipping documents to comply with LC requirements. Liaise with bank directly for LC negotiation.
• Update buyers and sellers on vessel movement.
• Check and/or prepare invoices and relevant documents from supplier / to Buyer to ensure
  compliance with terms of agreement.
• Prepare letter of indemnity (if required).
• Prepare lay time calculations (demurrage, dispatch), for buyer calculate discharging lay time, for
  seller; resolve issues as required.
• Monitor cashflow for both receivables and payables.
• Ensure all month end transactions are complete within stipulated timeline.
• Updates system to ensure cash flow is sufficient to process payment.
• Monitor shipment status using an Excel tool.
• Upon loading of shipment, record quality, quantity, bill of lading and all shipping documents;
  checking against buyer’s LC or shipping instructions.
• Monitor demurrage and/or dispatch receivables or payables.

Requirements

• Minimum Diploma in business.
• At least 5 years of experience in a dry-bulk commodities position, preferably metals.
• Strong Knowledge of Letter of credit & UCP600.
• Familiarity with shipping (bulk) and usage of laycan and demurrage, particularly on FOB-CFR
  shipments.
• Proficient understanding of contractual commercial terms and its risks & obligations.
• Proficiency in SAP system (financial module) & Commodities Trading Systems.

Position Summary

Admin Support team of Card Centre liaises with the Bank customers on a daily basis on the execution of instructions tasked by the Banks, as well as on the production statuses of the Banks’ inventories and User Acceptance Testing. The team leader of Admin Support manages the productivity and ensures smooth workflow within the Admin Support team.

The ideal candidate will be an excellent leader and will have experience managing staff to produce results in a timely and effective manner.

Key Responsibilities

• Ensure timeliness and accuracy in all scopes of work within Admin Support
• Ensure the Admin Support team meets the service levels of the Banks
• Daily coordination between Bank customers and internal Production
• Reporting of card statuses and inventory levels to the Banks
• Preparation of monthly billing reports
• Participate in monthly Service Level meetings with the Banks
• Attend project meetings with the Banks
• Participate in negotiation discussions with the Banks
• Working with Card Centre Management on fulfilment on business goals

Requirements

• Min. Diploma qualification
• Field of Study: Not applicable
• Skills: Microsoft Excel and Word
• Prior working experience in managing/leading teams of at least 3 years is preferred.
• Prior working experience in the Banks would have a priority
• Excellent written and verbal communication skills with an ability to maintain a high degree of professionalism through interactions with stakeholders across all levels
