Administrative Responsibilities:

1. Office Administration & Coordination:Manage daily office operations, including procurement of office supplies and equipment.
   Maintain proper documentation for project-related materials such as permits, certifications, and compliance documents.
   Handle correspondence, including emails, letters, and phone inquiries from clients, suppliers, and subcontractors.
   Schedule and coordinate team meetings, site visits, and inspections.
   
2. Documentation & Compliance:Prepare and organize project documents, including proposals, contracts, and progress reports.
   Ensure compliance with fire safety and construction regulations by maintaining updated records for audits or inspections.
   Maintain accurate records of fire protection systems (e.g., sprinklers, alarms, suppression systems) installed in projects.
   
3. Client and Team Support:Act as a point of contact between clients, contractors, and internal teams for project updates and inquiries.
   Assist in preparing quotations, tenders, and project proposals.
   Coordinate with third-party vendors for materials, equipment, and service scheduling.
   

Drafting Responsibilities:

1. Design and Drafting for Fire Protection Systems:Develop and modify technical drawings for fire protection systems, including sprinklers, fire alarms, hydrants, and suppression systems using CAD software.
   Create construction drawings for fire-rated structures, such as walls, doors, and exits, ensuring compliance with local regulations.
   
2. Project-Specific Revisions:Revise drawings based on client feedback, fire safety inspections, or changes in construction plans.
   Ensure that all drawings meet relevant fire safety codes and standards (e.g., NFPA, local fire codes).
   
3. Collaboration and Field Coordination:Collaborate with engineers, project managers, and site supervisors to ensure alignment on design and construction requirements.
   Provide technical drawings and clarifications to contractors during installations or site work.
   Conduct site surveys when necessary to verify and incorporate on-site conditions into designs.

• Collect daily job notifications from the Board’s officers at the start of each work day.
• Carry out site survey at customer’s premises in advance of actual meter fixing/removal/replacement works to assess site conditions (for example, no obstruction to meters, valves on water mains are as per plans).
• Site survey before meter fixing/removal/replacement job, supervision of contractor’s work
• Check and record initial readings on new meters and final readings on old meters, including photographic records
