• Answering and filtering incoming telephone calls and receiving visitors and serve refreshments
• Manage office mails and couriers and handle any general correspondence
• Maintain an efficient system for filing and retrieval of documents
• Monitor deadlines and follow up actions in relation to equipment and assets maintenance
• Assist the Project Team such as project monitoring, scheduling, technical detailing and perform work task as assigned.
• Provide other ad-hoc administrative support to other departments as and when assigned

Requirements:

• GCE ‘O’ / ’A’ Level / Diploma with minimum 3 yrs working experience preferably in M&E Construction companies
• Experience in ISO, OH&S, Compliance / Internal Audit, document control / filing system will be an added advantage
• Pro-active attitude, responsive, able to multitask well & eye for details
• Ability to exercise initiative, work independently and under pressure

1. JOB RESPONSIBILITIES

• Billing to external and internal parties
• Preparation month end closing, financial reporting of the group's monthly/ quarterly/ annual closing
• Creditors and Debtors reconciliations
• Ensure monthly statement of accounts and reminder letter are sent to customers on a timely basis
• Review and ensure compliance of accounting procedures, guidelines and policies
• Match invoices to purchase orders and delivery orders and enter into accounting system
• Forecasting and budgeting and its control
• Data entry of journal entries into accounting system
• Monitor Aging and monitor collections
• Handle all tax and audit related matters
• Perform monthly bank reconciliations
• Manage and ensure accurate, complete and timely disbursements
• Any other accounting ad-hoc duties assigned

Job Role & Responsibilities

-Process purchase requisition to PO timely and with accuracy.

-Analyse and execution on the quotations (commercial terms -prices, delivery, payment term, etc).

-Monitor and follow up with suppliers and logistics companies to expedite and ensure that supply and goods are deliver on time and in good order.

-Escalate issues timely to address quality, cost and delivery issues effectively.

-Proactively communicate with internal customers on any potential delays to avoid downtime.

-Liaise with vendors on shipment discrepancies and invoice queries timely.

-Support monthly reporting for management review whenever is necessary.

-Manage and maintain strong business relationship with various external stakeholders to achieve procurement task are achieved in an efficient way.
