Description:
We are seeking for a motivated and meticulous individual to join us as a Personal Assistant & Leasing Officer. You will be providing secretarial support to the company’s Director. This is an exciting opportunity for you to join a fast-growing company that is constantly expanding.
Key responsibilities:
· Perform clerical duties and provide secretarial support to the Director.
· Schedule and remind the Director of events and meetings.
· Make overseas travel arrangement.
· Follow the Director out of office for work.
· Updating details or status of prospective and existing outlets in the Outlet Master List.
· Monitoring and keep track of renewal, new and termination lease contract.
· Ensure all activities within the retail mall/commercial spaces are in line with Government and company’s guidelines.
· Managing tenancy related issues, compiling occupancy and rental reports and other related lease management functions.
· Liaising with 3rd party contractors towards renovations, advertising matters, on the grounds inspection for the rented/potential retail space.
· Liaising with mall regarding lease contract terms and rental price, verification of application information, applying permit to work for contractor, and setting up electricity in the outlet.
· Liaising with external third parties (contractors, etc..) to oversee the administrative matters of the outlets.
· Liaising with Starhub officer for network application for different malls.
· On the ground inspection for the rented / potential retail space.
· Inform respective department such as Finance, Operations, and Marketing department regarding the opening of new outlet.
· Reviewing lease documentations and obtaining required boss’s signature.
· Overseeing office maintenance.
· Handling office administrative works, such as filing, and reordering office supplies.
· Any other ad-hoc duties as assigned.
Requirements:
· At least Degree in Business Administration / Management.
· At least 2 years of Personal Assistant’s working experience, prior experience as a manager or director’s PA from China company is advantageous.
· Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
· Relevant working experience and knowledge in lease management and coordination is an advantageous.
· Knowledge of retail mall operations is advantageous.
· Proficient in both English and Chinese translation.
· Able to travel local and overseas with the Director for work as and when required.
· Devoted to work and do not mind working overtime.
· Able to handle confidential information with discretion.
· Proactive and able to work independently.
· Strong organizational and multitasking skills.
· Detail-oriented with excellent communication and interpersonal skills.
· Meticulous, resourceful, independent, and able to work in a fast-paced environment.
· Familiar with Chinese business practices and cultural nuances.
