About the role

We are recruiting for a Specialist - Post Fixture Invoicing for our Commercial Services unit. Our Commercial Services team is the engine room of our Commercial business, focusing on post-deal tasks such as contracting, invoicing, trade finance, shipping documentation, and laytime. The Commercial Services Post Fixture team supports Rio Tinto Marine Ops and Chartering business.

The primary responsibilities of the role include:

• Ensure efficient and effective invoicing of bulk commodities for our Pacific business.
• Support in coordination for Sales & Marketing teams in IO for related matters in invoicing, trade finance, shipping, and laytime.

Reporting to the CS Marine Supervisor, you will:

• Understand the key value drivers for the product group or business unit and act as the point of coordination with the business for solutions.
• Ensure legal and business compliance is adhered to by the invoicing team.
• Review and monitor the progress of invoicing activities across bulk commodities to ensure invoicing and processes are handled efficiently.
• Resolve invoicing team operational issues by escalating and engaging relevant internal and external stakeholders to ensure customer service excellence for all Pacific customers.
• Monitor invoicing and shipment execution and ensure cash collections for the business units.
• Assisting with audit and financial queries when required.
• Support Data Analysis/Reporting activities.
• Follow-up on AR/AP positions and payment schedules.
• Provide commercial support for the execution of CTC processes.
• Proactively identify business process and automation improvements to effectively and efficiently deliver customer service solutions to the business.
• Contribute to team knowledge levels, identifying areas for growth and development where possible.

About you

To be successfully considered for this role, you will have:

• Bachelor's degree or equivalent qualifications.
• Excellent verbal and written communication skills and ability to reach out and build collaborative stakeholder relationships across different levels.
• Strong experience and background in the Commodity Industry, preferably in bulk commodities Supply Chain, Trade Finance, and Shipping knowledge.
• Strong knowledge in dry bulk invoicing, e.g. Freight, Hire, Port disbursement, Brokerage.
• Ability to work well in a matrix environment and strong stakeholder management.
• Strong analytical and problem-solving skills.
• Leadership skills with a focus on relationship building and business orientation.

It will also be beneficial if you have:

• Knowledge of Power BI or any other data analytics tools/applications

Responsibilities:

• Report to the Project Director / Manager in charge of the WTW system.
• Project Support: Provide technical expertise to oversee the design, development and construction of the WTW system.
• Interface with WTW system designer, vendors, fabricators including drawings reviews, sourcing equipment, cost control and monitoring, schedule monitoring and update.
• Project Execution: Oversee project implementation according to the requirements and objectives. This includes schedule monitoring, vendors sourcing and recommendation, purchase/ cost evaluation, resources allocation, attend to inquiries, clarifying technical details, supervising project execution, implementing corrective actions, conducting Factory Acceptance Tests, and finalizing as-built documentation.
• Troubleshooting and Repair: Diagnose and resolve malfunctions in deck machinery using technical manuals, hand tools, and power tools.
• Record Keeping: Meticulously maintain records of all changes, maintenance, repairs, and inspections.
• Develop operating, maintenance and safety procedures for the WTW system.

Requirements:

• Min Degree in Mechatronic or equivalent
• Min 5 years working experience in Marine Industry or shipyard environment.
• Good understanding of deck machinery such as winch, crane, lifting and handling equipment and the related IACS (particular ABS, DNV, BV) rules and regulations.
• Added advantage with specific experience in WTW system (Offshore Passenger Transfer System).
• Strong understanding of mechanical principles, hydraulic and electrical system and P&ID with ability to perform trouble shooting.
• Software – able to use MS Office, MS Powerpoint, MS Project, Adobe and AUTOCAD. Ability to use Primavera scheduling software an added advantage.
• Good understanding of Document Control. Added advantage with knowledge of ISO9001:2015 QAM system

Job Responsibilities:

1. Assist in the planning and coordination of project activities, including scheduling meetings, preparing agendas, PowerPoint presentation and documenting minutes.

2. Coordinate with internal and external stakeholders, to ensure timely delivery of project deliverables and resolve any issues or conflicts that may arise.

3. Monitor project progress and identify potential risks or deviations from the plan, escalating to Service Delivery Manager (SDM), Project Director (PD) any necessary requirement from customers.

4. Plan, track and monitor the tasks assigned to the managers, team leaders and members

5. Clear and open communication with customers on operations and project issues or clarifications.
